1. Introduction and welcome MC welcomed everyone to the meeting. Introduced himself, Brigid Rogers, Justine O’Carroll, and Steve McDowell (meeting facilitator).
2. Apologies Fairy Shop, Humitech, Style Direct, ASB, Bruce Kilmister BK (WBCB), Ponsonby Pool Hall, Ponsonby Community Constable. MC moved that the apologies be accepted – seconded JW.
3. Steve McDowell (meeting facilitator) Acknowledged Penny Sefuiva from Auckland City Council – thanked for coming along. SM facilitated the reconvened meeting from last year and has been involved with local government elections. Acknowledged Ponsonby Road Promotions for doing a good job to keep momentum going.
1 4. Minutes of last meeting Held on 25th July 2006 and reconvened on 31 August 2006. Minutes have been circulated. Agreed as a true record, MC seconded WJ
5. Appointment/election of the Ponsonby Road Promotions Board The constitution of the Association provides for the 8 voting members, plus the appointed Auckland City Councillor and the Western Bays Community Board member, both have voting rights on financial issues only.
Nominations closed – at that time 5 nominations had been received as follows:
Mark Castle - The French Art Shop Fiona Chirnside - Ponsonby Amcal Pharmacy Elias Hanlon - Ponsonby Pool Hall Layne Kells - Marlin Group Mark Willetts – Masons2
In terms of clause 16.2 of the constitution, Mark Castle, Fiona Chirnside, Elias Hanlon, Layne Kells and Mark Willetts were declared to be elected. Proposed MH Seconded FC.
Clause 16.2 of the constitution enables for further nominations to be called at the AGM. There are three vacancies.
Deborah Freeman from Resene Colour Shop nominated herself. MC proposer, MW seconded.
If there had of been more than three nominations an election would have been held. As there were three or less nominations, Deborah was declared elected to the Board.
No further nominations at this time.
6. Chairman’s report MC gave the report. “This year the Board of Ponsonby Road Promotions has taken a different focus from previous boards.
We have had a “back to basics” approach to the business of supporting it’s stakeholders by dealing with the issues we face everyday on the street rather than seeing itself as event managers. The tasks we set ourselves were to drive footfall and awareness of Ponsonby Road and make it easier for people to park and do business here.
Market days were intended to do this directly and have been of great success in bringing families out to shop and there will be more of these in the future.
The parking survey done in conjunction with ACC received a 60 % return rate from stakeholders. This is outstanding, Thank you. The draft before the Community Board at present has considerable input from the Board and stakeholders and stage one of this parking plan is promised before Christmas. So your customers will hopefully find it easier to find a park. Getting rid of the city workers spending their days parked in our side streets unfortunately take more time but is in the pipeline.
Street trading has been a contentious issue on the strip in the last 18 months. The Board has put submissions to council and facilitated the public meeting held in April. We are awaiting a final draft of the bye law, but at this point it would seem to be a much fairer one than the present one. Ponsonby’s opinions have certainly been an influence.
2 The new website that will be previewed tonight is designed both to drive community events and as a directory of the main street area. We hope you like it.
I like to thank Councillor Sefuiva for her support and encouragement over the many years she have sat on the board. Without her guidance much of what we have achieved may not have been possible. Thank you Penny you will be missed.
Also Bruce Kilmister of Western Bays Community Board and Brigid Rogers for their determination that the business of the board is done in accordance with our constitution and that is carried out in a professional and transparent manner. Thank you both.
Finally to the Board members I have had the privilege of leading. You do your community proud and the longer there are people like you in this community the better place it will be.”

7. Financial report June 2006 to June 2007 SM introduced WJ from Johnston Associates. WJ thanked PS and BK. WJ explained the one sheet analysis of statement of financial performance which included a breakdown of each project. WJ ran through the activities for the year. Decision was made to not hold a Fringe Festival during the year. A full set of audited accounts is available from the offices of PRP. If anyone has any questions after the meeting contact BR to get WJ’s contact details. Proposed as a true and correct record by MC, seconded by MH and passed by the meeting.
8. Appointment of auditor SM asked that Michael Stowers be appointed as auditor for 2008. Proposed MC seconded MW and passed by the meeting.
