AASFAA EXECUTIVE BOARD MINUTES PROPOSED SPEAKER MINUTES JANUARY 25, 2013 EMAIL PAGE 1 OF 1

The Executive Board met via email from January 25, 2013 to discuss the proposal by Debra Talley, Spring Program Committee Member, for the sole purpose of paying a speaker to come to the Spring 2013 Conference.

The proposed speaker, Matthew Jones, contacted Sharon Williams by email. In his email he stated that he had been the Keynote/General Session Speaker at the ASSFAA, KASFAA, MAFAA, MASFAP, NEASFAA, NCASFAA, CAPFAA, OASFAA, VASFAA, CASFAA, MASFAA, SDASFAA, VASFAA and EASFAA and would like to speak at the AASFAA Conference. Sharon sent the email to Debra Talley, who responded with the information about our conference and requested an expense proposal so that AASFAA could determine if the cost was within the budget. Mr. Jones responded with his availability of May 1, 2013 and his investment options for his presentation. Listed below were the options: 1) $1750 Inclusive (He will take care of all expenses plus include a copy of his book, “Life’s a Marathon” for each attendee which retails for $11.95.) 2) $1500 Inclusive (He will take care of all expenses but did not include his book.) 3) $750 plus expenses (airfare plus hotel and did not include his book). Travel for Austin, TX.

Sharon forwarded the Mr. Jones’ response to Debra and to all of the Executive Board along with a question of budget constraints. Amanda Sharp, as a not a voting member, responded that if money is available that she would like it to be used toward scholarships.

The responses from each board member are as follows: Sharon Williams, President – Not in favor, if the money is available it should be used for scholarships Kevin Ammons , President-Elect – Not in favor, if the money is available it should be used for scholarships Stephanie Miller, Secretary – Not in favor of paying a speaker Phillip Nelson, Vice President – No Response Ann Campbell , Treasurer – We have budgeted a spring conference income of $35,000 (fees of $26,000 and vendor income of $9000) and spring conference expenses of $26,000. Not opposed to paying a speaker, but don’t feel strongly either way.

With a voting response by 4 of the 6 Executive Board Members and the majority as not in favor, AASFAA will not be paying Mr. Jones to speak at the Spring 2013 Conference.
