Eldon Grove Tennis Club Minutes from the Coaching and Competition Committee meeting held on Sunday 14 th April 2013

Present :- Tony Evans (Chair & Secretary), Kath Evans, Jackie Crawford,

Apologies :- Sharon Bramley, Sue Bentley

Absent :- Angela Stonehouse, Mark Barras

1. Minutes from the last meeting The minutes from the meeting held on 2nd March 2013 were taken as a true record and signed by the Chairman. 2. Matters arising  Jackie had confirmed prior to the meeting the competition dates that were already in situ for other clubs.  Jackie had received payment for the Cardio Heart Rate Monitors and Music that she had purchased.  Sharon/Adam Bramley had started the court availability notice on the web page. Facebook to follow.  We had not been able to get details of the structured coaching program being operated by Virgin Active. Jackie is to e-mail David Boddy to see if he could send her a copy so that we could use this as a template for one for the club. If this does not arrive Tony/Kath will draw up a provisional 6 week schedule which will be forwarded round this committee for comments and enhancement. Mark would be expected to have a big influence on the schedule and all thought that it would present a professional approach to the coaching participants if we can introduce it.  Tony was asking the Management Committee to sanction a ‘rise in the hourly coaching fee’ paid to Mark. This would have to be tied to a new Agreement with Mark. It was hoped that a provisional sanction from the Management Committee would be gained at the next meeting on Saturday. 3. Competitions AEGON Tony had circulated the dates and court allocations to the team managers so everyone is aware of the usage. The matches are due to start this week. Regional competition dates Jan is to chase up Anne Brown to confirm that there is no boy’s 12 & under and Girls 18 & under in the Cleveland League this season. Once this is confirmed we will look at arranging some dates for external competitions. Jackie was keen on arranging some more ‘ratings’ competitions and would speak to the D&CLTA office regarding how we put competition dates on their web site. It was agreed that we would run Red, Orange and Green ball competitions. Road to Wimbledon / 14 & Under Club championships This competition (covering both competitions) had been successfully completed on Wednesday 10th April. The winner was Damon Crawford with the runner up being Jacob Clyburn. Tony had already sent the results of this competition and Jackie’s ‘rating’ competition to the LTA Regional office. 4. Coaching sessions Review of Spring Coaching Sessions to date Tony reported that the Spring coaching program had got of to a disastrous start with lots of sessions having only one or two attendees and some cancelled altogether. The main reason for this was the weather which had been the worst we have had since the coaching programs started. This will have an impact on revenues raised from the coaching sessions. It is hoped that the sessions will pick up next week when the players return to school. Tony will circulate an e-mail around tonight to the red ball players. It was agreed that the next two sessions would be of 6 weeks duration each :- from WC 6th May to WC 10th June and WC 17th June to 22nd July inclusive. It was agreed that we would not run the Monday sessions on the bank holidays so they would be 2 sessions of 5 weeks each. It was agreed that in general the system of giving vouchers for free coaching sessions had not been a success with it not encouraging people to attend sessions en-bloc but rather having them pick and choose. It is unlikely that we will adopt this system next year. Summer Coaching / Holiday courses After much discussion it was agreed that the following program would be put in place from WC 29th July (school holidays) Unless otherwise agreed, nearer the time, all sessions would be stopped from this date with the exception of the Saturday Adult Beginners. In their place we would run weekly (5 weeks in total) :- Tuesday 10:00 to 12 noon Under 11 coaching sessions (with Mark & others) Cost £6 for members and £8 for non members Thursday 10:00 to 12 noon 11 and over coaching sessions (with Mark) 12:30 to 3:00 timed ‘ratings’ competitions (run by club personnel) Cost £6 for members and £8 for non members (coaching only) Cost +£4 for ratings for members and +£6 for ratings for non members. Advertising and Publicity The first meeting with the sponsors is to take place on Tuesday 16th April at 7:00 pm at the club. Tony will invite all those committee members throughout the club who he thinks may wish to attend. Tony had managed to get an article in the Hartlepool Mail advertising the coaching sessions. 5. Any other business Coaching Awards Tony informed the meeting that he and Jackie had successfully completed their level 2 coaching awards and were now qualified. Kath informed Jackie that the cluster finals were to be held on 23rd April starting at 9:00 am at Brierton Community Sports Centre. Laura Stonehouse is attending and it is hoped that Jackie will also be available. 6. Date of next meeting The date of the next meeting was agreed as :- Sunday June 9th at 5:30
