What is Location Marking Period?

Location Marking Period is a new template for 2011-2012, which defines the marking period code, term code, start date, and end date for each marking period offered at each location in you district. It is a required template, and without it you cannot submit staff/student/course information or student grades detail information. This document will give detailed instructions on how to submit your file to the WNYRIC so that it will appear in Level 0 and allow you to load your other data (staff/student/course information and student grades detail) via Level 0. Why is this data not available in Level 0?

This template is what is known as a dimension table. This means that it defines codes that will be used in other templates, but does not contain any actual information that the state requires. Therefore, Level 0 has no module for uploading, checking, or locking your Location Marking Period data. This data will need to be given directly to Level 1. Think of this template as being similar to the Location template which is also a dimension table and entered directly into Level 1.

How do I get the file to Level 1?

1.) Have your districts extract their data in the proper Location Marking Period template layout.

2.) The Filename should be in the following format: Districtcode_TemplateName_yyyyMMddhhmm.csv (NY000001_LocationMarkingPeriod_201201111525.csv). The template can be found on SIRS Guidance page. http://www.p12.nysed.gov/irs/sirs/

3.) Place files, (district by district No Multi files), onto the FTP site. If you have been setup and are planning to use the new FTPS site please let us know at [email protected].

4.) Once files are placed, on either new or old ftp site, the data warehouse personnel will receive an email and load your files. Any errors will be placed back onto the ftp site for you to view and correct.

5.) These files have same deadlines as other file types, so any files received by noon will be load that day and available in Level 1 Reports and Level 0 the following day.

6.) **We will be doing a full purge and replace by district code. Please insure that the files you submit are complete, and that they have the proper district code in them. For example if a charter school accidentally uses their home district’s district code it would end up wiping out the home district’s location marking period table.
