MStores Off-Site Warehouse Page 1 of 11 [email protected] Last Updated: 11/08/2007 Sending Item(s) to Warehouse Sending a Particular Item for the First Time Christmas Tree Example 1) Click the button labeled “1) Create Category”. 2) Click the button labeled “Add Blank Line”. 3) Type a Category heading. a. i.e. Christmas Decorations b. This is a general heading, not the actual name of the item you want stored. 4) Click the button labeled “Submit” 5) Click the button labeled “2) Create Item” 6) Click the button labeled “Add Blank Line” 7) The “Unique Id” field should be populated with the next sequential number. a. i.e. “Item 0002” 8) Select the “Category” labeled “Christmas Decorations” from the drop-down list. 9) Type “Christmas Tree” into the field for “Product Description”. a. The more descriptive you are here the easier it will be for you to retrieve the item in the future. 10) Type a “1” into the field labeled “Items in Each Box” a. Because you are sending an item that you are not going to box up you enter a 1 here. 11) Select “Not Boxed” from the “Object Type” drop-down list. a. This field is to simply let us know if the item is being transported in a box or loosely. 12) Click the button labeled “Submit” 13) Click the button labeled “Send to Warehouse” 14) The contact information for the individual that is listed as your department’s primary user should automatically populate this page. a. Adjust information where necessary. b. Be sure that your complete email address is displayed. i. You must have the @umich.edu on the end. ii. Your unique name is not sufficient. 15) Select the Category “Christmas Decorations” from the Product Category drop- down list 16) Select the Product “Christmas Tree” from the Product drop-down list. 17) Type a “1” in the “Enter Quantity” field to signify that you are sending over just 1 Christmas tree. a. This field represents the quantity of items you want sent to the warehouse. So, if you have 3 Christmas Trees you would enter a 3 here. 18) Click the button labeled “Submit” 19) A warning message pops up reminding you to print off the bar-code for the Christmas Tree. Click the button labeled “OK”. 20) Click the link in the middle of the page labeled “Click Here”. 21) Print the PDF file that opens. 22) Take your print out and affix it to the Christmas Tree. 23) If you are located at an off-site building you are done. Someone will come by to pick up the item on the following Monday, Wednesday, or Friday. Medical Center Drive you will be receiving a phone call from Jeff March to schedule pick up of your item. Once he picks up the item you are done. 25) Jeff will then take your item down to UH level B2, where the item will sit in a designated spot in the hall outside of the Environmental Services offices until it can be loaded onto the next truck headed for the MStores warehouse. This will happen on the first Monday, Wednesday, or Friday following your submission. a. If your item is greater than 50 pounds, Jeff may refuse to take it, on the grounds that he cannot safely transport it. If this happens then please see our instructions on requesting transport via Campus Moving & Trucking.

The more descriptive you are here the easier it will be for you to retrieve the item in the future. b. A-L stands for the portion of the alphabet c. 2003 is obviously the year d. If you don’t distinguish between the three boxes like I have shown but rather just call it “Payroll Stubs”, when it comes time to retrieve data on a particular person we will have to ship all three boxes back to you because we will have no way to know which of the boxes contain the particular person’s data that you are looking for. 10) Type a “1” into the field labeled “Items in Each Box” a. Because you have no idea how many items are actually in the box you enter a 1 here. b. When in doubt enter one, otherwise specify the number of items in the box. 11) Select “Boxed” from the “Object Type” drop-down list. a. So, if you have 3 boxes all labeled “Payroll Stubs A-L 2003” you would enter a 3 here. However, when it comes to sending paperwork each box should be individually labeled, or you will run into problems. 18) Click the button labeled “Submit” 19) A warning message pops up reminding you to print off the bar-code for the Payroll Stubs A-L 2003. Click the button labeled “OK”. 20) Click the link in the middle of the page labeled “Click Here”. 21) Print the PDF file that opens. 22) Take your print out and affix it to the Payroll Stubs A-L 2003 box. 23) You now have two more boxes that you need to prep for shipment. 24) Because you have already created the Category “Files & Records” you do not need to do that again. But you do need to create the items “Payroll Stubs M-Z 2003” and “Payroll Stubs A-L 2004”. 25) So go back and repeat steps 5 through the end for “Payroll Stubs M-Z 2003”. Then do it again for “Payroll Stubs A-L 2004”. 26) If you are located at an off-site building you are done. Someone will come by to pick up the item within the next three business days. 27) If you are located at a building with the physical address of 1500 E. Occasionally you will have the need to send item(s) to the warehouse that are too large or the quantity is too great for our Hospital staff to assist you. When this happens you will need to have Campus Moving & Trucking assist you.
1) The initial steps to submitting your request are the same as those outlined on pages 2-6 of this documentation file. a. Submit request via the MStores website. b. Print off and affix bar codes to all items. 2) One of our staff will follow-up with you regarding your request. 3) At that time our staff member will make the call as to whether or not we can transport your item(s) to the warehouse. 4) If we are unable to transport your item(s) you will need to contact Campus Moving & Trucking to schedule them to transport your item(s) to the warehouse. a. (734) 764-2487 b. (734) 764-4007 5) You will need to provide them with the following address for delivering the item(s) to the warehouse. a. 3580 Varsity Drive, Ann Arbor, MI, 48108 b. Loading dock on far west end of building 6) The warehouse is not a manned facility but rather operated as a storage shed. We do not maintain any hospital staff there. We have people there on Monday, Wednesday, and Fridays between 10:00 a.m. – Noon. So please keep this in mind when scheduling Campus Moving & Trucking. 7) Once you have scheduled Campus Moving & Trucking you will need to notify the following people via email of the scheduled delivery time. Please give us at least 1 week notice, prior to scheduled delivery. Also, please do not schedule deliveries near holidays. a. Brenda Thrower [email protected] b. Jason Brown [email protected] c. Richard Layher [email protected] 8) Finally, please double check that all items have a bar code, generated from the MStores website, firmly affixed to each item. 9) Once Campus Moving & Trucking actually picks up the item(s) please email (Brenda Thrower, Jason Brown, and Richard Layher) to let them know that the item(s) are actually on their way.

