Services and Fees For Special Events 2014

At Upland Hills Farm we understand this is YOUR wedding – YOU MAKE THE CHOICES! We are here to make sure the details come together and your special day goes according to all of your hard work and planning choices. This letter is intended to provide detailed information about the Farm and the amenities we have available for your event.

. During the summer we run a day camp for children. Therefore, you may arrive at the Farm no earlier than 4 p.m. the Friday before your event to start decorating and setting up tables and chairs. Tables and chairs may arrive Friday morning. Items such as kegs of beer, flowers, food, and ice can be delivered Friday afternoon and stored in our freezers and walk-in refrigerator. We ask that these items arrive after 4 p.m.

. If you think you will be needing assistance Friday evening to set-up, please let us know in advance. The cost for this person is TBD.

. Decorations can be stapled, taped, or hung in the Picnic Shelter. Please check with the Farm for approval of any questionable decorations. Please remember that everything you put up, you will need to take down.

. All decorations that belong to the Farm will remain where they are. Nothing will be taken down.

Ceremony Services

. The ceremony can be located in many places. If you choose to have your ceremony outside you will need to provide seating. We are here rain or shine. If rain is in the forecast we can make adjustments to move your wedding inside a barn or you can choose to rent a tent from a local tent rental. . Ceremony Facilitator – if needed someone from the Farm will help make sure the ceremony flows according to plans. . There is no sound system outside or in the upstairs locations. . There is no specific dressing room for the bridal party. We do offer our restrooms as one possible location. . There will be staff available to direct cars for parking. . Staff can be provided to help set-up ceremony chairs and transport them to the reception site for $20.00 per hour per staff person. One hour minimum charge.

Reception Services

. Reception facilitator - if needed someone from the Farm will help make sure the ceremony flows according to plans. . Blue picnic tables . Microphone and sound system to play music from an MP3 player you provide. . White twinkle lights in the ceiling . Bar area - Bartender not included . Catering area for Caterer . Refrigerator and freezer . Event staff to help facilitate set-up and tear down and clean Deposits and Balances A deposit of $500.00 is needed to secure the date of your event. The deposit is refundable up to four months prior to your event. The final balance is due the day of the event. We do not accept credit card payments.

Rental of the facilities The Farm will be exclusive to your party. The cost is $1,500 for 5 hours. You may start your party at any time as well as end it at any time. Additional hours are available for $200.00 per hour.

Farm Staff On the day of your event, the Farm will provide staff members here to ensure your event runs smoothly. If you require additional services from the staff outside of our general responsibilities, certain fees may apply.

Hayrides The cost for hayrides is $50.00 per hour. The hayrides consist of one tractor and two wagons. Each wagon will comfortably seat 25-45 people. The hayride will take approximately 20 minutes. There is no smoking on the hayrides and we will ask all guests to remain seated.

Pop, coffee and tea The use of our pop machine and coffee machine are available for $40.00 per hour. The pop machine includes 8 flavors: Pepsi, Diet Pepsi, Mt. Dew, Iced Tea, Pink Lemonade, Sierra Mist, Mug Root Beer, and Dr. Pepper. Water is also dispensed from the machine; however we suggest you provide bottled water, based on most people’s opinion of our well water. The pop is dispensed cold but we do not provide ice. We will provide cups, cream, sugar and tea bags. You may choose to provide your own cups or glasses.

Popcorn Popcorn is available to your guest as an appetizer, late night snack or both. Popcorn is $100.00 and is served in a white paper bag.

Alcoholic Beverages As the host of a private party, the CUSTOMER acknowledges responsibility for the proper and lawful consumption of alcoholic beverages at Upland Hills Farm during the duration of the event. You are responsible for hiring a bartender to serve all alcoholic beverages. The staff of Upland Hills Farm will not serve or handle any of the alcohol. The bartender will exercise care in serving alcoholic beverages, and will refuse to serve to any person under 21 or any person who appears to be intoxicated.

Cleaning up after the event Any items rented from a rental company need to be picked up the next business day. All rented items i.e.: tables, chairs, linens, and dishes need to be folded up and stacked in a designated area for pick-up the night of the event. Cleaning up is simple. Whatever you do not want to save or keep we will throw away for you. The staff of the Farm will sweep, clean restrooms and take out the trash.
