The Microsoft Dynamics® Business Solution Roadmap tool was developed to help you unleash your existing customers’ potential. Specifically this tool helps you structure a conversation to better understand your customers’ business requirements and goals. Then with this in-depth knowledge of where they are and where they want to be, you can collaborate with them to develop an effective long-term plan for reaching their business objectives.

The roadmap helps you lead your customers toward deploying Microsoft Dynamics business management software deeper into their organization and into new business areas and processes so that they can fully realize the potential of Microsoft Dynamics—and the potential of their business.

Follow the instructions in this guide to learn how you can successfully use the tool to generate a customized roadmap that can help you reduce the time and cost it takes to sell additional users and modules.

Page 3 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205 OVERVIEW The Business Solution Roadmap Tool This innovative tool will help you and your customers assess their business objectives and identify corresponding functionality requirements of the business-management application. In addition, it enables you to:

 Contact your existing customers, and conduct an assessment.  Organize your customers’ business process needs into business areas.  Prioritize what area of their business they are focused on improving.  Move the emphasis away from features and toward business functionality requirements.

During the assessment, your customers select the business areas (identical to those in Sure Step) that apply to their business needs. They will then be prompted to answer a series of business-capabilities questions organized by business processes, which are also consistent with Sure Step. From these answers, the tool creates a customizable recommendation to illustrate how your customers can drive business success by extending their Microsoft Dynamics solutions—to automate and integrate targeted operational areas of their business. This intuitive process enables you and your customers to:

 Better understand your customers’ long-term business objectives.  Align their business objectives with specific process improvements that will help them to reach these objectives.  Develop a plan to deploy Microsoft Dynamics broader and deeper in the organization to increase its ability to help them meet business objectives.  Create a one- to three-year implementation roadmap to tailor their deployment plan to their specific business needs. The Business Solution Roadmap After you complete the assessment with your customers, the tool will generate a Business Solution Roadmap you can customize in collaboration with your customers and with the support of your consulting team. You can then give your customers this document to guide them moving forward—complete with a role deployment plan and implementation timeline organized by business process. They can share this roadmap with key personnel across their organization to engage them in using the full capabilities of their solution to:

 Improve budgeting and planning to meet technology needs more effectively.  Increase employee productivity, efficiency, and overall profitability.  Stay competitive and up to speed in a fast-paced business environment.

The roadmap provides you with flexibility. It is highly editable, allowing you to customize recommendations, timelines, and content. How you present the roadmap is up to you. The roadmap is generated as a Rich Text Format (RTF) document compatible with Microsoft® Office Word. You and your customer’s contact information are automatically included, or this information can be inserted into your preexisting proposal format.

Be sure that you are running one of the following operating systems:

 Windows® XP with Service Pack 2 (SP2)  Windows Vista®  Windows Vista with Service Pack 1 (SP1)

The following prerequisite components are necessary to run the Your Business Solution Roadmap tool:

 Windows Installer 3.1  Microsoft .NET Framework 3.5 SP1

Note: The YBSR tool was designed to work with 32-bit operating systems; however, it also works with 64-bit operating systems. The YBSR tool is not compatible with IA64-based operating systems.

Before you begin, check the system requirements for compatibility. The tool is compatible with Windows Vista or Windows XP operating systems and the 2007 Office system or the prior release.

The tool requires Windows Installer 3.1 and .NET Framework 3.5 SP1 to run.

Note: If you do not already have these components installed on your system, you will be prompted to install them. Depending on your existing configuration and your Internet connection speed, this could take several minutes to an hour.

There are two methods for installing the YBSR tool.

1. Method one: Try the One Click Install method first at ybsr.mrmpslc.com. This method will prompt you to install the components that are required to run the YBSR tool. o Most of the process should be automatic, including the installation of any additional software needed for the tool (Windows Installer 3.1 and .NET Framework 3.5 SP1). o You may encounter a few manual requirements. If asked, click Run/Install on security-related windows.

2. Method two: If the One Click Install fails to work, try installing the required components individually. The following are links to each of the components that must be installed prior to using the YBSR tool: o Windows Installer 3.1 o Microsoft .NET Framework 3.5 SP1

Once you have finished installing these components, install the YBSR tool again from ybsr.mrmpslc.com/. YBSR should launch immediately after installing. The installation process also creates a new folder in your Start menu entitled “Microsoft Dynamics.” The new folder contains a shortcut to launch the application.

