Meeting Minutes September 12, 2016

Attending: Stephanie Acheson, Kim Benson, Tracy Carpenter, Eileen Eilert, Sean Hedenskog, Lisa Gilmer, Sue Johnson, Suzy Kinner, Kim Lipford, Stephanie Marksz, Jack McNeley-Phelps, Joi McNeley-Phelps, Melissa Sherard, Scott Speckman, Shannon Speckman, Dianne Todd, Mary Valentine, Charlotte Wallenburg, Kim Wells, and Tracy Wilkus

Call to Order  6:03 p.m.  Welcome – Dena Gates-Smith

Spotlighter goals:

 Support the choir and theatre programs at SM West  Increase awareness for Spotlighters and increase membership

Directors Reports (Eric Mangus)

 Rep and Advanced Rep shows are moving along well

 Pippin auditions next Monday, Tuesday, and Thursday; callbacks on Friday

 Cast list might be posted over the following weekend

 Dance workshop this week to prepare for auditions

 Beginners makeup kits ($20) available to order

 Theatres T-shirts ($10) available to order; deadline 9/16

 There will be another parent meeting regarding theatre trip to NYC over spring break on 9/19

 Thespian conference registration deadline is 9/30

 Thespians will be working on the homecoming float 9/24

 Thespians have done two fundraisers: Skyzone fundraiser raised $50; Renaissance Festival fundraiser will be 10/8; adult needed to supervise 10:00 a.m. to noon.

(Laura VanLeeuwen) read by Dena Gates-Smith in Ms. VanLeeuwen’s absence  Friday, Sept. 30th – 9th grade state recording date. This is optional and open only to freshmen.  October 7th- District Audition Date. After school in the choir room. Auditions open to any chorale/madrigal member. Students know what music they will be auditioning with. Students will be auditioning for the 20 spots attending Northeast District Choir auditions on Nov. 12th at Olathe East.

Dresses and Tuxes have been ordered for the select choirs and I will send an email this week regarding payments due and due dates.

(tie is provided by Coach V)  WOMEN: Skirt or blouse or dress with hose/tights and black flats. Dress code appropriateness must be followed.  Email her directly if you have any questions about outfits. Secretary Report (Joi McNeley-Phelps)  May’s minutes were not available for review/approval

Treasurer Report (Kim Benson)  Revenue: $ 2084

 Expenses: $ 2500  Noted that any changes made to the budget were in an effort to create a balanced budget  Discussed selling flowers at Spotlight Spectacular to increase revenue. Overall, group supported doing so

VP Membership Report (Charlotte Wallenburg)  Currently have 47 members

VP Programs (Brad Bunde & Monica Trout) – No Report

VP Publicity Report & Press Release (Fredi Reed)  Will talk with Mr. Magnus regarding the theatre’s need for publicity

Banquet Chair: Choir (Lisa Gilmer) – No Report

Concession Chair: Theatre (Nancy Parker) – No Report

Cuisine Chair: Theatre (Monica Ferrin) – No Report

Flower Chairs (Tracy Carpenter & Melissa Sherard)  Last year’s chair explained the program to parents

Hospitality Chair: Choir (Tracy Wilkus)  Requested a freshman parent to help out at concert concessions

 Requested that plans for parties be communicated with enough notice to get volunteers

 Opportunity basket-raffle for musical – determined was a good fundraiser
