Skills Group Coordinator
Supervisor : Program Support Supervisor
Position Function : Manage the youth and parenting skills groups including coordination of group scheduling, locations and assignment of STAR Counselors. Assist with the input and maintenance of all client data and billing. The job requires sensitivity to the service population’s cultural and socioeconomic characteristics.
Education Requirements : High School Diploma or equivalent.
Experience Requirements: One year experience working with at-risk youth and families is required. A minimum of 1 year in data entry or clerical experience is required. Proficient in Microsoft Excel.
Functional Requirements: Schedule and coordinate the skill builder groups and managing relationships with courts and other referral sources. Prepare and submit all required paperwork in a timely manner. Assist with the input and maintenance of all STAR client data and files. Assist with billing and other reports as needed. Demonstrate sensitivity and responsiveness to the service population’s cultural and socioeconomic characteristics.
Working Conditions: Exposure to children and families with behavior problems, including possible physical aggression. Frequent computer usage/typing required.
Exposure to Confidential Information: Maintain confidentiality & follow policies related to personal records & client records.
Key Expectations/Responsibilities: Documentation & Reporting: Work with courts to track referrals. Oversee the accurate reporting of youth progress through and completion of the program. Coordinate communication and interaction with courts and families as needed to provide good customer service and program productivity. Programming: Schedule and maintain the skill builder groups including but not limited to:
Position Description: Skill Group Coordinator Page 1 of 2 reminder calls, mailing class schedules, responding to client inquiries, follow ups and mailing certificates. Schedule counselors to lead the groups. Maintain documentation and files required to fulfill STAR and agency requirements. Community Relations: Develop and maintain referral relationships with court representatives and other existing or potential referral sources in coordination with the Outreach Coordinator. Assist in providing community presentations about skills groups. Establish and manage relations with sites for the groups to be held in Tarrant and all rural counties within the STAR contract catchment.Administrative Duties: Assist in the reporting process on STAR paperwork to ensure accuracy Assist with printing the 2075’s, follow-up report, 160 day report, Freeze Form, , and other reports needed for the PEIS and STAR system. Assist in the collection of billing information. Enter STAR registration into PEIS and ACH data systems. Assist with entering billing information. Assist in preparing the freeze form as needed. Monitor follow-ups, case closures and 180 day STAR limitation.
