I Call of Meeting to Order

 The meeting was convened at 8:40 am.

 Fifteen (15) officers, directors and members were present.

 No actual meeting minutes was taken on previous meeting – essentially an introduction for Pacita and Dominga

IV New Business

 Treasurer’s report

o Current balance is $42,695.00

o HAMA financial report provided by Paul and Andrea

 Registrants no longer entitled to the discounted rate of $150.00, they have to pay the regular fee of $170.00.

 SOUVENIR PROGRAM

o Deadline for submission of advertisement – tentatively set by end of February

o Paul takes care of the ads fees

o Still expecting from NAMA, Southern California, British Columbia, Texas (TAMA)

o No publisher yet – to be determined

o Deadline for registration fees on Dec. 14, 2012

 MEET AND GREET NIGHT - 3/14/2013 (Thursday)

o Exclusive only to alumni and espouses

o T-shirt (Andrea) – to be finalized next meeting

o Textured tote bag sample print distributed (Eddie) – yellow with maroon prints (suggested order of 300 units)

o Sample name tags shown (Eddie) – yellow lanyard, maroon prints (500 units ordered)

o Sample program was distributed . Needs to add entry of alumni delegates

. Singer for National Anthem – Rico, Rosie Patin

. Add Alma Mater Song – after the national anthem

. Invocation – Eddie to ask Wendel Formales

. Dinner – Dante Kahilig to sing on the duration

o School Night (Amado) – suggested in Houston and Calgary

. First time to be done in Mapua World – 1 hr

. List of attendees and disciplines would have to be reviewed ahead of time so that discplines who have few attendees can be grouped together

. Because this is the first of its kind, everybody is encouraged to share ideas

o Singer and Combo (Juny) – somebody has donated the fee

o Photographer (Andrea) - $10.00 for individual picture, a booth would be set-up, picture for the event is $500.00/day, video for $900.00/night. Company is Dream Lights

o Golf tournament (Silvester Ulep) – confirmed for Kapolei golf course

. Registration forms should be checked to find out the participants and those people must be contacted immediately for coordination

o Seminars (Silvestre Ulep) – HART seminar, 30-minute slideshow, another 30 min for questions and answer or open forum

o Proclamation (Manny) – still waiting for letter to be sent out to Governor and Mayor. Lina to help Sil on securing the proclamation.

o Phil. Consul General, Julius Torres – inspirational talk (around 15 min), to be invited by Lina

o Buffet Dinner (Andrea) - $53.21 per person

. No-host cocktail, no pupus

o Hawaiian Attire

 GALA NIGHT – 3/16/2013 (Saturday)

o Rory did not make it

o Set Dinner - $50.68 per person

o Polynesian Cultural Center tour – . starts at $10:00 am

. cost is $136.00 for the whole tour package

. fee includes tour (pali, hanauma bay, north shore), dinner, night show, transportation, luau

. $50.00 for only the PCC tour

. Payment needed two (2) weeks ahead of time

. Lina to check attendees interested on this tour via the registration and to start calling those delegates

. For personal trips, Alii Luau costs $93.00, plus transportation of $22.00

o Seating arrangement – Gena did not make the meeting

. All the names of attendees in the website

. Attendees to be arranged by geographical area (ie, Canada, California, etc.)

o Formal or Filipiniana attire – no shorts, slippers

o Tickets distributed – some feedback needed by next meeting on February

 EMCEES FOR THE MEET & GREET AND GALA NIGHT

o Noel Santos tagged as back-up to Rico Viloria

 RECOGNITION OF GRADUATES (GALA NIGHT)

o Graduates over 50 years- Joe Piniol, Maria Domingo, Lito Alcantra, Paul Lucero, Vergel del Rosario, Lina Longboy, Pacita Magbaleta, Nelson Pulmano

o A HAMA plaque or certificate would be given to awardees

o Youngest and oldest attendees would be recognized – maybe lei, plaque, certificates

 PICNIC (Willy)

o Ala Moana Park – Area #33 (next to magic island)

o 3 – 20’ x 20’ tents , 150 chairs, 18 tables (3’x8’)

o Timeframe is 8:00 am – 3:00 pm.

o Set-up by 10:00 am to be by hired company

o Area needs to be cordoned-off

o Attendees suggested to wear event shirts (provided in the tote bag) o Allow for 200 participants

o Filipino cuisine, barbecue (Rico to check if allowed) – no amplified music

o Map is available – would be included in the delegates’ packet

o Andrea to prepare menu for next meeting

 ENTERTAINMENT FOR GALA NIGHT

. Ben Alconis - Pangkat Kawayan – count, transportation, fee

. Marissa - Hawaiian and Tahitian dancers

. Rico - Back-up number by HAMA band Young Once

. Night Shade Band – main band for the event

 SOLICITATION OF ADVERTISEMENT

o Full page ad is $150.00

o HAMA Family Members

o Currently have 28 advertisements

o Rico – Falea advertisement, to confirm with Elvie on the ads and number of tables

 COORDINATORS

o Each coordinator to be assigned 25 delegates each (less if more coordinators)

There being no other matters, meeting was adjourned at 10:20 am.
