Hold Cancellation Notices

As most of you have probably noticed, the Hold Cancellation Notices do not display a great deal of information. And MLN has no control over the format or data elements.

Many of you have written asking if we can cause that notice to include a longer title, the GMD (general material designator – i.e. sound recording), etc. Unfortunately, in the current Innovative software, we do not have any flexibility on the content of the Hold Cancellation notice.

For those of you choosing to send the Hold Cancellations along to the patron (either by Email or in paper), the patron will usually know what had been requested.

On the other hand, if library staff are trying to keep records of the cancelled holds, with an eye to finding the material another way, then we do have a suggestion.

When you “Prepare” the Hold Cancellation Notices, a table of those notices appears on the screen. You can print this table if you do so BEFORE you Send Notices to generate the actual Hold Cancellation Notices. This table “prints” to the device you have assigned to the Standard Printer in the File – Select printer dialog of the MILCIRC module. You will still need to “Send Notices” after printing the table.

If you utilize this technique pay attention to the following important details:  Assign your Standard Printer to the device (or Email) where you want the table to print (this is the version you will be keeping for your records)  Assign your Forms printer to the device (or Email) where you want the Hold Cancellation Notices to print (this is the version you will either mail or discard)  Print the table first using the Print icon at the top  IMPORTANT: You must still use Send Notices to generate the actual notices  Then, clear the Notices

It is essential that you go ahead and Send Notices, and then clear the notices when prompted, so that they do not remain in the print queue.

NOTE: I believe the Call # listed on this version is probably the Call # from the first item on this bib – it is not necessarily your Call #

The advantage is that you do see a longer title and subtitle and GMD. In fact you have the exact b number to identify the bib record in question.