9. Planned Expenditure June 2007 to June 2008 SM introduced BR. BR thanked people for coming along. Annual grant from Mainstreet businesses was $200,000. Summarized the proposed expenditure explaining it is a draft version and an evolving budget. Any changes can be made at quarterly financial meetings of the Board. Encouraged people to take Auckland Heritage Festival brochures to distribute. Asked people to promote the Festival to get maximum exposure.
Questions * GH asked Hero Parade going to come back to Ponsonby? BR – there are funds available but doesn’t think it is likely that the Parade will return. * RJ asked Foot traffic – increasing or decreasing? BR – doesn’t have accurate figures. Businesses would need to give individual feedback on foot traffic. * MT asked Councils idea of closing Grafton Bridge traffic BR – asked for all general questions to be asked at the end, only budget questions at this time. * CE asked what else is spent on Market Day other than flyers and posters? BR – radio advertising, media advertising, entertainers, balloons, and trestle tables Moved – MC, seconder JW accepted by the meeting
10. Activities Report and Update BR – reported that Meg Bremner left in February. Introduced JO and thanked her for hard work for Heritage Festival. Thanked PS for all her work and Anglesea Street improvement.
3 Introduced Matt Hart for the website work. No further questions. Moved – MC seconded GH accepted by the meeting.
11. Further Questions * MT asked Grafton Bridge – to be closed off in a couple of year’s time to traffic. Any traffic will then go up Newton Road. Does Ponsonby Road Promotions lobby the council to try to argue this? Also, with the Soho Development going 80% over space and the traffic that will generate, will add traffic to area anyway. Does the board itself lobby the council on matters of Grafton Bridge? BR – PRP have never made comment on Soho Square. Each of the 300+ businesses have a different view on Soho. Grafton Bridge – has not been discussed can the Board may wish to at future board meetings. PS – Grafton Bridge is a major transport route. ACC are trying to move to public transport. There will always be issues, it is not ideal but ACC no longer have control. * RJ asked Is business buoyant in Ponsonby? What is people’s feeling in general? BR – Feels PRP can’t comment – it will be up to individual businesses to comment. * CE asked How did people know about the AGM? Said she went along Jervois Road strip and many businesses didn’t know about the AGM. Feels people don’t realize they pay rates towards these meetings. MW – as a business, we also have our own personal responsibility to find out and make an effort. JW – received two invites and felt they were very well informed. LK asked CE – how can Ponsonby Road Promotions improve on correspondence? CE feels that someone should be seen on the street every week. GH acknowledged the great work that PRP do and says people have to take personal responsibility. There is Flat White, Ponsonby News, email, website. How much more can PRP do? Their methods are very sophisticated. It was acknowledged that the Board Members heard what was being said and that this will be discussed at the next meeting. * MT asked Changing skyline of Ponsonby – can it please be brought up at future meetings? PS – There is a district plan review. Took years to be adopted. There is an opportunity for people to get involved in the zoning and planning issues as it will take 5-6years or so.
12. Website presentation Matt Hart (Hart Department) presented the new website to the meeting. Discussed the mailing list on the website. You will be able to confirm if you would like to receive emails. Cost effective and simple. 1. Homepage – imagery can be uploaded so it is fresh and up to date. Someone asked about the Subway shot? Too much like advertising? 2. Street scroll – went through how it works. 3. News – admin side 4. Events 5. Photos 6. Heritage 7. PRP – minutes, institution, AGM, official information – 8. Map 9. Links 10. Contact
Updates can be done on a daily basis. As soon as a new business has been identified, it can be updated. The websites are not competing, but working together. Pay one fee only. GH feels it must come up on Google and there must be links to bars, restaurants, accommodation, fashion etc.
4 BR talked about businesses being proactive Examples given Westpac Bank– they are presenting old photos of the Bank. Grand Central are doing a vintage quiz evening. These are just some of the proactive businesses as part of the Auckland Heritage Festival. Some businesses pay for their own advertising with regards to the Market Days – we help you and you help us scenario. Gavan Hogg can answer any questions anyone has about the website. MC – acknowledged Matt Hart – thanked and said what a great job has been done.
PS – thanked everyone for coming along. Thanked the Chairman and the accountant. Told everyone that Ponsonby Road Promotions work for the benefit of the businesses on Ponsonby Road – they are very professional and the Board gives their time for free. Said she has enjoyed working with the Board.
