In the community, for the community JOB DESCRIPTION Job Title: Financial Administrator (part-time) Location: WPCA Office – The Micah Centre, 149a My Lady’s Road, Belfast, BT6 8FE AND Willowfield Parish Church Office, 330-332 Woodstock Road, Belfast, BT6 9DP Reports to: Development Manager (WPCA) and Operations and Facilities Manager (WPC)

Responsible for all aspects of WPCA’s financial administration, with additional book- keeping and other financial responsibilities for Willowfield Parish Church, including:

Financial Administration:

• Day-to-day book-keeping;

• Maintaining accurate records;

• Invoicing and processing payments, including online banking payments;

• Cash handling and banking;

• Keeping accurate and up to date records of receipts and payments;

• Processing gift aid claims;

• Oversight over payroll, staff pensions and HMRC submissions.

Financial Reporting:

• helping to set annual budgets;

• expenditure analysis against budgets;

• monthly bank reconciliations;

• Production of management accounts;

• Providing financial information and budget reports to enable funding applications and grant reports to be submitted accurately and on time;

• Cash flow analysis;

Year End procedures:

• Preparation of year-end accounts;

• On-site audit process in liaison with the auditor;

• Complying with charity legislation

Within the Willowfield Church role the key responsibilities will also include ensuring that accurate and up-to-date records are kept of all donations, that reports are run and reports made to the Honorary Treasurer as requested.

This job will involve attendance at regular meetings with staff and volunteers of both WPCA and Willowfield Church which may include staff meetings and prayer meetings within the context of providing for the financial needs of both charities.

The Financial Administrator will work primarily as part of a small core team including the Administrator and Development Manager, but also a number of volunteers including Honorary Treasurers.

Person Specification:

Essential Criteria

 Minimum of 5 GCSEs grades A-C (including English and Maths)

 3 years experience of financial administration, including book-keeping, production of management accounts, and experience of all aspects of Sage line 50 accounts system or other equivalent accounting system.

 Excellent IT skills and experience of Microsoft Office

 Ability to work as part of a team with other staff and volunteers. The post holder will be expected to demonstrate excellent interpersonal and communication skills, be able to exercise sensitivity and provide a level of pastoral support as appropriate when dealing with individuals who contact WPCA’s office premise or Willowfield Church Office.

 Ability to work under pressure and to deadlines, ability to solve problems, grasp new concepts and process data so that it provides a clear picture of the financial overview

 Ability to demonstrate a commitment to Christian ethos, values, aims and objectives of Willowfield Parish Community Association and Willowfield Parish Church

Desirable Criteria

 Relevant qualification e.g. Advanced Diploma or Professional Diploma in Accounting

 Experience of working with the charity / faith based sector in a voluntary or paid capacity

 Experience of preparing charity accounts

 Knowledge of the Charity Commission regulations

Charity Number – NIC103336 In the community, for the community Responsible to: Development Manager / Facilities and Operations Manager Hours & Working Pattern: this is a 20 hour per week post – 15 hours based in the Micah Centre on My Lady’s Road which will ideally be worked as 3 x 5 hour days per week and 5 hours based in the Willowfield Church office a few minutes away on the Woodstock Road, which will ideally be worked as 1 x 5 hour day per week. Salary: NJC Point 20 – currently £19,430 per annum (pro-rata)

ANNUAL LEAVE ENTITLEMENT:

6 weeks (generally taken as a week after Christmas and Easter, and 4 weeks over the summer) The above entitlement will be calculated pro rata depending upon hours of work.

Background Willowfield Parish Community Association was founded at the end of 2002 to address some of the profound social, emotional, physical and spiritual needs of residents in the Willowfield/ Woodstock area of East Belfast – an area classified among the most deprived in Northern Ireland. It operates in conjunction with Willowfield Church of Ireland Parish, whose initiative it was, and the Rector of the Parish chairs the management committee. In 2007 we opened the Micah Centre, a purpose-built facility to house the various programmes and activities that we run. We currently work with the following, identified as a result of needs analysis, and surveys conducted with local residents: the elderly, teenagers, children, unemployed adults, local families and those struggling with poverty and deprivation.

Ethos WPCA has a Christian ethos and that informs the way staff fulfill their roles, how we relate to one another, how we relate to the organisations and individuals with whom we work, and how we relate to those we seek to help and serve.
