JOB TITLE: Careers / Apprenticeship Advisor and AQA Moderation and Administrative Assistant: Secondary Provision (KS4 – Year 10) (Job Share) LOCATION: Greys Education Centre, Secondary Provision Kempston GRADE: NJC 20-23 TTO – 37 hours per week (Job Share) DATE PREPARED: January 2018 REPORTS TO: Business Manager & Head of School

JOB PURPOSE:  To deliver impartial and independent Careers and Apprenticeship advice and guidance to KS3 & KS4 pupils  To work with College Careers Co-ordinators and appropriate members of staff in schools to provide effective independent and impartial advice, guidance and careers activities to pupils of Greys Education Centre  To Moderate and Administer AQA Unit Awards  To provide efficient and effective KS4 (Year 10) administrative support for the secondary provision

MAIN DUTIES AND RESPONSIBILITIES:

A Careers / Apprenticeship Advisor:

1. To provide 1:1 student careers and apprenticeship interviews, assess interests, abilities and achievements, review options and realistic planning for action, for all pupils attending Greys, with a priority focus on Year 11 pupils.

2. To work with all students deemed to be ‘at risk of becoming NEET’ and in partnership with statutory bodies, develop careers education and guidance strategies to reduce this risk.

3. To liaise and build relationships with local employers, training providers, colleges, other schools and FE institutions to provide accurate career and apprenticeship progression information.

4. To liaise with tutors to ensure effective impartial and independent careers and apprenticeship guidance is offered to all students

5. To keep up to date with occupational and labour market information

6. To deliver training sessions to small groups of pupils to help them into employment such as communication skills, etiquette for interviews and how to research job opportunities.

7. To enable all Year 11 pupils to build a career progression portfolio during their stay at Greys, that will contain documents and evidence of achievement that can be used practically when applying for further training or employment after leaving eg. CV and Awards achieved

8. To review/maintain current resources to ensure all relevant information is both current and sufficient to meet the pupil needs

9. To keep records, write reports and undertake any other administrative tasks necessary in this role

10. Using information provided by Bedford Borough Data & Statutory Education Returns Team, to be responsible for monitoring, tracking, recording and reporting the learning progression of pupils in Year 12 and Year 13 in line with Government requirements, as directed by the Head of School.

B AQA Unit Award – Moderation and Administration

1. To assist the Senior Leadership Team (SLT) with developing policy, practice and targets for the Unit Award Scheme.

2. To co-ordinate work for the Unit Award Scheme, assessing and submitting entries for award and preparing entries for external moderation as and when required, with a focus on employability skills available through the scheme.

3. To work closely with staff, training them as required in the use of the Unit Award Scheme and to ensure that the required standards are understood ant that staff work towards best practice

4. To provide the Exams Officer with statistics relating to the Unit Award Scheme as and when required

C Administrative support for KS4 (Year 10) Secondary Provision: 1. To undertake reception and hospitality duties, i.e. Visitor fobs, complying with security and safeguarding requirements, maintaining minibus booking diary. 2. to open, sort and distribute post, including that received via the Borough courier service. To deal with outgoing mail, including responsibility for posting all mail daily 3. to provide administrative support to the Head of School (Secondary Provision) 4. to provide general administrative support for KS4 (Year 10) including typing and spreadsheet/database entry, Word and Excel, telephone reception, message taking, responding to enquiries from education staff, heads of schools, professionals from other agencies, voluntary organisations and parents 5. to use the SIMS Management Information System, as directed by the Senior Administrator: Exams & Data Manager, inputting data and producing reports as required 6. to input data onto a number of databases regularly used by the secondary provision, providing statistical information to the Headteacher as required 7. to establish and organise filing systems and to ensure that filing is up to date. To make up files, assemble and submit relevant data from files where necessary

D Professional Development: 1. participate in arrangements for the appraisal and review of their own performance and, where appropriate, that of other members of the admin team 2. participate in arrangements for their own further training and professional development and, where appropriate, that of other members of the admin team 3. undertake training and professional development to ensure progression in the development of the work within the responsibility of this job description

E Contribute to the general policies and practices of the Academy 1. contribute as required to the development, implementation and evaluation of Greys Education Centre policies, practices and procedures in such a way as to support the values and vision of Greys Education Centre 2. promote the health, safety and well-being of pupils and colleagues 3. know how to identify potential child abuse or neglect and follow safeguarding procedures 4. ensure the development and progression of equality within the sphere of responsibility of this job description and the fair and equal treatment of all pupils, parents/carers, staff, other personnel in Greys Education Centre or working with Greys Education Centre 5. undertake any other duties and responsibilities which are consistent with the grade and expertise required of the post holder as may be required from time to time

SELECTION CRITERIA

The Selection Criteria for the post should include qualifications, relevant experience, skills/abilities and styles/behaviours essential to perform the post

Criterion

A GCSEs A*-C in English and Maths B Experience of working within an office environment

C Must have good general IT skills and experience using word, excel and database packages D Must have good organisational skills ensuring that work is prioritized appropriately and deadlines are met

E Must be able to work in own initiative within agreed boundaries

F Must have excellent oral communication skills and be confident in dealing with difficult telephone calls or visitors ensuring a customer care approach

G Must have good written communication skills and the ability to check information given and documents produced are accurate and appropriate. H Must be a good team player, with the ability to work collaboratively with colleagues and a variety of professionals

I Work flexibly to ensure the service is maintained at all times

J Commitment to self-development and willingness to undertake further training

K Commitment to equality principles

L Prepared to undertake the Level 6 Diploma in Careers Guidance and Development qualification or equivalent