Be sure that you are running the latest version of the YBSR tool—version 1.4. There are two ways that you can check your version and update your YBSR tool. Check Your Version Open the YBSR tool, click About This Tool on the bottom left side of the main menu, and then select auto update.

Auto Update The application, if connected to the Internet, will check for an update every time it is launched. If an update is available, the tool will automatically download and install the update. All of your current customer data will be migrated to the new version of the tool. Manual Update Go to ybsr.mrmpslc.com, and download the latest version of the YBSR tool.

Page 14 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205 USING THE TOOL To use the Your Business Solution Roadmap tool effectively, it is important to conduct the customer assessment in person. Being prepared is crucial to ensuring a successful and professional experience for your customers. Language Options The tool presents two areas to modify language settings. This capability enables a partner to have the user interface in one language to assist in their use of the tool, while the assessment questions and roadmap output document can be displayed in the language preferred by the customer.

The user interface selection affects the language of components such as the left-hand navigation and various text blocks that do not get used in the roadmap output document. The assessment language selection changes the language for the questions presented in the assessment as well as the roadmap output document.

Note: Once a language is selected for a customer and their assessment is started, the language cannot be changed without restarting the assessment for that customer.

Interface Language In the Manage Partner Information screen one can select a language for the user interface for the tool. This language selection will change the language of the text on the Get Started screen, the left-hand navigation. The tool interface is available in the following languages:

Assessment Language On the Customer Profile screen, one can select a language for the assessment. This language selection will change the language of the assessment questions, business areas, processes, and roadmap document. The assessment language options vary according to the Microsoft Dynamics product. The assessment language options are as follows:

Manage Partner Information After the tool is installed and launched for the first time, you will be asked to enter your partner information. This includes the location of your company, as well as your name and contact information. The partner name you enter will appear on each page of the tool. The details will appear on the roadmap output document you provide to your customers after the assessment. Information includes:  Required information: Your company name, the representative’s name, and the representative’s phone number are mandatory. This ensures that your customers will have your name and basic contact information on the output document.

Page 15 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205  Additional information: If you would like to provide more information to your customers, you may also enter your company’s address and the representative’s title and e-mail address.  Interface Language: The default language for the tool. This should be the language you are most comfortable with. There is a separate language selection for each of your customers.

To edit this information in the future, click on Manage Partner Information in the left-hand navigation area.

Note: Advanced users can modify the default output template to fit their needs. For example, you can place the generated roadmap content into an existing proposal format that you have created. To establish a new default output template or customize the one provided with the tool, click on Modify Output Template.

Tip: To track where you are in the assessment process, refer to the left navigation panel. The tool will automatically highlight the business or process area you are currently working in.

Page 16 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205 Manage Customers This is where you capture essential information about your customer that informs the roadmap. In this section, you will:

Create the Customer Profile The first step is entering each customer’s information. Mandatory fields include company name, assessment language, Microsoft Dynamics product, license type and system manager users. Although the other fields are optional, they gather key information for providing customized resources and optimal recommendations.

Note: Once an employee has been added or an assessment has begun, the Microsoft Dynamics product in the customer profile cannot be changed.

Page 17 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205 Establish Module Status This screen lists the modules your customer currently has, according to the license type indicated in the customer profile. Choose all of the modules that your customer currently has activated.

Page 18 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205 Set Up Employees Enter the names and titles of the employees who will participate in the assessment. Secure the participation of all key decision makers to populate this list.

Select Employee for Assessment After the list has been established, select the individual employee, and begin the assessment.

Tip: If, at any time in the process, you would like to alter customer information already in the tool, click Edit Customer Profile in the area above the primary tool content.

