April 9, 2016

Call to Order The meeting was called to order at 9 a.m. by club President Henry Roesler. Henry Roesler

Treasurer’s Report As of today balance is $3,077.42. Cindy Roesler

Secretary’s Report Motion by Lynn Boehne, seconded by Karen Bell to accept the Minutes of Nancy Sandford January 30, 2016. Approved

A reminder to the coordinators to make sure the Applications that are handed in are filled out correctly .

New Business

PRESIDENT: Henry thanked all of the coordinators for coming to the meeting. Our meetings are important as this is a means to answer questions and let everyone know Coordinator what is going on. Our coordinators are our eyes and ears of how the games are Attendance at going. We cannot tell you how much each and every one of you are Meetings appreciated.

Coordinators were reminded to tell the members about putting their cell phones on vibrate and to take any calls out in the hallway. Also to please not wear any perfume, aftershave, etc. because of players allergies.

. President’s Council First, I would like to apologize for several of the games having to be cancelled update without notice. Last year we were made aware of the upcoming event without looking at all the room permits. It seems under the new administration that will not be the case and the President and Treasurer will have to go through all the permits and hopefully catch any game that has been cancelled. We have been told that it will take them too long to notify us!

HOA will now be charging for the use of the small kitchen in the Celebration Hall along with use of the stage.

Budget According to Pulte, each club is allowed to have $500 more dollars in their Treasury than they started with in that year for tax purposes.

That will be the goal of our club each year. As the club is getting larger, supplies are wearing out which have to be replaced. We will also be charging a fee when giving lessons to pay for any supplies that have to be used for those games.

New ByLaw Change – Existing Bylaw: (Section in bold and underlined is the section Article II - to be amended.) Membership Article II - Membership Section D – Dues Section D. Dues: Limited Lifetime dues are $20.00 per person. There is no distinction between those who own their homes and those who rent for a limited time. Dues in the form of cash or personal check made payable to The Sun City Festival Community Association accompany submission of the Player's Club Membership Application. Dues and membership application are submitted to any officer or game coordinator. Internal procedures are developed to insure the security of funds and the confidentiality of personal information.

Club officers retain the prerogative to institute annual dues in the future should club solvency warrant and upon approval of the general membership.

New Bylaw: Article II - Membership New ByLaw Change Section D. Dues: Limited Lifetime dues will be determined by the club officers – and game coordinators. There is no distinction between those who own their Article II - homes and those who rent for a limited time. Dues in the form of cash or Membership personal check made payable to The Sun City Festival Community Section D – Dues Association accompany submission of the Player's Club Membership Con’t. Motion by Lynn Boehne, seconded by Karen Bell, to pass the new ByLaw as presented.

Passed unanimously.

New Limited Lifetime Henry and Cindy explained why the Board is asking for an increase to $25.00 in Dues the dues for NEW MEMBERS only. We hope to have a motion passed, have the HOA approval, and institute the new $25.00 dues increase on May 1, 2016. $25.00 for all NEW MEMBERS Motion by Mike Potacki, seconded by Daryl Rachey to increase the dues to Starting May 1, 2016 $25.00 for NEW MEMBERS only starting at a date when all signitures are obtained.

Passed unanimously

Coordinator Game Nancy Fausone, VP (came in at 9:30) asked all the coordinators that were SUMMER hiatus present if they would run their game during the summer and if not when it would stop and when it would start again.

Game Rules vs Discussion was had on how some games are played. Game Play The players can make changes to how they are playing a game if 100% agree that do not effect the game rules.

Example: Poker players on a Texas Hold em game day decide to play Omaha every other hand. They can do that if they all agree even though the game night was defined as a Texas Hold em game.

Open Discussion Q. Kathy Labus – Is it possible to have Open House before lessons are given? A. Open House is usually held at the same time every year and this is usually while lessons are being given for the winter. We will see is we can match the schedule up better next year.

Q. Mary Yaconelli – Thank you for trying to control the perfume smells. Perfume is a real problem. I think AZ has a statute concerning this matter. A. I will ask the coordinators to be more aware of this situation to see if we can control it better. Also it has been noticed that the ASU room computers have been removed and Janet is using the room more for inhouse events as the community is growing.

Adjourn Motion to adjourn was made by Mary Yaconelli and seconded by Mike Potacki to adjourn the meeting at 9:50 a.m..
