REPORTING TO: Administrative Supervisor THE PACKAGE: An hourly rate of £8.50 to £9.50 per hour (depending on qualifications and experience). In addition there is currently a 10% company pension contribution, a permanent health insurance scheme, in-service life insurance of four times wage and discretionary bonus of 5% - 10% paid on good performance of the attraction and the company as a whole. Staff discounts are available on shop goods and catering. Holiday is 29 days with an extra day applied on completion of every three years of satisfactory and unbroken service.

HOURS: Normally based on average 5 days a week 35 hours. Daily 9.00am – 5.00pm with two 15 min breaks and one lunch break of 1 hour taken at times agreed with the Administrative Supervisor.

LANDMARK FOREST ADVENTURE PARK Landmark Park has been trading for over 46 years since its official opening in June 1970. The major customer focus is families of all ages but includes significant numbers of adult-only parties, youth and school groups and some corporate also. The Landmark ethos is to provide our guests with a great day out of fun, discovery and adventure while offering good value and highest quality catering and retail experiences so that we encourage our guests to make return visits or buy season or weekly tickets. THE COMPANY Visitor Centres Ltd is the company that owns and operates Landmark Forest Adventure Park. It also operates Camera Obscura and World of Illusions in Edinburgh; Inveraray Jail, Argyll; Landmark Press in Carrbridge; and the Welcome to Scotland website and App.

THE POSITION Based at Landmark Forest Adventure Park’s office in Carrbridge, the Administrative Assistant role is to help ensure the smooth running of all aspects of the company administration, including cash handling, banking, data storage and retrieval, marketing assistance and production of management information. A critical part of the role is to be the main point of contact for enquiries by phone email, letter or in person. The Administration Department is therefore a front facing department at the same time as being ‘back of house’. Landmark and the company is in the visitor experience business and it is critical that the person understands that and is able to play a critical part in assuring our customer focussed approach. Our aim is for five star service and the Administration Department is crucial in the visitor journey. The job description below details most of the tasks currently associated with the role. It is envisaged that the role will change with the advent of new software and with the adoption of new methods of data analysis storage and reporting. It is therefore essential that the person in the role is flexible, ambitious and willing to take on new challenges. The person will work with the Administrative Supervisor to continuously explore better and more efficient ways of administering the business. JOB DESCRIPTION

Job Title: Administrative Assistant

Responsible To: Administrative Supervisor

Purpose of Job: To help ensure the smooth running of all aspects of the company administration, including cash handling, banking, data storage and retrieval, marketing assistance and production of management information.

Main Duties:

1 Checking and accurate collating of all income, banking, recording information on excel spreadsheets. Recording and following up inaccuracies or irregularities and reporting to relevant HOD or Manager

2 Organising change for shop, restaurant & kiosk

3 Producing weekly and monthly management reports in the best format available using appropriate software to collate data.

4 Taking daily back-ups from server and placing disks in safe

5 All aspects of incoming and outgoing mail; open, sort and distribute; frank and take to post office; top up franking machine

6 Word processing, graphics and sign/public notice production as required

7 Petty cash

8 Ordering stationery & supplies as required & sourcing lowest prices

9 Assist Marketing Manager on marketing tasks including web site, social networking, surveys, data analysis mailings, emailings and so on.

10 Managing company vehicle insurance

11 Entering budget figures on spreadsheets

11 Photocopying, filing and other general office duties

13 Answering telephone in a professional manner and answering all queries relating to the business efficiently and accurately.

14 Tidy office and empty bins along with other office staff 15 Wages when required

16 Helping with accounts when required

17 Assisting all departments in admin as required

18 Maintaining First Aid records including reporting RIDDOR occurrences

19 First aid duty as required

20 Note taking at meetings

21 Other relevant duties as required by the Administrative Supervisor

YOUR EXPERIENCE

You will have Higher or GCSE level qualifications in English and Maths (A to C level). A higher or GCSE in Business administration or equivalent work experience is required. You will also have worked in a similar role for a minimum of two years with references available from the relevant employer. You will have an excellent ability with spoken and written English and be a first rate communicator. You will also be excellent in numeracy and have experience in all standard Office software especially MS Word and Excel. Evidence of training in these packages would be a distinct advantage. (Further training will be available and will be required if necessary). It would be an advantage if you could demonstrate some innovations that you introduced in your current or past workplace and how these made a positive contribution to the business.

 High level of numeracy  Typing to intermediate level  Spread sheets on excel to intermediate level  Ability to produce a variety of management reports using best presentation software – Word, Excel, PowerPoint etc.  High level of ability on written and spoken English and general communication skills  Your interpersonal skills must be excellent  It is essential that you have excellent organisational skills PERSON SPECIFICATION
