Guidance for thesis submission: You need to submit two hardcopies of your thesis and an e-copy on a DVD or CD to Research & Innovation Services (RIS). The following web page gives all the information regarding thesis preparation, submission and examination, etc http://www.shef.ac.uk/ris/pgr/code

1. Appointment of Examiners Form. Complete this form with your supervisor and take to the Chemistry PG office.

It is important to note that eligibility to work checks must be conducted for all external examiners, including UK nationals. However, if a UK national is employed on more than one occasion as an external examiner, provided a copy of their original documentation (copy of passport) has been taken and retained by the Chemistry Postgraduate Office, they will not require another check (please see the Chemistry Postgraduate Office staff if you are unsure whether or not we already have a copy). The passport copy should be obtained by your supervisor.

2. Access to Thesis Form You need to complete an "Access to Thesis" form which your supervisor will need to sign; this form can be downloaded from the following web page

A fully completed copy of this form must be submitted to RIS. It should not be bound into your thesis.

The maximum time for an embargo of the thesis is 5 years. Longer can be requested (max is probably 10 years) but needs to be rigorously justified. An additional form ("Extended Embargo Request" form) for this needs completing which needs approval from faculty.

3. Submit your e-thesis to Turnitin Submit your thesis through Turnitin; here are the details: 1 Log into MUSE 2 Click on MyServices at the top of the page, and then on MOLE 3 Click on the CHM - Chemistry PhD Submission in the Organisations box 4 Click on the 'Draft Submission' link 5 Click on the ‘Submit’, and upload your thesis. As this is only a draft file, you can submit as many times as you want. 6 When you are happy that the thesis is OK, please email the Chemistry Departmental Office ([email protected]) and they will then give you access to the Final PhD Submission folder. 7 When you submit the final version to Turnitin you will receive a digital receipt in the form of an email. Please would you make a pdf copy of the Final PhD Submission receipt and email it to [email protected]; you also need to take a copy of the Final PhD Submission receipt with you when you submit your thesis to RIS. 8 The Turnitin report will be sent to your internal examiner (nominated on form 1 above) for approval; once approved, RIS will send your thesis to the external examiners. Further information can be found on the CiCs web page http://www.sheffield.ac.uk/cics/turnitin 4. DDP Summary Form Download a copy of the Faculty of Science "DDP ePortfolio Summary" form.

The completed form should either be sent to [email protected] or to DDP Admin, Graduate Research Centre, Room D17k, Dainton Building.

5. Minor Amendments 1. You have 3 calendar months for the completion of the amendments, from the date the examiners notify you of the required amendments. 2. Once you have completed the minor amendments, you must submit a copy of your revised thesis to your internal examiner for checking. Once the amendments to the thesis have been approved, the internal examiner will complete the Minor Amendments form. 3. You must then submit an eThesis to the White Rose Depository.

6. Resubmission of a Thesis 1. The revised thesis must be resubmitted directly to Research & Innovation Services, following the same procedures as apply to a first submission. 2. Three copies of the thesis are required (2 properly bound printed copies and a CD or DVD). 3. The resubmitted thesis should also be submitted to Turnitin at the same time. 4. The resubmitted thesis must not be sent direct to either of the examiners prior to formal resubmission. 5. For resubmissions the title page and front cover should be changed to show the date of the resubmission only, however it is not necessary for the thesis to state 'Resubmission'. 6. It is considered good practice to include with the resubmitted thesis a list of the amendments that have been made following their original reports.

7. Submit eThesis to White Rose Depository After successful completion of viva, minor corrections, submit eThesis to White Rose Depository. Details of how to do this are at: https://www.sheffield.ac.uk/rs/code/etheses-upload

Discuss who the contact person should be with your supervisor (see highlighted box on the attachment below). The submission to White Rose can still be made before the outcome of an extended embargo. Once the outcome of this is decided then the thesis will become live.
