Burbage Primary School PTA Committee Meeting DRAFT MINUTES Monday 5th October 2015 9am – Burbage Primary School

Present – Caroline Renshaw, Emily Johnson, Julie Gordon (Mrs Coupe for part) Apologies –Harriet Smith, Rachael Firth, Christina Stewart, Mrs Coupe, Amy Webb, Vicky Camp,

Minutes of June 2015 regular committee meeting accepted and signed as true record.

Matters Arising:  Minutes of September 2014 AGM signed by Chair due to absence at previous meeting.

Treasurer’s Report – No change since last meeting Agreement to donate £900 towards the cost of school trips again this year to be split per head. Additional tickets bought for the Theatre Trip in November. RF is investigating transferring funds from savings account to current account. Total available for school IT project currently stands at £3515.80.

Halloween Family Disco – Saturday 31st October Any help during the day with decorating the school hall/general setup would be greatly appreciated – so far we have Hazel Wyatt, Caroline Renshaw, Rachael Firth, Emily Johnson. Really hoping this will be a successful event and enable us to raise lots of money to go towards the IT project, we need to sell a minimum of 60 tickets to cover costs of disco, licence & food. Tickets are £5 & will go on sale immediately until 16th October to enable us to total numbers for catering. Fancy dress competitions – best dressed boy, girl, adult & family – some committee members have offered to donate prizes. Spooky quiz – this will be a sheet collected at the door & completed during the evening for a prize. Is the Rugby World Cup on the same day, if so we will screen it in a classroom UPDATE – Twickenham 4pm, so it will probably have finished before the disco starts.

Christmas Fair – Thursday 3rd December Dress down day for tombola is in the school calendar – Friday 20th November – chocolates, bottles & gifts Caroline will ask Hazel if she is willing to manage the stall bookings, we would ask stall holders for fee (£10 external/£5 charity or local) plus a donation for the raffle or tombola. Action CR Julie has lots of bits for a lucky dip plus there is a box in the PTA cupboard of miscellaneous items that can be used. Mrs Coupe also has items to donate. Y5/6 entrepreneur stalls again this year. Mrs Coupe to check if any other classes/staff want to run a stall too. We need to speak to our ‘special visitor’ – Mrs Taylor or Mrs McGarry as the elves can advise! School staff will decorate the grotto, we need to agree the present/cost. Action: staff Caroline will sort out a poster to go up soon, plus speak to Wessex Print about boards (like the summer fair ones we have ordered). Action CR It was agreed we would set up a file for ‘events’ so that key actions are listed and help with organisation in the future. Julie will run an event review document for this as a template for all events for future proofing.

AOB Film Club – we have set a date for the Christmas Film Club and we usually have one in the spring however maybe we should revert back to one a term? We could ask PTA Class Reps or a small group of parents to run them. 2 films can be shown in the double mobile aimed KS1 or KS2. Easyfundraising – we need to promote this as it’s a simple way to raise funds. Parents just need to create an account on www.easyfundraising.org.uk then designate Burbage Primary School PTA as their cause and use the page to shop online.

1 Facebook Page – update with Halloween Disco & Easyfundraising info. Done 10/10 Bags 2 School Collection – 19th October – bags have gone out. Easter Produce Fair – last day of spring term whilst children are doing the Easter Egg Hunt. Will promote nearer the time but should be a good event. We hope to have a new group of parents who may take on the organisation of this event. It is new, so ‘anything goes’! If interested, please see Mrs Coupe or Caroline Renshaw to offer ideas. Summer Fair – Saturday 2nd July – we have compiled a list of local & national businesses (see attached) that we can write to for donations now, Mrs Coupe said the children could write the letters.

On the afternoon of a meeting CR & JG will meet with Mrs Coupe for the school’s input which will feed into the evening meeting, then debrief on the Thursday morning after if Mrs Coupe or a staff member can’t attend the evening meeting.
