St Werburghs City Farm JOB DESCRIPTION Job Title: Capital Build Project Manager Responsible to: Director Place of work: St Werburghs City Farm Hours of work: Part-time @ approximately 22.5 hrs per week (it may be necessary to increase hours during construction phase, however this will be offset a reduction in hours at other times) Annual leave: 25 days plus statutory holidays pro rata Contract Type: 15 month fixed-term Probationary period: 6 months Salary: Starting salary £25,440 pro rata, per annum (SCP 29), depending on experience, paid monthly Pensions: St Werburghs City Farm will be introducing pension scheme by 2017

St Werburghs City Farm is a green oasis in the heart of Bristol that connects people to their food, nature and their local community. Over the last 35 years the Farm has expanded across four sites and developed a unique range of services that welcome and engage with some of Bristol’s most disadvantaged residents. Our vision is to become a truly inspirational city-centre farm that welcomes and enables a diverse range of people to connect with animals, food, the land and each other. This will create a community that has more knowledge of where their food comes from, increased participation in their local environment, improved facilities for all to access, enhanced understanding and cohesion and better health and wellbeing.

1. Overall purpose of job We have a great reputation for delivering high-quality, unique services to North Bristol which results in our work exceeding targets and our contractual services running at capacity: in 2013-14 alone, we supported 3,225 service users, welcomed 15,000 people to our events/facilities and more than 40,000 visitors to the Farm site. Demand shows that there is real scope to enhance existing activities and expand services to meet emerging needs. However, our current facilities, which are unfit and ill-equipped, limit our potential for growth. In December 2014, planning permission was granted to build the Connection Centre with 3 classrooms, a training kitchen, a covered outdoor teaching space, and 3 toilets, including wheelchair accessible facilities. Once built, these facilities will enable the Farm to engage an additional 4,000 people per year through a range of targeted activities that better connect them to food, nature and each other. The total project cost including delivery of a disruption plan, landscaping, interpretation, green technologies, fit our and fixtures will be close to £500k; 80% has been secured through trust and foundation fundraising and the remaining 20% will be sought through a public fundraising campaign led by the Director.

The Capital Build Project Manager will be responsible for the day to day management and overall coordination of the construction of this capital project, ensuring that is developed in accordance with the agreed brief, appropriately monitored, delivered on time, on budget and to the required quality standards

2. Key Responsibilities 2.1. Capital Build Project Management  Compile and follow a robust project plan, pulling together aspects of the Connection Centre Business Plan with a communications strategy and construction programme  Manage the development of designs with the architect, including coordinating input from the

Registered Charity Number 297091 Company Limited by Guarantee Number 2114442 Site and Service teams, the Director and ensuring that that the building meets legislative requirements of equality, access, health and safety etc.  Ensure that the Connection Centre Risk Register and relevant policies are in place before construction begins, and ensure that the Director and the Board of Trustees are kept appropriately informed of significant changes  Ensure that the Site/Service Development Managers are able to participate within the analysis/interview of tenderers to ensure that the chosen contractor is sympathetic to the ongoing running of the Farm, our service users and livestock  Oversee the building phase of the project, trouble-shooting and taking decisions on any issues that may arise and managing the input of the professional team of builders, architect, quantity surveyor and all other engineers  Responsible for all requests to visit the site  Responsible for the final fit out once the contractor has complete the construction phase including sourcing furniture, fixtures and equipment and in-kind donations  Coordinate service users engagement in decoration, landscaping tasks where possible, in accordance with the contractor and Site/Service Development Managers  Responsible for developing a post-construction review of the project  Assist the Director in the development of relevant Business / Operational Plans, and reports

2.2. Admin and Finance  Compile and present a monthly project report for the Director (shared with the staffing team) and the Board of Trustees (through the Estates & Infrastructure sub-committee) which will include a review of the Risk Register  Manage the £450k project budget, updating it on a monthly basis to provide accurate cost and budget estimations  Conduct a financial evaluation of the project, demonstrating the breakdown of income and expenditure, deviations from the budget and making recommendations for future projects

2.3. Communication  Develop an integrated internal and external communications strategy for the Connection Centre, including writing and scheduling key messages, media releases, social media statements and articles, to raise awareness of the project throughout the construction phase through to the launch event  Support the Director in delivering the Communications Strategy, achieving as lead contact for all questions relating to the Connection Centre where requested  Support the Director to design and install interpretation to demonstrate what the build means for the Farm and how local residents, visitors can help  Coordinate relationships with partner organisations, stakeholders, visitors and other people relevant to the role

2.4. Funding Stewardship  Develop and manage a specific communication plan for donors  Compile and deliver relevant information for donors, in a timely and satisfactory manner, as highlighted within the Stewardship database  Ensure that donor specifications are met, as outlined within specific funding contracts and the Stewardship database  Ensure that all property agreements with donors are fulfilled, including recognition through plaques, room naming and other specific agreements

3. Additional responsibilities 3.1. Present a positive image of the Farm through good public relations, communication with visitors, service users and the local community etc 3.2. Person Specification Essential Desirable Experience Demonstrable experience and proven successful Experience of developing education and/or track record in project management delivery community facilities from inception to completion Experience of managing varied and complex Training or experience in building construction, stakeholder relationships surveying, architecture, construction project management or similar field Proven success in the management and reporting of Demonstrable knowledge of statutory project budgets (c. £150k +), including the requirements, legalisation and regulations in development and management of complex relation to open farms databases and spreadsheets Skills Ability to convey complex information to diverse Prince 2 qualified audiences quickly, clearly and appropriately Strong analytical and problem solving skills alongside Ability to work as part of a team with teaching, a high level of initiative training or skill-sharing experience Excellent ICT skills with proven track record in Health and Safety /risk assessment training Microsoft packages including Word, Excel and and/or experience with legislation and Publisher requirements Ability to manage personal deadlines and prioritise a First Aid Qualification demanding workload Excellent planning, administrative and organisational skills, including budgetary control and record keeping Attributes Strong interpersonal skills; professional, teamwork, Full clean driving licence (or in process of active listening skills, personable etc. obtaining) Reliable, pro-active, flexible and self-motivated and ability to think creatively Organised and methodical. able to work to own initiative Passionate about what the Farm does Knowledge of City Farms
