AMA AGM 31 OCT – 2 NOV 14 – EVENT INSTRUCTION

1. General. The Annual General Meeting (AGM) and Meet Weekend of the AMA is held at JSMTC(I) over the first weekend in November. This instruction provides you with the attendance Annex on which you can apply for a place on the weekend and the administrative detail required to arrive properly prepared.

2. Aim. The aim of the AGM is to provide a forum for Members to engage with the continuing development of the AMA. In addition, it is also an opportunity to gain logbook experience towards JSAT qualifications and to access refresher training under qualified tuition.

3. Programme of Events. A programme of events is at Annex A.

4. Travel Directions. Travel west through North Wales on either the A55 coast road (recommended fast dual carriageway but beware of speed cameras) or the A5 (slow single carriageway but more scenic through Snowdonia). Both roads merge into the A55 a few miles east of Anglesey. Follow the A55 towards Holyhead and cross the Menai Straits via the Britannia Bridge. At the end of the bridge, take the left hand slip road signed for Llanfair PG, Menai Bridge and Beaumaris. Stay in the left hand lane sign posted to Llanfair PG and join the A4080. After 400m turn left through the white gates sign posted INDEFATIGABLE. Alternatively, put the postcode LL61 6NT in your satnav.

5. Arrival. Due to the normal working programme for JSMTC(I), AMA members are NOT TO ARRIVE at JSMTC(I) before 1500hrs on 31 Oct 2014. Personnel are required to book into the MGS guardroom on arrival where details of room allocation will be available. MOD90 will be required for access. Cars are to be parked on the student car park as directed by the MGS.

6. Compulsory Opening Brief. An opening brief for the weekend will take place at 0830hrs on Sat 1 Nov 14 in the Morfa Bar at JSMTC(I). This brief is compulsory for all meet attendees.

7. Accommodation. Dormitory accommodation will be provided for all personnel. Please note that all personnel are required to bring their own sleeping bag or bedding. Room allocation will be given when booking into the MGS. Rooms are to be left clean and tidy before departure.

8. Messing. Messing will be centralised for all personnel with the first meal being dinner on Friday at 1700hrs. The last meal will be a packed-lunch on Sunday. Anyone with any special dietary requirements should amend the application Annex accordingly.

9. Equipment. Individuals must bring their own equipment and clothing, no kit is available from JSMTC (I).

10. Duty Status. The weekend is not a HQ JSMTC course. The meet will be run in accordance with 2010DIN10-009. The weekend is recognised as an official ASCB event, however travel and subsistence costs must still be authorised by own unit budgets – ask your RAO. Individuals’ COs remain Duty Holder status and the Event Organiser is Maj D M T Shipley with Col Paul Edwards President of the AMA assuring the Event is run in accordance with Army Sports Control Board policy.

11. Safety. The conduct of training is viewed very seriously by the AMA and HQ JSMTC. Every measure necessary will be adopted to ensure training is delivered as safely as possible throughout the weekend.

12. Safety briefs and risk assessments must be completed throughout the weekend.

13. Personnel who wish to climb/mountaineer in organised and qualified groups must comply with the following caveats:

a. All personnel MUST attend the Saturday and Sunday morning activity briefs.

b. Personnel are to book out and back in at the MGS guardroom on the AMA Meet Activity Log.

c. Personnel are to use their own equipment and transport.

14. Civilians. If you are a civilian member of the AMA then please note you will be required to pay £32.17 for food and accommodation. This covers bunkhouse accommodation in the http://www.nuffieldanglesey.org.uk/ and meals from Fri dinner to Sunday packed lunch. Payment by cheque made out to Central Bank JSMTC. You are also required to have liability insurance if you want to undertake mountaineering activities as part of the weekend. This could be in the form of Association of Mountaineering Instructor Membership or upgrading your AMA membership for £15 (for a years cover) The British Mountaineering Council - membership. Please bring proof with you and annotate your return with what cover you will have.

15. Summary. The weekend is a fantastic opportunity to network and enjoy the challenges of a great climbing and mountaineering area. It will also provide an opportunity to rub shoulders with old and new members. Please complete the application at Annex B fully and return it to the AMA by 30 Sep 2014.
