Introduction

Prospects Net is a software system intended to support Careers Service staff in many of their day-to-day activities in respect of dealing with students, employers, vacancies and events. It was recognized from the start that whilst the system was designed for ease of use, the inherent complexity of the tasks involved means that user training will be vital in getting the best use out of the system. Furthermore, as the number of staff needing to use the system grows, the need for on-site, targeted training is becoming more apparent.

This is a set of courses intended to provide Careers Service staff with specific skills needed for effective use of Prospects Net.

We will still, of course, offer regular free Prospects Net information days at various locations to prospective and existing Careers Services Prospects Net operators. Indeed operators have and will succeed in exploiting the Prospects Net system by having staff attend at and learn from the information day.

To get the most out of a specialist training day, it is recommended that course attendees have attended an information day or have had some prior experience with the system.

Module Structure

The training is organised as a series of modules following a needs-based structure. This addresses the following roles (others may be added in the future):

 Employer liaison: responsible for dealing with employers, their contacts, and their vacancy notices;  Events administration: responsible for organising various forms of events, from one-off presentations to regular everyday activities, and larger events such as fairs;  Reception: responsible for interacting with students on a day-to-day basis with regard to bookings and attendance at events, and all other aspects of service provision;  Encounters: generally involved in one-to-one encounters with students.

A training day in general will be from 1000 till 1600, with an hour for lunch. A training half day can be arranged for morning or afternoon eg 1000 til 1230 or 1330 til 1600. A hands-on approach will be taken, with the trainers able and willing to respond to local issues. The Employer Liaison and Events Administration modules each will take a full day; the other two are half-day modules, intended as short standalone courses. Note that much of the material of these two modules is covered as part of one or other of the first

two; with prior agreement it should be possible to organise the Events Administration module so that reception and/or advice/guidance staff can attend appropriate sections of the day.

Trainers

Trainers will be Sardin Solutions or Graduate Prospects staff who have in-depth experience of the Prospects Net system. We will ensure that the most appropriate trainer(s) is used to fulfil your needs.

Logistics

A Service (or group of Services wishing the share the costs) will need to do the following:

 Negotiate with GP (via Christine Tomkinson, [email protected], 0161 277 5248) with respect to trainer availability, dates, numbers, scope, and costs  Provide suitable training room for the numbers involved (with internet-connected PCs and beamer/projector)  Provide 1 PC per 1 or 2 people  Provide refreshments and lunches as required

Pricing GP will have to pay the cost of using the Sardin Solutions trainers and for seconding Graduate Prospects staff for both preparing and delivering the courses, and will normally expect to pass on this cost, at cost value, onto the organiser. The pricing is dependent on numbers and scope.

Extra trainers can be requested at the rate of £350 per day (£175 per half day).

On top of this travel and subsistence for the trainer(s) involved will also be charged on at cost. VAT will be payable in addition.

2. Events Administration (5 hrs)

 Configuring PNet for events  Creating and publishing one-off events  Administering bookings, waiting lists and reminders for one-off events  Recording attendances and refunds for one-off events  Creating, scheduling and publishing everyday events (regular activities)  Administering bookings and reminders for everyday events  Recording arrivals and attendance at everyday events  Dealing with staff diaries  Using templates for events and booking schemes  Dealing with many-to-many events ie fairs (when released)  Jobseeker view  MIS for events

3. Reception (2.5 hrs)

4. Encounters (2.5 hrs)
