BMF Meeting Minutes May 17, 2015 Attendees: Kristi Beltz, Christy Zeigler, Scott Zeigler, Frank Pogash, Tiffany Koch, Nicole Poore, Chris Weller, Tim Cupitt, Steve Beatty
Meeting called to order at 7:01 PM
Waive the reading of the secretary's report (1st Christy, 2nd Scott)
Officers Reports: President’s Report – Chris Weller o Field Usage reports have been turned into Goose. o We can use the bathrooms at the Middle School. We need to keep toilet paper in the pod and coaches need to check the bathrooms at night to make sure they are in order. o For a small donation ($100-$200), we can use the BYS mower. We will need to cut the grass and supply the gas. o Jen DeMild would like the old helmets to make lamps and clocks. We need to determine the number of helmets we have and what percentage BMF would receive. o Union Township Shed - possible look into moving the current shed or consider splitting the cost of a new shed with BYS. o Brian K. has secured a donation from Dicks Sporting Goods, but will not share his contact. The items that are donated will come from Brian. o Scholarship - the HS is reintroducing our scholarship. They never put our scholarship up for students to submit essays. Three people at $500 ($1500), but they have to meet our criteria. o Voted on 20% for picture fundraiser.
Football Commissioner Report – Steve Beatty o Background checks - link will be posted to the BMF website; approximate cost for volunteers is $40. . Chris will work with Lori regarding the files
o HS Football Meeting - 5/26 - 5/28 from 3:30-5:30 any BMF football coach and observe practice.
o Summer Flag Football - consider hosting a tournament for Mites and Midgets in July; include a participation team trophy. Cost/team $100. A request for field usage would need to be submitted.
o Equipment handout dates: 7/22 and 8/5.
o Practices start 8/11.
o There will be a coaches meeting in June. o Football picture date is 9/10 at 5:30
Cheerleading Co-Commissioner’s Report – Nicole Poore o Cheerleading Coaches held a meeting on 5/14. o Picture date 8/27 o Practice starts 8/4. o JD Sport Fittings start 5/30.
Treasurer Report – Tim Cupitt o $56,043 cash on hand. o Tax Update - filed 2012, 2013 returns. 2014 is not done yet. o Would like to close Santander accounts and move to National Penn (1st Jason Myers, 2nd Scott Zeigler). o 501c3 - will be submitted. o Need to apply for a resale number. o Approve treasurer's report (1st Christy Zeigler, 2nd Scott Zeigler).
Committee Managers Updates: Concessions o Teams will run them for a day. If parents do not sign up, they will not cheer/play football.
o The head coach and/or assistant coaches need to be there all day.
o Mike Canfield has been helping Chris with concessions.
o Coca-Cola 3 year contract, 10 case minimum order, ~55% profit, they will give us 2 barrel coolers and we are asking for 2 canopies. (1st - Jason Myers, 2nd Scott Zeigler).
o Also looking for a food vendor to order in bulk.
o Chick-fil-A is donating sandwiches on Saturdays.
o Teams will be responsible to bring in a donation (water, paper towels, ketchup, foil, etc.).
o Baseball purchased a gator and it is parked at the pavilion; suggesting we ask them if we can use it for a small donation. Scott Zeigler to talk to baseball.
Registration o A few more are trickling in and are being handled by Steve (football) and Nicole (cheer). Spirit Wear o Ordering shirts from JD Sport 50 gray/50 blue Blazer Nation/Here comes the Boone. o Hats sell for $20. o Coaches shirts for football cost $16. o Socks - Pink for all grades 2-7 participants (football and cheer); blue socks for grades 2-7 football only; $20 for both pair. Fundraising - o Faith Funfair is going to be helping with fundraising. o DQ Breakfast - Christ to talk to DQ manager. o PJ's - date TBD. o Car Wash - Boyers or Ace; panhandling at WaWa - use helmets/megaphones; also include slips to go to the car wash. o Boyers bonus cards - they will donate 1% from all purchases to BMF if the families use the cards that we distribute o Pool party - changed the date to 8/29; need trailer, DQ dunk tank, DJ o Chris to send out bills for last year's sponsors. o Looking to have another banner made with new sponsors. o Trailer - potential opportunity to set up trailer at Pool Party Events. o Need to consider sending a thank you to Goose. o Donation to HS for use of their concession stand - Christy to reach out to Melissa Spalding to see what we've done in the past. o Need to order plaques for our sponsors.
Cheerleading Equipment – Ginny Stein o Ginny is looking at uniforms needs and will let us know what we need to order. Football Equipment – Ron Mace o Jerseys have been ordered. o Helmets are out for reconditioning. o Helmets were returned from the Raptors. o Inventoried every piece of equipment. Football Operations – Bill Duffy o No Update Cheerleading Operations o No Update Parents Day o No Update First Aide – Heather Bermender o Heather has all of the bags; will inventory over the summer and solicit for supplies. League Representatives o Cheerleading – Christy Ziegler . No update o Football – Scott Ziegler . Football needs $200 for league fees. Communications – o No report Flag Football Commissioner– o Print additional fliers to send to schools, post around town. . MEC & AEC K and 1st grade received them. Coaches Updates: (No reports) o Mighty Mites Football – Jason Meyer o Mites Football – Frank Pogash o Midgets Football – Steve Pangburn o Cheerleading K & 1st – OPEN o Cheerleading 3rd – Kristi Beltz o Cheerleading 4th – Lori Pence o Cheerleading 5th – Kim Keller o Cheerleading 6th/7th – Ginny Stein New Business: .
