Job Title: Assistant Librarian Department: Library Responsible to: Librarian Job Purpose: To assist the Librarian in all aspects of the day-to-day administration of the Library and the provision of services to members of College and to researchers from outside the College.

Background information on the College

Lincoln College was founded in 1427 in the University of Oxford and is a self- governing institution in which the ultimate authority for all decisions rests with the Rector and Fellows. Lincoln has 600 students in residence, of whom approximately 300 are graduates. It enjoys an excellent reputation for its undergraduate education and has been among the top third of colleges academically for the past several years. The College is also a popular choice for graduate applicants to the University. Lincoln College is located on an attractive historic site in the centre of Oxford, with excellent access to university libraries and the University’s departments and faculty buildings. The collections at Lincoln College are maintained by the College Librarian, the Assistant Librarian, the Archivist and the Antiquarian Cataloguer. These members of staff are also supported by a Fellow Librarian and a Fellow Archivist and all work closely together.

Job Description

Bibliographic and reader services

 Cataloguing new material using the Aleph system.  Has primary responsibility for the day to day running of the circulation system. This includes maintaining the self-check system and associated security systems (CCTV, 3M and Chubb), as well as processing returned items, maintaining reader records, the Blacklist and dealing with loan queries.  Processing incoming books.  Managing journal receipts, claims and binding.  Maintaining and developing the Library’s webpages, Facebook, LibraryThing and Twitter presences, and other ICT resources.  Taking a proportion of the Library induction sessions, introducing new readers to the Library and helping with reader enquiries.  Promoting effective use of the Library’s collections and of other library and information resources in Oxford and elsewhere.  Helping temporary members of the College (including Summer Schools) in their use of the Library.  Maintaining the modern collections by shelving, book repair, following up the issues noted at stock check and other housekeeping.  Carrying out daily tasks to ensure smooth running of the Library: clearing desks, post, email, book return bin, checking the security systems and following up related issues.  Assisting the Librarian in maintaining library order, security and discipline.

Historic collections  Assisting with the management and promotion of the College’s early printed book and historic collections. Assisting with enquiries about the Library’s collection of early printed books and helping visiting scholars to consult them.  Maintaining good preservation practices and assisting with the preservation and conservation of the College’s historic collections.

Management and administration  Deputizing for the Librarian in her absence.  Hire and supervise student invigilators for summer schools and stock-check.  Contributing to the policy, planning, and development of the Library and its services.  Assisting the Librarian in the organization of special projects.  Performing such other duties as may from time to time be required for the running of the Library.  Recruiting, instructing and supervising student helpers in carrying out the annual stock-check and invigilating Summer Schools.  Assisting the Librarian in maintaining the fabric, plant and equipment of the Library and liaising with College staff and external firms.  Managing petty cash.  Attending meetings and training sessions as appropriate.

The post holder will be expected to undertake any other duties or tasks as reasonably requested. This job description may be subject to review in consultation with the postholder.

Person Specification

The successful candidate will be able to demonstrate that they have:

 A professional qualification in Librarianship or Information Science  Proven Library experience working in an academic library  High level of information and computer literacy, including proficiency with catalogues, library management systems, word processing, email and spreadsheets  Good time-management and organisational skills to manage a range of duties, including some clerical or manual work, as part of the daily routine  Ability to work alone and as part of a team  Excellent communication & customer service skills

The following criteria are also desirable:

 Experience of RDA, MARC and / or Aleph circulation and cataloguing modules. Training will be provided if necessary  Awareness and experience of good conservation and preservation practices  A working knowledge of at least one modern language other than English

Terms and Conditions

Appointment: The appointment is a permanent post, to be filled as soon as possible.

Any appointment will be conditional on verification of the successful candidate’s availability for employment in this country.

The initial period of appointment is probationary, for six months.

Salary: Equivalent to Grade 5 of the Oxford University Pay Scale, with a starting salary in the range £24,565 - £29,301pa, depending on experience.

Pension rights: Oxford Staff Pension Scheme (OSPS)

Meals: Free lunch is provided in College when on duty.

Hours of Full-time, 36.25 hours per week, Monday – Friday. Start and finish working: times to be agreed with the Librarian. Occasional attendance at evening events may be required.

Annual leave The post-holder will be entitled to six weeks’ paid leave plus 8 days entitlement: Bank Holidays in each year. One week must be taken at Christmas and the remainder to be taken at such times as shall be mutually convenient, and agreed in advance with the Librarian.

Notice period: During the initial probationary period, notice will be one week on either side. Subsequent to satisfactory review and confirmation in the post the notice period will be one month on either side.
