MSC Family Commitment Program

 Why is there a need for the volunteer program?

o The Milton Skating Club membership has grown to 2300+ a year, catapulting us to one of the top five largest clubs in Canada. As a not for profit organization, more membership involvement is now required to continue to provide quality programs for all while maintaining the lowest registration costing as possible. o There are many other events that need help to run smoothly: Test Days, Holiday Gala, Year- end Banquet/AGM, etc. o Parents have requested some flexibility in how and when they volunteer o Provide greater visibility to families of their commitment for the year...up front o Last season the club introduced the Family Commitment Program. Thanks to all of you that volunteered your time and made it such a success!

 Goals of the Program:

o Keep the membership fees as low as possible o Share the work fairly among the membership o Ensure that our club runs efficiently o Reward those that volunteer beyond their commitment

How it all works...

This year, there are two integral components of the program:

1. Canskate Table Hours  Staff the Canskate table, hand out colour tags to skaters, answer questions and hand out report cards 2. Flex Hours  Examples include Extra Canskate Duties, assisting with Test Day, Dress Sale, Holiday Gala, AGM/Banquet, Picture Day, etc.

Program Details:

 Roles are allocated on a first come basis. Get your registration in quickly to get your preferred roles.  The amount of time asked of families is related the level of involvement of the skater in the club  Hour requirement is based the highest level skater in the family  For example: if there are two skaters in a family, one is in Star 2 and one is in Competitive, then the family fulfills the Competitive level commitment  Your commitment is based on the session that your skater is enrolled in as of Sept 2015 (see attached chart for details)  As part of the skater’s registration, two cheques are required for the Family Commitment Program. These cheques are held and not cashed unless the Family Commitment is not met. (see Unfulfilled Commitment section below)  The Club recognizes that not everyone can or wants to volunteer, so a ‘Buy Out’ option has been provided. We do highly encourage you to volunteer where you can as the club cannot continue to grow and run its programs without member support. Special events may be cancelled if there is not enough volunteers to run them well.  Families with multiple skaters must pay the Buy Out amount for each skater, based on the session they skate on  Incentive for additional volunteering: When you volunteer for more hours than your required commitment, or fill in on a missed shift, your name will be entered into a draw. For example: taking extra Canskate Table duties, filling in a missed shift, or putting in extra hours at the Dress Sale.  You have a chance to win, at a minimum , one of two monetary prizes towards your skating fees for the following season, min $100 value.  To maintain your status as a ‘member in good standing’, all commitments must be met or payments must be up to date. Non participation in any form, and refusal to honor the buyout , will result in your skater not being allowed to take part in any of the events run by the volunteers such as test day, picture day, holiday gala, etc.

Unfulfilled Commitment  Families that do not fulfill their time commitment will be billed $50 for every 2hr shift that is missed.

 This is to ensure that the program is fair to those that do fulfill their commitment.

 If all shift commitments are met, the cheques are returned or destroyed (if not picked up within 7 days of notification). If commitments are not met, then a cheque is cashed and $50 for each missed shift is kept by the club, with the balance being refunded to the parent. Missed shifts cannot be “made up” after the fact. Members may switch shifts with other members in advance of the shift if a member is unable to meet the commitment.

 There will be a ‘sign in’ sheet at the CanSkate Table as well as the other club events, so that the fulfillment of the commitment can be verified.

 Leaving the Club mid season: If the skater leaves the club for any reason before the completion of the season, the following rules will apply: 1) If having opted to participate in the volunteer program, we ask you please complete any shifts within the month of departure, as it’s very difficult to find replacements. Any outstanding deposit cheques will be returned, or destroyed unless a shift has already been missed, in which case, the cheque will be cashed for the missed shift, and any remaining money rebated. 2) If having participated in the buy out, if you leave prior to October 31, all buy out money will be reimbursed. If leaving between November 1 and January 31, half of the buy out amount will be returned. If leaving between Feb 1- and June 30th, 2016, no buy out money will be returned.

 NOTE:  Your Skater’s registration is not complete without the cheques.  In case of illness or injury, it is your responsibility to find another parent to take your shift.

Family Commitment Hours Chart Your commitment is based on the number of days per week your skater skates at the time of registration. Other than Pre-Star exception noted below, moving up or down a skating level in the middle of the season does not change your required hours.

NOTES:

Pre-STAR: While your skater is on the Pre-STAR session, you will not be asked to participate in the Family Commitment Program. If your skater moves to the STAR 1 session before Dec 15/15, you will be put on the schedule for CanSkate Table Duty (1-3 shifts as needed).

How to sign up... Fill in the attached Family Commitment Registration Form  Flex hours: determine how many hours are required based on the # of nights per week your child skates  Rank your choices in order of preference (rank choices 1 through 5, 1 being most preferred)  Ensure that you select the right amount of volunteer opportunities to ensure your total Flex hours are met (see chart )  Send in your selections along with two post dated cheques ASAP  Assigning of opportunities is done on a first come, first assigned basis.  Two cheques dated Dec 15 2015 and June 1 2016 are required at the time of your registration  Each cheque should be for half the ‘Yearly Buy Out Amount’ for your skaters session (listed on the attached chart)  For example, if your skater is skating 3 nights per week, you would submit two cheques for $175 each (total $350)  Skaters 16 years of age and older may fulfill select volunteer commitments (excluding CanSkate Table duty)

 Buy Out Option:  If you choose at the beginning of the year NOT to participate the Family Commitment Program, there is a Buy Out option  Payment is due at the time of registration – see attached chart for ‘Yearly Buy Out Option’ for your session  Please make cheques payable to: Milton Skating Club

CanSkate Table Duty – Sign Up

 See Chart for how many shift commitments are required for your skater’s level. Complete the separate Canskate Form for preference of shifts and hours. Each shift is approximately two hours.  Please consider signing up for extra Canskate shifts to make up your flex hours. CanSkate shifts MUST be filled before any other volunteer hours can be allocated, as the smooth running of that program is integral to the success of the club. 5. Drop off your 2 post dated cheques at the Club office (cheques should be dated Dec 15 2015 and June 1 2016).

Canskate Table Back Up: From time to time, we need volunteers to cover the Canskate Table when the scheduled volunteer doesn’t fulfill their commitment. Many times there are parents already in the arena that would cover the table, if we ask. We would like to create an email list of volunteers that we could contact to cover the Canskate Table. When you do an extra, unscheduled shift on the Canskate Table, your name will be entered into the draw as outlined above.

Canskate Information Table:

As the MSC is a not-for-profit organization run by a volunteer board, figure skating parents on all sessions are required to periodically volunteer at the Canskate information table. As outlined in the Family Commitment Program, the number of Canskate table shifts is based on your level of skater. Please refer to the Family Commitment Program on the MSC website for more information.

Please be sure to indicate your preferred day on the volunteer form included with your registration package and email it to [email protected]. If your form is not returned, you will be randomly scheduled for a day that you are needed.

Unable to make your scheduled Canskate Information Table shift??

If you are not able to make your scheduled shift, it is your responsibility to find a replacement. A contact list for your session is available to help you find a replacement. If you do not find a replacement, you will be charged $50.00 for each shift that is missed and not covered (as outlined in the Family Commitment Program).