Step One: Select Business Areas In this step, your customer identifies the business areas where they are interested in improving their operations. To help guide you through this section, the tool provides brief definitions of each business area when you roll over the selection options. The business areas and definitions are:  Business intelligence: Business intelligence is now leveraged in every size and type of business, from global manufacturers to corner retail stores. It allows them to spot trends so they can act quickly and capitalize on opportunities, as well as capture and share real-time information across the organization, leading to informed, effective decision making.  Field service: Field service has a significant impact on organizational profitability and customer satisfaction. An effective field service solution seeks to boost efficiency, reduce operating costs, and build customer loyalty by integrating information, people, and resources. It can also help streamline operations, reduce response times, and better manage the work-order life cycle.  Financial management: Sound, responsible financial management is central to business success. When done correctly, it provides the firm foundation required to realize the potential of your business through strong, manageable growth.  Human resources: Human resources, which administers the people in an organization from initial hire to retirement, looks to effectively manage complex tasks such as salaries and benefits, fulfill the potential and increase the loyalty of the workforce, and minimize costs and complexity.  Manufacturing: Manufacturing remains essential to business, and its basic goals unchanged: to produce the right products, in the right quantities, at the right time, with good quality, and at the right price. Manufacturing continues to evolve, however, with flexibility, quick response, and continuous product improvement becoming increasingly important.  Project management: Effective project management allows organizations to keep close control over their project performance, costs, labor, and other resources, which leads to improved project productivity and profitability.  Risk management: Risk management is a structured approach to managing uncertainty associated with difficult issues. An effective risk management solution provides a choice among scenarios by modeling various risk trade-offs, while also configuring workflow-driven approval processes and critical path schedules early on.  Supply chain management: Moving a product or service from supplier to customer can require the synchronized effort of numerous organizations, people, technology, activities, information, and resources. Supply chain management seeks to accomplish this movement as efficiently, quickly, and accurately as possible.

The familiar Sure Step methodology structure allows you, your team, and your customers to speak in common terms, facilitating better communication and a smoother transition to implementation. For additional information on these business areas, visit PartnerSource.

Based on their business area selections, your customer will then answer a series of business process–based questions. The customer’s responses will allow the tool to generate meaningful license and role deployment recommendations targeted to achieve the customer’s desired business capabilities, as well as an implementation timeline that you can customize with your customer.

Note: When scheduling the assessment with your customers, include business area managers to ensure that processes and needs are identified as deeply as possible. If a project leader has not been assigned, recommend that one be appointed to help prioritize which areas should be deployed for each phase of the implementation plan.

Tip: Progress bar. Each business area requires one page of questions to be answered for each business process. The progress bar located in the bottom left of the screen will show you how far along you are within each business area.

Page 22 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205 Step Three: Recommended Modules After the business capabilities questions are answered, the tool will generate the Recommended Modules page. The page will show which modules will benefit users throughout your customer’s organization, improve business processes in applicable business areas, and help them achieve business objectives based on their responses to the assessment questions.

Tip: Collapsible categories. Business area categories can be opened and closed by clicking the icon next to the department name.

Page 23 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205 Step Four: System Management Users and Roles This screen provides you and your customers with insight into how they are deploying their enterprise resource planning solution currently across their organization, as well as which users and roles will benefit from the added functionality resulting from recommended module activation.

There are two critical issues to address at this point in the process:  Validation of user deployment. Based on the functionality requirements derived from the assessment responses, the tool presents the roles that will be enabled by the recommended module activation. This helps to validate additional user deployment.  Planning for additional users. Using the tool’s role recommendations as a guide, you can collaborate with your customers to calculate the number of system management users they will need to add. To help you with this process, the screen also shows a comparison between the number of existing system management users and the number recommended.

Page 24 Microsoft Dynamics –Your Business Solution Roadmap Tool Version 2.0.1205 Step Five: Implementation Timeline This timeline gives you an opportunity to develop an initial schedule for implementing the desired incremental functionality over a one- to three-year span. Work with your customer here to develop a business process view into the timeline. When you move your mouse over each business process button on the timeline, you will see a list of modules associated with that process that are not currently activated. The generated roadmap will use your input to create a module view in the timeline that you can use to collaborate with your consulting team to develop a detailed implementation plan.

Note: To edit the timeline at this point in the assessment, merely click, hold, and drag the buttons to their desired locations.

Step Six: Generate the Roadmap Once you’ve completed the assessment, click Generate Roadmap to have the tool output the provided Office Word document or the template you have designated. This document will contain the information you entered into the tool, including the answers to the business objective questions. It will also provide the recommended module and role activations and implementation timeline.

As mentioned earlier, this document is completely editable, including the timeline, and can be put into your own proposal format.

After you have collaborated with your customer, consult with your own team to tailor the module, role, and timeline recommendations to accommodate the customer’s priorities, deadlines, and budgetary considerations. Other considerations include module prerequisites or independent software vendor (ISV) solutions that need to be incorporated and your internal availability, methodology, and process.

Note: You will need to input all costs in the financial summary section, including those associated with your services and add-on products such as Microsoft Office SharePoint® portal or ISV solutions.

