TERMS OF REFERENCE Operational Planning Meeting

1 Overall Objective The overall objective of the planning meeting is to provide leadership and direction to accurately predict successful commencement and completion of all projects. This is achieved through the active engagement of all necessary team members who are tasked with ensuring permissions and communications are in place, not only to meet our general obligations but provide the best possible experience for customers. . Any barriers to achieving the above will be properly addressed to provide the best chance of success on a right first time basis.. The meeting will support discussions regarding the efficient and cost effective use of resource to deliver contract outputs and improving customer experience.

2 Time, Location and Owner The planning meeting will take place weekly in all operational areas and the owner will be the Area Manager, if for whatever reason the Area Manager is unable to attend they must nominate a suitable deputy whilst still holding responsibility for the overall outcome of the meeting.

3 Suppliers The recommended suppliers to the planning meeting are as listed below:  Area Manager  Senior Agent / Authorising Engineer  Scheduler  DCV (where appropriate)  NRSWA  CLO  Site Manager (time slot given)  CSE Supervisor  Subcontractor (Supervisor)  SCO Technician (where appropriate)  Internal Works (where appropriate)

4 Input To perform effectively, the planning meeting will have access to relevant documentation and systems as required, but will not be limited to. See list below:  MSP (forward and Back Review)  Drawings (either via nexus or on paper)  Critical Works Tracker (if undertaking in this meeting) Customer Information historical (CSAT) and project specific as applicable  NRSWA Reports  Issues / Blockers (verbal)  Predictions  Push Plans (Verbal/in paper/on electronic system)  SCO 1  Resources  LA Issues (if known)  CLO input (verbal)

5 Output The Recommended output to the planning meeting is as listed below:  Updated MSP  Updated NRSWA (start and End extensions)  Letters to customers  High Profile / Vulnerable(CLO)  Mob's identified  Redesigns identified  Weekly Predictions  Previous week meterage (met against previous prediction)  Section 74/58  Material (large Dia / DHL)  Reinstatement Compliance  Highlighted Drawings (as and when required)  DAF Request (as and when required)  Project Completion  CP/Site Management covered 1 Project / Site specific safety or environmental risks
