Job Description

Job title: Legacy Officer Directorate: Fundraising Marketing & Communications Responsible to: Head of Legacy Administration Location: Burford

Main purpose of job Blue Cross is funded by voluntary donations and a large percentage of this comes from gifts in wills. It is therefore critical that estate administration is dealt with in a professional manner. The post of Legacy Officer is of paramount importance in this process, managing your own case load of files ensuring that Blue Cross receives its correct entitlement from legacies left to the Charity.

Essential qualifications  5 GCSE’s or equivalent with passes in Maths and English  ILM Certificate in Charity Legacy Administration

Essential skills and experience  At least two years’ experience of working in charity legacy administration  Communicating effectively and sympathetically with both professional and lay executors and family members  Working effectively as part of a team to produce high quality results  Application of excellent organisational skills including the ability to prioritise and handle workload effectively  Effective communication and liaison with all organisational levels using first class inter-personal and communication skills  Effective use of Microsoft Office including Word, Excel and Outlook

Desirable experience  Knowledge of, and ability to use, the “First Class” computerised legacy administration system

The person You will have  Good eye for detail with high integrity combined with openness, honesty and a sense of humour  Excellent and sensitive verbal and non-verbal communication skills with the ability to deal with all levels of the legal and corporate firms with who we regularly liaise  A positive attitude towards working as part of a team as well as being self- motivated to work effectively on your own, you will be methodical but flexible in your approach to meet deadlines and produce accurate work

Key accountabilities Undertake the management of legacy cases including complex matters to protect this critical income stream, to include:  Instructions on sale/transfer of property and investments  Awareness of Tax implications and ensure applied correctly  Examine Estate Accounts and only giving approval when satisfied of their completeness and accuracy  to discharge Executors when satisfied Blue Cross has received full entitlement  Question solicitors actions if not satisfied  Pursuing complaints to the Solicitors Regulation Authority  Be aware of the Charity’s position with regard to merits of claims against estates, working with our advisors to protect Blue Cross’ interest taking particular note of cost v benefit to the Charity and negative media interest  Represent Blue Cross at mediation and trial with the advice and support of our advisors, Head of Legacy Administration and Director.  Keep records relating to casework up to date and accurate, both computerised and manual  Follow procedure as directed by Head of Legacy Administration or their deputy particularly in relation to cash flow forecasting  Produce Board papers for Deeds and Agreements in a timely and effective manner  Undertake your role taking decisions in line with current Board Resolution of Delegated Authority

Other Duties  Assist the Head of Legacy Administration and Senior Legacy Officer in other ad hoc duties as required and be supportive of change to streamline and improve efficiency  Attend training, conferences, events and meetings as required this may include funerals and memorial services  Support the development of internal awareness of the importance of future legacies  Support Blue Cross as a Values led organisation  Deputise for the Head of Legacy Administration when appropriate and as directed

Integrity Dynamic Responsible Compassionate Fair & Reasonable 2 Salary £24,940 to £33,060 per annum

Job details The position is ideally to be based with the Legacy Administration Team in Oxfordshire, but open to discussing flexible working in London and/or working from home for a maximum of two days a week. The team consists of Head of Legacy Administration, Senior Legacy Officer, 3 Legacy Officers, Assistant Legacy Officer and Legacy Administrator.

Standard hours are Monday to Friday 9am to 5pm with one hour for lunch, 35 hrs per week. Notice Period is 2 months. Due, to the nature of the work of Blue Cross, and this post, it will be necessary to exceed these hours when the work load demands.
