Packing up the Previous Cursillo

1. Confirm that the trays, baskets, etc. needed for distribution of palanca during the weekend are in the storeroom.

2. Check with the kitchen Cha Cha for the amount of juice and soft drinks left over, if any. Make a note of what should be purchased.

3. Check for napkins, tablecloths, etc. for the food table at the back of the room. You can purchase (very cheaply) the round tablecloths in all colors. No need to worry about saving from one weekend to another. If you live in or near Houston, Arnies is a great place to shop for weekend paper/plastic supplies

Before the Weekend

1. Read thoroughly your duties for the weekend. Ask the Head Cha Cha about any concerns you may have. Don’t wait until the weekend.

2. Prepare and copy for distribution on the weekend any handouts and other palanca. The Head Cha Cha or the Rector(a) will order internal palanca from the palanca chairperson.

3. Set up folders or large envelopes which are labeled with every time during the weekend that palanca will be distributed or delivered to the room (e.g., Saturday afternoon pillow palanca). This will save time when you arrive at Camp Allen and receive an bounty of palanca all at once from sponsors and/or palanca that has been mailed to Camp Allen. Any palanca that has been mailed will be held for you at the registration desk.

4. Highlight your 3-day schedule showing when you plan to distribute palanca.

5. Make a decision about your palanca mail bags. Stick-on labels are best. Remember if you use a slick paper bag, you can’t write on this type of paper.

6. Give advance thought as to how you want to organize your part of the Cha Cha room, e.g., how you will organize the mail bags, sort the letters, etc.

7. You need to bring some sort of cart, luggage carrier (something with wheels), etc. to help haul palanca to the rooms. It is a long distance to the participant’s rooms, so anything to make the job easier is important.

8. You need to discuss with the Head Cha Cha who will help with the distribution of palanca. You need a detailed schedule for this. Page 2 of 2

On Arrival Thursday

1. Participants will often unknowingly bring palanca. If anyone gives you a gift for a participant, give it back to them and say “will you please save this for after the Clausura because no gifts will be distributed during the weekend.” If you see any sponsors bringing gifts Sunday morning, tell them the same thing.

2. Begin sorting the letters right away, and don’t hesitate to recruit help from the other team members who may have finished their current assignments.

3. Set up the palanca area of the Cha Cha room. If you are very organized, the distribution of palanca will go smoothly on the weekend.

During the Weekend

1. Distribute palanca according to schedule. If necessary, recruit help for introduction of palanca on Friday afternoon. The Spiritual Advisor will want a good array of national and international written palanca ready to be read at the introduction of palanca.

2. It is a good idea to post a color-coded schedule for all the chas in the Cha Cha room. Have fun and let the Son shine through!
