PROJECT EXPO & PR AWARDS DINNER: FRIDAY MARCH 6TH

Each club at a minimum should send their President, President Elect & PR Chair. This would be a great opportunity for a club to consider the PR Dinner to be their weekly meeting.

MINUTES FOR MEETING HELD ON Thursday 02/05/09 @ Action Unlimited in Concord

15 Attendees: Carol Toomey (Acton/Boxborough), Cheryl Rosen (Worcester), Nick Storrs (Montachusett Area), David Moquin (Fitchburg), Rich Dietz (Southborough), Tom Stevens (Framingham), Christine Pinney (Bedford), Peggie Thorsen (Marlborough), June Grace (Concord), Peter Kenyon (Acton/Boxborough), Bill Barnett (Westford), Susan Rack (Brookline), Lindsay Dean (Acton Boxborough), Kim Silvestri (Acton-Boxborough) & Jim Fusco (Montachusett Area)

Carol opened the meeting @ 6:30PM

Raffle Tickets: Cheryl is in charge of the raffle & reported that she has started receiving ticket returns but at a much slower rate than expected. Each committee member was urged to “SELL TICKETS”. The drawing will be held at the District Conference.

Club Service Projects: Carol mentioned a soon to be published “Rotary: Profiles in Service”. Every club should use every opportunity to promote their projects. Some projects mentioned: Peru Eyeglass project and the African Water Project.. The author is soliciting service project ideas from Rotary clubs around the world. If interested is submitting your service project ideas contact Cheryl Rosen for information.

PR Grant: RI approved a $7,500 grant (we had applied for $10,000). RI did not approve the rear window decal item but approved bus advertising for the Fitchburg/Leominster/Gardner area and for the Watertown/Waltham area and also approved advertising on 5 billboards. A subcommittee chaired by David Moquin was set up work out the details for the bus advertising campaign: Susan Rack & Jim Fusco will be on this sub committee. The “Humanities in Motion” DVD from RI was shown.

PR Dinner: Carol passed around the promotional flyer. It was decided that the name should be changed from “PR Dinner” to “Project EXPO & PR Awards Dinner” to better reflect what the dinner is about. In addition it was suggested that the following wording should be on the flyer: “Thank your local media reps: bring them as your club’s guest”. Carol will update the flyer to reflect these changes and will have it ready for Monday.

Registration: It was decided to do the registration on our www.District7910 web site or by telephone to Cheryl Rosen. In order to urge early registration the price is $30.00 per person until Feb 27th and then $35.00 per person . The registration team for the actual event will be June Grace & Lindsay Dean.

Menu & centerpieces Lindsay: She will assure that the flag & sound system is there.

Promotion: Jim Fusco The promotional flyer will be sent out as soon as possible. In addition Jim & Carol will create a talking guide to be used when visiting the clubs to promote the event Assignment of members to clubs was done. Jim will assure that all clubs are covered and will send out the list so everyone knows their assignments. The PR websites should be up and running by the month of May. Rich Dietz will work with Jim Fusco on this. Each club at a minimum should send their President, President Elect & PR Chair. PR EXPO awards: Christine Pinney is in charge. She stated that thought was given relative to an award for best EXPO Project but it has been decided to just present each participant with a “Certificate of Appreciation” and not to make it a competition. Christine said she expects great participation in the EXPO.

Carol passed around a timeline for the event for review. Nick volunteered Monty Broc Club to do the song. The Major Donor Reception will not be held at the event this year.
