Meeting Minutes Feb 8, 2014 Reitz Union Food-Court, 2 PM

President  Tanglewood mayor

o Robert was welcomed as the new Tanglewood mayor. He was requested to send bio to secretary. VJ and Dari agreed to help Robert to better understand his responsibilities (informal mentor)

 EB elections

o Positions are: President, Treasurer* & Secretary – (*previous experience requested) Announcements will be made in late February and the election will be in March.

o Thomas will announce in the listserv. Positions can also be announced in the resident meetings by mayors.

o Process: 2 week long processes (need to fill the nomination form). Everyone except President can vote.

 Running Budget/Planning

o Budget hearing is in mid-March. New Treasurer can seat in the hearing as a part of transition process.

o Rest budget: We have $1000 and need to plan events accordingly. Movies under the stars (one in summer break i.e. May 1st wk) and one extra event (Soccer in Tanglewood?). Money set aside for International Fest, Spring Fling and Luau. Please note that Movies under the star is of lowest priority in case there are funds left from programming. Only applies to programs that require SG funds.

 Resident meetings topics

o Suggested topics are attached in the handouts.

 Fitness Classes:

o Thomas agreed to send the attendance of the fitness classes (yoga/pilates/zumba/hula) that will give an idea of the popular class.

 Picture of programming o Get 1 picture of class. Communicate instructor & Residents: MC Feedback program-Rate a class!

 Spring Fling

o All agreed on date and venue: April 5th, Tanglewood lawn. Logistics/Expenses: an estimate from last year is around $2100.

 Rec-Sports

o We are looking for partnership with GSC: RecSports Spouse/Partners' Free Access Week (an example of previous partnership) Treasurer

 Lead the discussion on the budget for 2013-14 (current) and 2014-15 (proposed).

o Wen requested to see the google doc. She emphasized the changes in the proposed budget from current budget (new line for Zumba, less money for movies under the star and the reduced money can be used for award, some money can be spend on advertisement by FLY/FB). She urged the group to think before voting for any event for the current budget due to limited funding availability.

 Wen described the process of tracking SAR. Start with SAR submission->Approval by SG President->Moved to Business Manager->then SB Treasurer->next is Assistant- >Finally, payment from Dean of students. Secretary

o Proposed for a consistent MC meeting date as Wednesday at 7:30pm. Location TBD, may be good to be close to Diamond/Reitz. Mayors

 Corry Village

o Corry Cricket group will participate in UF Cricket league. Good luck!

o Class participation going well.

o VJ proposed at some point to shift the classes from location but same time-slot (e.g. move Yoga to another village, bring a class from another village). Mayors need to talk and agree if and when to do this.

 Diamond Village

o Working on the event named International Language Day

 Tanglewood Village

o Asked about how is advertising being done for classes and events. Suggested to include “Free” in future advertising and have flyers in laundry room. Mentioned problems getting into the village listserv.

 Maguire Village o Ali contacted the instructor for couponing workshop. Possible time for the workshop is in the 2nd wk of Mar, cost: $100 for 2 hrs. He will work with Wen (for processing SAR) and Lisa (for reserving venue).

o Ali proposed to invite a live band as an alternate of Movies under the star. He will look into bands for music night.

 UVS

o Improve mother’s day programming, include mother’s to-be.

o Nepali/Indian/ New Year Celebration (possible date: Apr 12). Trying to host it with Nepalese Student Association and other organizations. Needs to provide budget to have clearer idea. Asked about paying for performer, our suggestion is to keep it around $200 for performance. Miguel suggests to take this money from the projected Luau expense. Advisors: Housing Updates o Thomas asked to reinforce than election platform (for EB election) should be written within 300 words.

o Thomas will write the nomination for “Health and Wellness”

o Thomas will talk to the Magician and the Caricaturist from last year to join us on this year Spring Fling too.

Current Hot Topics/Issues:

o Rent: . Everyone is asked to submit by writing their position to find items in common and then move on to a plan.

o Meetings: . Members that arrive 5 min late will bring snacks to the following meeting.