The underlying structure of the tool is exposed through a set of XML files. The tool relies on associations throughout the XML files, allowing a partner to customize these associations to tailor the custom business areas to match their solution offerings. Two custom business area templates are included by default, providing examples of:

Simple Custom Business Area:  One business area  One process  One module, utilizing the à la carte licensing structure  Four questions, all triggering the single module  One custom role that triggers one custom department

Complex Custom Business Areas:  Two business areas  Four business processes, two tied to one business area, two tied to the other  Eight modules, all utilizing both à la carte licensing structures  Twenty-four questions, six tied to each process  Four custom roles, tied to one custom department

These two examples demonstrate that partners can customize all aspects of the assessment portion and resulting output documentation by adding their own technology solutions to the application. The following step-by-step guide demonstrates how to alter the files to customize the application to suit a partner’s needs.

Overview 1. Install the YBSR tool (The latest production release of the tool is always available here: ybsr.mrmpslc.com). 2. Run YBSR (Start-> Programs-> Microsoft Dynamics-> Your Business Solution Roadmap). 3. Enter Partner Information as required. 4. At the bottom of the Manage Partner Information, click Reset Partner Data Template.

Usage notes: Each module must be tied to a license type. In order for the custom modules to be included in the application, they must be tied to a license type. Importing a Custom Business Area into the Tool 1. Copy the revised XML templates to the import folder (Windows Vista default path is C:\Users\\Documents\Your Business Solution Roadmap\Content\Custom Partner Business Area Import). 2. Load the YBSR tool. Data from the customized XML template will be imported into the YBSR database. 3. To update information, make the changes to the XML templates in the input folder directly. On the next load of the YBSR tool, all data in the XML files will be parsed and inserted into the YBSR database. All customer data will be updated to include all changes.

Cannot Install the Prerequisite Components If you are experiencing difficulty installing all of the prerequisite components, the problem could be related to the bit rate of your operating system. The YBSR tool was designed to work with 32-bit operating systems, but it should also perform properly with x64-based operating systems. If you are using an x64-based operating system, be sure that you are running the correct SQL Server edition—SQL Server 2005 Express Edition. To do this:

1. Install the .NET Framework 3.5 SP1. 2. Reinstall the YBSR tool from ybsr.mrmpslc.com.

If you continue to experience problems, please send an e-mail to [email protected] for additional support. Unable to See the YBSR tool’s Entire User Interface If you cannot see the entire user interface of the YBSR tool on your computer screen, you may need to adjust your screen resolution and DPI. The YBSR tool was designed for a minimum screen resolution of 1024 x 768. First reset your computer to this resolution. If the problem persists, change your screen’s DPI setting from 120 to 96. The steps to do this vary depending on the version of Windows you are running.

Changing Screen Resolution To change your screen’s resolution in Windows XP: 1. Right-click on the desktop, and then left click on Properties from the menu that appears. 2. The Display Properties dialogue box will appear. Click on the Settings tab at the top right of the box. 3. Use the Screen Resolution slide bar to change the resolution to 1024 x 768.

To change your screen’s resolution in Windows Vista: 1. Click the Start button, and then click Control Panel. 2. Click Appearance and Personalization, Personalization, and then Display Settings. 3. Under Resolution, move the slider to 1024 x 768, and then click Apply.

Altering DPI Settings To change your screen’s DPI setting in Windows XP: 1. Click on Start and then Control Panel. 2. If your control panel is set to Classic View, double-click the Display icon. 3. Click on Appearance and Themes, and then click on Display. A box will pop up. Click on the Settings tab. 4. Click Advanced. Change the DPI setting to 120. 5. Click OK. You will be asked to reboot your computer. Click Yes.

To change your screen’s DPI setting in Windows Vista: 1. Click on Start, and then Control Panel. 2. Type Adjust font size in the search box. This will take you directly to the link for the DPI scaling utility. 3. Select 120. Using YBSR on Tablet PCs If you experience difficulty running the YBSR tool, you will need to adjust your computer settings according to the instructions below. This will disable the Tablet PC Input Panel, Windows Journal and Snipping tool and remove certain features such as the handwriting recognizer. Disabling this functionality is necessary while running the tool because of a Microsoft compatibility issue between the .NET Framework and Windows Vista Tablet PC Edition.

Changing Your Settings To change your computer settings in Windows Vista:

Deselect Tablet PC Optional Components. 5. To restore your settings after you are finished using the tool, follow steps 1 to 3, and reselect Tablet PC Optional Components.
