Product Support and LMS Platform

July 2009 Roundtable

Hosted by: Judi Rutherford

Product Support and the LMS Platform  Informal and Formal Learning  Knowledge Manager

Informal and Formal Learning (also see the PowerPoint Presentation)

Suggestion from one of our participants about how they use ‘informal learning’ to their benefit One of our participants conducts short informal learning presentations about 30 minutes long. The first 20 minutes a Subject Matter Expert (SME) teaches and then the last 10 minutes the subject is discussed.  These short presentations are taped so they can be used by others as needed.  To make sure information is accurate; our client controls content accuracy by using a SME. Another benefit of using a SME is that learners can then use the SME later for follow-up/clarification.  Individual participation can be tracked on the front and back ends. Emails are sent and some individuals accept and others decline. Then the client documents at the presentation who attended.  These informal short presentations help employees feel connected because they are engaged in their learning.

Knowledge Manager - Live Demonstration/Discussion The Knowledge Manager gives you the opportunity to create a checklist, then you can include the checklist in a module and assign to Learners. Checklists are assigned to Learners and graded by designated preceptors.  Checklists can be task-oriented (e.g., steps to start an IV or process a chart)  Checklists can be broad in scope or multiple items to be completed over a period of time. (e.g., list of items needed to complete leadership training or an orientation program).

Question: How do you Assign a Checklist? Answer: Create a module that includes the checklist.

Question: How do I make a Learner or an Adm a Preceptor? Answer: Open Administrative Access Management for the Learner/Adm you want to make a Preceptor and from Checklist Options, select “May grade checklists.” (Note: if this is a Learner, you will need to make him/her an Adm before you can assign this access privilege.)

Question: Will other Preceptors see my graded checklists? Answer: Assign a Preceptor to the module so other preceptors will not see it.

Question: Who can grade a checklist? Answer: Any learner in the system that has been provided the permission to grade checklists.

Question: I have some items on the checklist that must be passed and other that do not have to be passed. How do I do alert the preceptor to that so they do not fail a learner if the learner failed a non required item? Answer: You can type ‘Required’ in the ‘Item’ description when you create the checklist.

Question: What do I do if a Learner fails a checklist? Answer: You can reassign the checklist after archiving the initial checklist or you may copy the initial checklist, change the title and assign the new checklist so that you will see both checklists in the learner’s lesson plan.

Tips from Judi:  Instead of archiving a checklist, you can copy it.  Use the Version History if you make changes to the checklist.  Add Keywords. Keywords are not used right now but will be used later.  You can customize one checklist for an individual.
