Subject: Arranging the graduation party meeting ------Please be informed of our meeting scheduled on December 5, 2011, 10.00 am – 10.10 am at business study room, 108 Bourke Street, Melbourne

The purpose of the meeting will be to allocate duties as following:

1. Theme party ,decoration and music 2. Food and drinks 3. Budget and poster 4. Venue and music 5. Party activities and guests

Please be advised that suggestions how to arrange graduation party, hence, we urge everyone to attend and participate in arranging the party.

The following individuals were in attendance.

Chairperson: Miss Romchalee Kupkanchanakun Student 1: Mr. Ping Student 2: Mr. Armid Student3: Miss Wareerat Student4: Miss Lenka Student5: Mr. Martid

1. Miss Romchalee noted that the gradution party will be arranged by five allocated students. Miss Romchalee asked five students to arrange the party.

2. Mr. Ping’s responsibility for Theme party, decoration and music. Theme party: Hollywood Theme party night

Decoration: Decorate with superstars Hollywood posters along walk way to party room

3. Mr. Armid’s responsibility for food and drinks Food: Chicken spring rolls, Beef curry puffs, Vegetarian spring rolls and Curry puffs, Stir fried egg noodle with chicken, Chicken Fried rice Thai fish cakes, chicken satay, prawn crackers

Drinks: Soft drinks and mock tail

4. Miss Wareerat’s responsibility for budget and poster Budget: arranging $ 1000 for food and drinks $ 400 for venue $ 250 for decoration

Posters will be designed by Mr. Ali who is one of our students so there Is no charge for this. Posters will be posted on student board at AOI main office.

6. Miss Lenka‘s responsibility for Venue and music Venue: Function room at Kbox 150 Swanton Street

Music: Lady Gaga’s songs 7. Mr. Martid’s responsibility for party activities and guests Party activities: Musical chair game Group of student dancing show Lucky draw Guests: All AOI trainers and students will be invited

How I plan and prepare this informal meeting

1. Prepare a notice, this should include the date, time, agenda and venue of the meeting. Distribute the notice to the members in a good time for the meeting 2. Attach the minutes of the previous meeting (if there has been one). This gives members the chance to bring up anything they do not understand or disagree with. 3. Get basic items in place. Set out chairs and tables before the meeting begins. Provide pens and paper for everyone. 4. Call the meeting to order. This means the chairperson asks everyone to stop talking as the meeting is about to begin.

How I follow up the meeting

1. By making sure I have written down the action points. If not, get access to them from someone else who noted them at the meeting 2. Prioritize the tasks. Focus on the more urgent ones first and work down to the least urgent or longer-term. 3. Delegate or network. I decide which tasks are suitable for us and which tasks need to be delegated to others in my workplace. Delegate as appropriate. If nobody is appropriate for some of the tasks at hand, hit the phones and internet and network to find the right people to follow the tasks up. 4. Record actions taken in a running checklist that all relevant staffs can see and/or access. This will help with preparing the next meeting's agenda, including providing a summary of what they are responsible for. 5. Keep an eye on progress of the activities. If something really must be completed before the next meeting, make sure that it is, or be ready with realistic and acceptable excuses.
