Creating a Cost Receipt

Step Action 1. Receipts are created to indicate what goods or services have been received. Accounts Payable uses this information to determine when it is appropriate to pay the suppliers.

This job aid applies to Blanket Orders. To receive against a regular order, see the Quantity Receipt job aid. A cost receipt allows you to receive partial dollar amounts 2. Only orders that have been issued as Blanket Orders that Require Receiving are eligible for Cost Receipts.

Step Action 3. To create a receipt, you will need to know your purchase order number.

Step Action 4. Go to Document Search as follows:

On the far left of any BuyWays page, in the icon ribbon, go to the Orders &

Documents icon and Click on Search Documents:

5. In the resulting page, make sure you have Purchase Order selected in the Search field.

Enter your PO number and click

Click on the PO ID in the search results 7. Click the Purchase Order tab

Step Action 8. Click the Available Actions dropdown in the upper right of the page, and Select Create Cost Receipt:

9. Click the button:

10. The receipt displays. Information from the PO has populated in the receipt.

Step Action 11. Update the line(s) with the dollar amount you wish to receive.

12. Click the Save Updates button.

13. Click the Complete button.

14. The Cost Receipt has been created for the PO and Accounts Payable will be able to pay when the voucher is entered.

You can print a copy of the Cost Receipt and the PO for your records by clicking on the printer icons.

To exit, click the Home Shop icon in the icon ribbon to the far left of the page.

15. Congratulations! You have successfully created a Cost Receipt. End of Procedure.
