Miss Tampa Bay Softball BOD Meeting Dec. 15, 2009 7:00 pm

12.15.001: Meeting called to order by Jeff Lynn at 7:08pm. 12.15.002: Michelle Estrada took Attendance. 12.15.003: Motion to approve 12/1/09 minutes: Denied. 12.15.004: Michelle Estrada resigned as Secretary. Karla Reigner resigned as Concession Chair and left the meeting

12.15.005: Spring  Registration:

o John DeMartinis updated the BOD as to how many girls were registered in each age group. (as of 12/15/09) It was as follows:

16U-12

12U-10

10U-13

8U-10

Tball-4

o All BOD members were encouraged to register by Dec. 31, 2009

 Umpires:

o Triangle Counter proposal was $36 / game with a reduced booking fee of $1.50 / game, this would be for one hour and a half (complete the inning) game times and, and a cancellation fee of ½ game fee. o Jeff Lynn motioned to accept approval of this proposal. Pam Linville seconded. Motion denied.

o MTBS will stay with ASA for Spring

 Concessions:

o Opt –in / Opt –Out was discussed in depth. After much debate, Ryan motioned to collect $20 Opt-Out from today forward. Then whatever we collect from this day forward is what we give to Concessions. The girls registered prior to 12/16/09, collections will be made by Concessions. Motion approved. All but one approved. Pam Linville abstained.

12.15.005: Balls  Jeff Lynn motioned to use leather balls. Motion approved. All in favor.

 As a reminder, one game ball will be provided and the Home team will provide a used ball to the umpire as a second ball.

12.15.006: Cap League numbers –  no discussion. Tabled. 12.15.007: Photography –  Jeff motioned to accept TSS Photography again. Motion approved. 12.15.008: FYSA ID Cards –  John posted ID card information under “Coach’s Corner” on the website.

 There is a coaching certification class available online as well. (for a fee) NYSCA

 County Certification – Jan 12, 2010 6:30pm to 9pm @ the Brandon location (free)

 All managers / coaches must wear ID cards when practice begins.

 PA’s must enforce the ID Cards. Division Reps must also enforce.

 Valerie Intille (FYB) will forward to MTBS any volunteer who is cleared to volunteer with MTBS and will go into the book.

 All persons working in dugouts / on fields must have background checks and current DL.

 All coaches / managers must have coach’s card (at their expense $7.00) Valerie Intille is making cards. 12.15.009: Fund Raising Ideas–  50/50 Raffle at Opening Ceremony

 Exhibition Games

 Rick Estrada challenged all BOD members to get a Sponsor for at least one team. (for print on team jerseys)

 Mike challenged all BOD members to bring two good fund-raising ideas to the next BOD meeting.

o Discussions:

. There are parents out there who do not want to be on the board who want to help with fund-raising.

. Attach fund-raising event to something fun (like a BBQ dinner)

. Fund-raising for All-Stars

. Picture buttons to sell.

. County is making more budget cuts this year (50%) so fundraising is much needed.

12.15.010: Miss Florida Inter-lock:  no discussion

12.15.011: Pitching Coach for Spring –  Farron is booked up. Other coaches discussed were either too pricey or did not get a good response, so we are currently looking for a good pitching coach for Spring Ball for Monday nights.

12.15.012: Coach’s training clinic:  Date to be decided

 Jeff advised Div. Reps to come to meeting with what needs to be discussed at coach’s clinic / meeting.

12.15.013: Bathroom Cleaning –  As of Feb MTBS will no longer be using the bathroom cleaning company.  Issued FYSA check #2528, $425.00 for cleaning Nov.-Feb. 12.15.014: Pa keys have been removed from shed until Spring ball. 12.15.015: FYSA update by Jeff Lynn  FYSA wants leagues to provide all waiting lists so they can forward to the county. The park is already maxed out and this is another way to show them that we need more fields  EMS signs were approved. 1 for each enterance  $1,000 is the max any league is allowed to receive for sponsorships. Higher amounts are to turned over to FYSA and the leagues will receive credit from FYSA after sign up  No FYSA by-laws yet. Should be soon  Requested a copy of FYSA’s W9. This can be used for tax purposes and matching sponsorships. 
