Marcia Goodrich, PCO chair, welcomed and introduced the new program coordinators: Miranda Morris-Bisbee – IM Cardiology Stacy Major, IM Rheumatology (will start April 16, 2007)

Info from the DIO: Ann Norwood reported on  Be attentive to Dwana Mckay and the Housestaff office needs o Contracts o Labels (for new housestaff) o New housestaff packets need to be back by May 21st. o Open to suggestions for help in expediting  New Innovations Newsletter  May 15th – Evaluations and Duty hour training  June 30th – Housestaff testing  June 30th – Evaluations and Duty hours in use  See Newsletter for training dates and times  Top 8 Program-Directed changes in Institutional Requirements – July 1, 07  Program Coordinators are responsible for the Institutional Requirements

Web CT Resident Courses: Mike Petty will send updates to everyone concerning incomplete WebCT courses. These courses need to be completed in the first 6 months of residency or fellowship.  6 weeks before the new residents/fellows start they will now have access to WebCT to begin completing their courses.

How to get what you need/want: Moderators: Ashley Lavender, Esther Mahnken, Teresa Taylor, Tamara Gill, and Kelly Simon lead an open discussion/brainstorming session on how to get what you need/want. Many questions were asked and answered. Such as: 1. What do new residents need to do, or have, by the time they begin their appt at UAMS/VA and what do coordinators need to do for them? Is there a checklist? There’s a timeline in the Program Coordinator’s handbook. The VA doesn’t have a timeline, but need to have the resident apply and sign contract. 2. Is there an introduction to New Innovations for New Coordinators: All coordinator’s can contact Anna Moses with any questions regarding New Innovations. She can also set up classes for you. 3. How do we find the guidelines for what information we “must” provide in the residency/fellowship handbook? In the Program Coordinator handbook there is an outline. Current list is under review. Esther will update and send out a new one. 4. Does UAMS offer a time management class and if not where can I find one? Contact Human Resources or there is a system entitled: GO System – Get Organized which is available at $149.00 pp. 5. How long do you have to keep files? On previous residents must keep a folder and every folder must have the final evaluation. 6. Whenever I get stuck with an excel or word document difficulty, I don’t know who the local “experts” are that use these programs that I can call. Kelly will make a list for computer programs and will forward to everyone. 7. How do we know what the “rules” are in recruiting (i.e. what we can/can’t say, what we can/can’t pay for?) Linda Ray will forward a copy of “Illegal Interview Questions” to everyone. Concerning paying: Some departments pay for food, lodging, and transportation, while others do not. That is up to the department and their budget.
