Job Title: Receptionist (Job Share)

Position in Based at: City Hub, Bradford Hours: 1pm-5pm Organisatio including full time cover for holidays and sickness, minimum n 5 weeks per year.

Reporting to: Property Director Supervisory responsibilities: None

(Note: In addition to these functions employees are required to carry out such other duties as may reasonably be required Provide an efficient and professional reception service together with administrative and secretarial support to colleagues and tenants/clients.

Duties: 1. Answering all telephone calls and transferring to appropriate colleagues and tenants. Ensuring timely forwarding of messages.

2. Welcoming visitors and ensuring that they sign in. Directing visitors to appropriate rooms and notifying tenants. Dealing with enquiries. Booking of meeting rooms.

3. Sorting and distributing all incoming post. Franking outgoing post. Re-crediting franking machines and resolving faults.

4. Setting up and tidying up after meetings, conferences and events and producing visitor information, badges, maps and organising catering as required.

5. Ordering of stationery and general office supplies within budgets.

6. Using MS Office software, undertaking administrative and secretarial support for colleagues and tenants.

7. Keyholder for premises and opening up and closing the building. Complying with security protocols and Updated September 2014 monitoring cameras.

8. To assist in the compliance of health and safety requirements, eg fire alarm testing, weekly.

9. Effectively liaising with colleagues, tenants, visitors and contractors.

10. Providing support to colleagues with ERDF record keeping as reasonably required.

11. Flexibility to be able to cover out of office hours, if required, up to 9pm in the evening to assist with events and occasional reception cover, during office hours, at other reception sites in Bradford.

12. Any other reasonable duties.
