JCLC Database How To

This is the step by step procedures to open and use the JCLC Database for units attending summer camp at Camp Clark, Nevada, MO.

1. Receiving the Database.

a. Via Email. Do NOT try to open and use this database from the email. Save it to your Desktop, 3 ½” floppy, or a Jump Drive.

b. On a CD. Do NOT try to use the database from a CD. Copy the file/database to your Desktop, 3 ½” floppy, or a Jump Drive.

c. On a Jump Drive or 3 ½” Floppy. You can use the database, in place, on either of these devices.

2. Opening the Database. Depending on your computers operating system and the age of the computer you will get a number of screens/windows during the process. Pictures of these screens are enclosed and the appropriate response is circled/marked.

a. Once you have gone through the screens correctly, you will get the next screen which actually puts you in the database.

b. In the column named Objects, left click on Forms if it is not already highlighted in orange.

c. In the right side of the window, ensure that the form you want to open is highlighted in blue. In the example, the form to enter cadet data is highlighted. To highlight, left click once.

NOTE: Frm-Cadet Data is for the cadet form. Frm-Cadre Data is for the instructor form.

d. Click on the middle square to Maximize the screen.

2. Entering Cadet Data.

a. Instructions for entering data are on the screen in the large white box.

b. Boxes with the label in Bold Red are mandatory and must have information entered.

c. The next screen has a sample cadet entered.

d. The cadet’s names will be printed on the certificates just like you entered them in to the database. If the name is misspelled, it will be misspelled on the first certificate and you will have to let us know to make corrections and reprint the certificate (if the cadet was in one of the winning platoons in the Field Day events, we could have to reprint multiple certificates for that cadet). We will have over 400 cadets and 90 instructors each cycle, each cadet gets a certificate and each instructor gets a certificate. We also print out certificates for the Field Day events giving us a total of about 800 certificates each cycle. Please save us all some time and make sure the names are entered correctly before you submit your database. Thank you.

e. After you have entered the first cadet’s information, you can move to the next blank form by; (1) Click one of 2 buttons at the bottom of the screen, or (2) Scroll with the wheel on your mouse.

f. Access has a number of options that will save you time in entering data. One of which is the Ctrl and apostrophe function. Some information is the same in all of the cadet records (ie, School Name, SAI, Chaperone, etc.). To use this option, you must first type in the first cadet’s information. After you advance to the next blank form, simply put the cursor in the box that you want the information copied (ie, School Name). Hold down the Ctrl button and type an apostrophe. Access will copy what ever was entered in the previous record. You may use this function every time you start a new record.

Please remember to put the instructor’s information in on the Cadre Form.

Close out the Cadet Form by clicking the Black X in the top right corner.

This will put back to the screen that shows the Objects.
