WWI Battlefields Visit RISK ASSESSMENT

Activity Travelling on the coach Venue Between school and France/Belgium Ratio 1 : 10 minimum Leader Identified Risk NB: Minimum of 2 Staff upstairs by stairs Minimising Risk Safety Pupils will be reminded at the start of each journey to put on their seatbelts and keep them on for the entire journey.

The wearing of seatbelts will be monitored by staff. The behaviour of pupils will be monitored by staff. Pupils whose behaviour puts others at risk will sit with staff. Half of staff will sit at back of coach/top of coach for length of journey Register of students will be taken after any occasion when students have left the coach. Students will not leave the coach during the Channel tunnel part of the journey Travel sickness Pupils who are travel sick should take appropriate medication as indicated by parents on the medical form. Staff should ensure there are suitable sick bags on the coach. Pupils should inform staff immediately if they think they are going to be sick. Accident Staff will follow the regulations regarding length of driving time. Staff will make the specified checks on the coach before each journey. All aisles and doorways will be kept free of luggage to allow immediate evacuation of the vehicle in case of an emergency. Fire Staff will make the specified checks on the coach before each journey All exits and aisles must be kept free of luggage. Staff will be aware of the location of the fire extinguisher on the coach. Activity Staying in the (type of accomadation) Venue Ratio 1:10minimum Leader(s) Identified Risk Minimising Risk Safety Pupils will not be allowed to go into the dormitory/rooms of pupils of the opposite sex. Pupils to be made aware of sensible behaviour in the dormitories and possible risks. Pupils will not be allowed to run around the Hostel. Pupils will be told to be aware of slipping on wet bathroom floors. Public Pupils will be told not to approach members of the public using the Hostel. Members of staff will remain in the building during pupils’ free time and challenge any member of the public entering the building and approaching the pupils. Fire Pupils will not be allowed to bring matches, lighters, candles etc. on the trip. Matches, candles and lighters will only be used by members of staff and mainly in the kitchen area. All staff and pupils will be taken through the fire evacuation procedures for the Hostel being used. Activity Travelling by ferry Venue Between Dover & Calais, and return Ratio 1to 10 Leader(s) Identified Risk Minimising Risk Safety Pupils will be reminded at the start of each journey to find an indoor seat and area and to remain in it for the entire journey. Students will keep in groups of 4 or more and no less. The behaviour of pupils will be monitored by staff. 1 pair of staff will patrol the ferry at a time. Pupils whose behaviour puts others at risk will sit with the staff in the central meeting point designated by the staff. Travel sickness Pupils who are travel sick should take appropriate medication as indicated by parents on the medical form. Staff should ensure there are suitable sick bags on the ferry near to the meeting point. Pupils should inform staff immediately if they think they are going to be sick. Accident All aisles and doorways must be kept free of luggage to allow immediate evacuation of the vehicle in case of an emergency. Pupils will be advised to report to the central meeting point designated by staff in the event of an accident. Fire All exits and aisles must be kept free of luggage. Staff must be aware of the location of the fire extinguisher on the ferry near to where they are based. Evacuation of Ferry Pupils will be advised to meet at the central meeting point designated by staff and then to evacuate the ferry as guided by the ferry staff. Each member of staff will check their particular group of students are present and inform RAF of any missing. In the event of forgetting or not locating the group, pupils should evacuate as guided by the ferry staff and make attempts to meet the group afterwards. Activity Visiting a town; unsupervised time Venue Ypres town centre/ Hypermarket Ratio 1:10 Leader(s) Identified Risk Minimising Risk Traffic Pupils to act sensibly when close to roads, sticking to pavements etc. and to follow the usual precautions when crossing the road. Pupils to use crossings to cross the road where available. Safety Pupils to go around in a group of at least 4 at all times. Pupils not to approach members of the public unless necessary. Pupils to be aware of a central position where they can find a member of staff at all times. At least 2 members of staff will be permanently based at central meeting point. Getting lost/ separated All pupils must be made aware of the meeting time and from the group place. Emergency phone numbers will be issued One pupil in each group must be wearing a watch. Pupils should have own mobile phone and emergency numbers with them in case of an emergency. Under-age activities All pupils will be reminded of the rules of the trip set out on the parents’ information evening and printed on the information handouts – pupils are not allowed to go into bars during their unsupervised time. Pupils will be reminded of the central meeting point for the duration of the unsupervised time, so that they can return at any time to the safety of the trip leader. Pupils will be reminded of the behaviour code expected for all trip participants.
