Rotary Club of Bracebridge 2011-12 Board Meeting Minutes Monday, May 16, 2011 Host: Linda Brouillette

Present: President-Elect Linda Brouillette, Steve Meadley, Nancy Cox-Godfrey, Ruth Bell- Towns, Paul Mascarin, Ron Doty, Alfie Davis, Ron Love Regrets: Margaret Walton, Richard Borland, Darcy Hammond, David Berney

1. Call to Order: President-Elect Linda called the meeting to order at 7:05 p.m.

2. Theme for 2011-12: President-elect Linda advised the new Board that the Rotary International theme for 2011-12 will be “Reach Within to Embrace Humanity” as presented by Rotary International President-Elect Kalyan Banarjee. Banarjee says that, “we must be the change we want to see in the world.”

There are three components of the theme. a. Strength in Family. b. Continuity c. Change (We must not be complacent).

3. Planning Guide: President-elect Linda outlined the reason for the Planning Guide which prepares the Club for the year ahead by going through all Avenues of Service. For the Club, the Strategic Plan was a major vision and the next step is to encourage committee chairs to develop action plans which address the main goals in the strategic plan.

Board members will receive a draft club roster of committees along with copies of the goals and responsibilities of these committees and a copy of the Planning Guide.

President-Elect Linda wants the Club to keep promoting Club Fellowship and is very conscious of getting this going again.

Service Projects will include playground equipment at Annie Williams Park; possible splash pad at Annie Williams Park, possible outdoor ice surface and where to go with the Rotary Center for Youth.

International Service will include the “Rotary Wheels of Learning” in Cambodia and another possible project through El Arca and Rotary Connection in Mexico that would involve taking young people to assist. Because the Club has not received adequate communications with our Africa project, the World Community Service committee has decided not to continue in Africa. Michaela Korb and Marg Walton will co-chair this committee.

Linda would also like to see another 5-year forecast of projects as was done in Ron Walton’s presidential year. However, Linda understands that some funds should be made available so that each future President may have a project that he/she can put their mark on in their year.

Linda expects the Club to have 85% membership retention in 2011-12 and a net increase in membership of 2. The Club goal for funds to The Rotary Foundation is 1 $17,000 or $200 per member. Polio Irradiation contribution goal will be $2,500. The Club has additional foundation goals to acquire 1 Benefactor, 1 Bequest and 1 Major Donor.

4. Presidential Citation and District Club Achievement Award Steve Meadley agreed to monitor the Club’s requirements to achieve the Presidential Citation which includes two Rotary Foundation components and four Membership components.

The District Club Achievement Award is more difficult to achieve than the Presidential Citiation and requires the Club to meet 6 of 7 requirements.

As well, this year there is the Change Maker’s Award that Steve will also monitor in hopes of accomplishing all three awards.

5. Board Continuity The next meeting will be hosted by Margaret Walton at her cottage on Lake Simcoe on Monday, June 27, 2011. This will be a joint Board meeting with the new Board in attendance. The Old Board will give a 20-minute talk to the new board about the past year’s accomplishments, and current status on issues being addressed.

All members will meet at the Rotary Centre at 4:30 pm to travel by bus. This meeting will not include partners.

6. Directors Assignment The following Avenues of Service have been assigned to: Ruth Bell-Towns - Foundation Ron Doty - Humanitarian/International Support (with the youth component to be possibly augmented by an anonymous donor) Steve Meadley - Administration Ron Love - Membership Paul Mascarin - New Generations Darcy Hammond - Fundraiser David Berney - Community Service Margaret Walton - Vocational Service Alfie Davis - Public Relations & Club Trainer (train new members, committee chairs and future club leaders and report the progress to the Board)

7. Committee Assignments – meeting with Chairs President-Elect Linda has almost completed assigning members to the committees and will circulate to Board members in draft in early June for comment before circulating to all club members.

8. Strategic Plan Goal Assignments to Committees President-Elect Linda will assign Strategic Plan goals to the committees.

8.b Budget and Accounting Treasurer Richard Borland and President-elect Linda will distribute a draft of the new budget for discussion at the June 27, 2011 meeting. The Club’s accounts will be converted to QuickBooks from Excel.

2 9. Change of Officers Night Change of Officers night will be June 23, 2011. Secretary Nancy will send invitations to the Widows and the Honourary members. Music will be provided by Neil Barlow and Company. There will be several PHF given out that night.

10. District Governor’s Visit District Governor-Elect Brian Menton will visit the Club on July 8, 2011 and will meet with the Board in the RCY Boardroom at 11 am on that day. After the regular Friday meeting, Brian, his wife Dorothy and all new Board members are invited to Brouillette’s cottage for the afternoon.

11. District Conference The District Conference will be held September 29 – October 2, 2011 at The Rosseau J W Marriott Resort in Minett. The Brouillettes and Waltons are sharing a suite and they will offer hospitality to club members in attendance. The Board will be considering a shuttle bus between Bracebridge and Minett to encourage conference attendance.

12. Introduction of 2011-12 Year ADG Dan Herbert and Linda will be introducing the New Year theme at Rotary on June 17, 2011.

13. 2011-12 Meeting Schedule Meetings will be held the third Monday of the month starting at 5 pm. Note the meeting schedule in the chart below.

14. New Business No new business.

15. Rounds This year, Paul Mascarin hopes to see the Rotary Club support a community outdoor ice surface and an outdoor basketball court and would like to see it happen in Annie Williams Park.

16. Adjournment Moved by S. Meadley

THAT the meeting be adjourned at 8:22 p.m. to meet again on June 27, 2011 or at the call of the President-Elect.
