SUMMARY OF MAIN DUTIES

JOB TITLE: Reprographics Manager

Salary Range: Level 3

Responsible to: Data/Admin Manager

Purpose

To co-ordinate the provision of an efficient reprographics and learning resource service for the Academy, including the preparation of materials and ordering of equipment for class sessions, continually improving the service provided for Academy students, parents/carers and staff.

Duties and Responsibilities

ORGANISATION

 Manage the reprographics function and staff therein to ensure all documentation is produced to a high quality standard and the Academy portrays a professional and corporate image.  Contribute to the planning, development and organisation of administration service systems/procedures/policies.  Carry out and/or organise the day-to-day maintenance of all reprographics equipment.  Order, control and distribute reprographic stock/stationery/materials, including carrying out centralised purchasing.  Assist the Academy by developing a rigorous and flexible reprographics service in line with the evolving needs of the Academy.  Work as support to teachers as appropriate.

ADMINISTRATION

 Prepare information on the use of stock and copying quantities to support the Finance Department, carrying out stock checks / audits as required.  Monitor and manage stock within an agreed budget, cataloguing resources.  Provide general administrative support to the administration function in quiet periods.  Liaise with relevant suppliers of stationery / machines and resolve routine queries that may arise.  Attend relevant meetings and carry out any other relevant administrative tasks as directed by the Data/Admin Manager.  Manage the student stationery shop within the Academy.

RESOURCES  Operate relevant equipment/ICT packages (e.g. MS Office, Internet, e-mail, SIMS, financial systems, reprographics equipment – copiers, laminators, binding machines etc.)  Provide advice and guidance to staff, students and others.  Manage expenditure within an agreed budget.  Research and keep abreast of best practice and technological advancements within the reprographics field, to ensure the Academy improves the reprographics function in line with latest market developments.  Ensure health and safety guidelines are adhered to.  Constantly be aware of and implement a Quality Assurance Policy, in particular as it applies to the reprographics area.

MANAGEMENT

 To manage the Administrators time in Reprographics ensuring the effective and efficient operation of the department and that each individual is effectively deployed.  To communicate regularly with the Administrator in order to address any issues arising and to bring these to an acceptable conclusion wherever possible.  To contribute to the performance management and professional development of the administrator.  To be responsible for the induction of new support staff to the team.

To undertake additional duties as required, commensurate with the level of job.
