Principals OHS eLearning Update

Welcome to the OHS eLearning Update. This document is designed to provide Principals and Management OHS Nominees with specific advice and assistance on the OHS eLearning program.

The Employee Safety and Wellbeing Branch will update this document, when required, to ensure the latest information is available.

The year ahead-2017

For 2017 the OHS eLearning modules will be updated and refreshed as part of the continuous improvement cycle. In order to support and build on the OHS capability in schools to manage OHS Principals are asked to:

 Notify all employees that OHS eLearning refresher modules will be launched in cycles in 2017 (please refer to the Table).

 Notify all employees that they are required to complete their assigned OHS eLearning modules by the due date listed on the Learning Management System.

 Contact employees with the relevant specialist roles notifying them that they are required to enrol and complete specialist eLearning modules.

 Enrol and complete the specialist eLearning modules (if applicable to the risk profile of the school). For example, Principals in secondary schools offering Materials Technology should complete the Technology Safety eLearning module.

 Utilise the OHS Management System OHS Training Planner/Register to plan and record completed OHS eLearning modules. Assistance with the OHS Training Planner/Register is available by contacting the OHS Advisory Service on 1300 074 715.

 Cite certificates from employees that have completed their assigned OHS eLearning modules. This is currently the preferred way pending further upgrades to the Learning Management System.

Background information:

On the last week of each month an updated eduPay extract is transferred to the ELMO database.

Updated eduPay information can consist of the following:

1  new employee commencing in DET

 employee leaving DET

 employee going on extended leave e.g. long service, parental leave

 employee surname change

 employee changing workplace location e.g. relocating to another school

 employee changing job role e.g. teaching staff taking on non-teaching role or vice-versa

 employee promotion e.g. leading teacher to Assistant Principal

The updated DET employee information is then transferred into the Learning Management System, which is configured to the following Learner Class Matrix.

Once the eduPay extract is uploaded, the LMS is configured to notify:

 New employees with a welcome to the LMS notification email and advice on their assigned modules (refer to Learner Class Matrix).

 Employees returning from extended leave with new assigned module notification emails. An individual email is sent for each new assigned module.

 Employees that have changed job roles with new assigned module notifications depending on their Learner Class code (refer to Learner Class Matrix).

2 Note: Unfortunately, the LMS is not configured to link a changed surname with an existing learner username (ie edumail address). Therefore, employees who have changed surnames (e.g. married surname) will be recognised by the LMS as a new employee as their edumail address has changed and subsequently be allocated OHS eLearning modules according to their Learner Matrix.

Additional information:

 Please note that the target audience examples listed in the updated OHS eLearning Schedule (below) are only indications. If you identify employees that would also benefit from the training they can access the modules in the Health and Safety section of the Course Catalogue on the Learning Management System (LMS) Dashboard .

 Detailed instructions on how to access and enrol into the Specialist OHS eLearning Modules are available in Section 4.0 in the Guide to the Learning Management System (LMS) located in the OHS Induction and Training section of the DET OHS Management System.

 The Guide to the LMS assists employees who have forgotten passwords and contains a Trouble Shooting Guide.