Adjust information where necessary. i. The address listed on the screen is where they will ship the item to. b. Be sure that your complete email address is displayed. i. You must have the @umich.edu on the end. ii. Your unique name is not sufficient. 3) Select the Category “Cribs” from the Product Category drop-down list 4) Select the Product “Stryker Crib” from the Product drop-down list. 5) Type a “1” in the “Enter Quantity” field to signify that you would like 1 “Stryker Crib” returned to you. a. This field represents the quantity of items you want shipped from the warehouse back to the hospital. So, if you want 3 “Stryker Cribs” (and you have 3 over at the warehouse) you would enter a 3 here. 6) Click the button labeled “Submit” 7) You are done. The item(s) will be delivered to you on the next Monday, Wednesday, or Friday.

Adjust information where necessary. i. The address listed on the screen is where they will ship the item to. b. Be sure that your complete email address is displayed. i. You must have the @umich.edu on the end. ii. Your unique name is not sufficient. 3) Select the Category “Cribs” from the Product Category drop-down list 4) Select the Product “Stryker Crib” from the Product drop-down list. 5) Type a “1” in the “Enter Quantity” field to signify that you would like 1 “Stryker Crib” returned to you. a. This field represents the quantity of items you want shipped from the warehouse back to the hospital. So, if you want 3 “Stryker Cribs” (and you have 3 over at the warehouse) you would enter a 3 here. 6) Click the button labeled “Add Another Item” 7) Select the Category “Cribs” from the Product Category drop-down list 8) Select the Product “Crib Bubble Top” from the Product drop-down list. 9) Type a “1” in the “Enter Quantity” field to signify that you would like 1 “Crib Bubble Top” returned to you. a. This field represents the quantity of items you want shipped from the warehouse back to the hospital. So, if you want 3 “Crib Bubble Tops” (and you have 3 over at the warehouse) you would enter a 3 here. 10) Click the button labeled “Submit” 11) You are done. The item(s) will be delivered to you on the next Monday, Wednesday, or Friday.

1) Click the button labeled “Dispose of” 2) The contact information for the individual that is listed as yoru department’s primary user should automatically populate this page. a. Adjust information where necessary. b. Be sure that your complete email address is displayed. i. You must have the @umich.edu on the end. ii. Your unique name is not sufficient. 3) Select a “Dispose of Method” a. For this example you would choose “Shred”. b. Please note that the site shows you that a fee applies, meaning you will be required to pay for this shredding service. c. We will have a 3rd party vendor come in to do the shredding. They will provide us with a cost estimate, which we will pass on to you. d. If you agree to the cost then we will proceed. 4) Select the Category “Files & Records” from the Product Category drop-down list. 5) Select the Product “1995 Payroll Stubs” from the Product drop-down list. 6) Type a “1” in the “Enter Quantity” field to signify that you would like 1 “1995 Payroll Stubs” box destroyed. 7) Click the button labeled “Submit” 8) You are done. Once we have received confirmation from you that you are willing to pay the cost (i.e. your shortcode) we will proceed with having the items shred.
MStores Off-Site Warehouse Page 10 of 11 [email protected] Last Updated: 11/08/2007 Canceling a Request 1) Click the link labeled “Home” at the top left corner of the web page. 2) In the middle of the screen you should see a table containing a list of all open orders. 3) Click the “Order Number” of the request that you would like to cancel. 4) You should now be viewing a screen that shows you the details of that particular order. 5) At the bottom of the screen is a button labeled “Cancel Order”. 6) Click the button. 7) You are done, the order has been canceled. 8) If you again clink the link labeled “Home” at the top left corner of the web page you will see that the order number is no longer displayed within the list of Current Open Orders.
