Rogers-Herr Executive Board Meeting Minutes Monday, September 13, 2010 6:30 pm

Attendance: Alana Scott, Thomascena LeGrand, Nichelle Hopson, Wanda Bass Rudd, Teresa Daye, Dov Rosenberg, Dottie Taylor, Jenny Shafer, Heather Baxter, Glenn Gillen, Nichelle Perry, Susan Robinson, Kim Grantham, Shyrome Steedsoster

The meeting was called to order at 6:37 pm by Dottie Taylor, presiding co- president.

Principal’s Remarks Dr. Daye asked if there was a list of students to participate in Games 4 U (fall fundraiser incentive). The Fall Fundraiser incentive has been scheduled for Friday, September 17. Jenny Shafer replied that the list of students would be given to the administration by Wednesday (Sept 15) afternoon. Another question was raised regarding fundraiser incentive. Would there be wristbands to signify those students who can participate? The person in charge (Jeff Meisnere) of the fall fundraiser would provide the wristbands or PTA would have some type of ribbon or marking method available. Dr. Daye thanked the PTA because the Fall Fundraiser and PTA budget stresses helping teachers.

President’s Report There is a committee continuing to work on the Teacher Grant guidelines.

Treasurer’s Report Fall Fundraiser collected $11, 945.05 in cash/checks. Rogers-Herr receives 40% of this total=$4778.02. Still waiting for online sales and remaining checks/cash. Donations collected = $1490 (100% profit) NET $4778.02 + 1490 = $6268 + outstanding amounts So far, we have make $11, 066 of our budgeted $13, 656 income. We are roughly $1,000 short of projected budget for the year! Fantastic! Treasurer announced that the total fall fundraiser net = $7500. Rogers-Herr paid the NC PTA dues and the $190 insurance coverage. Two patrons donating money are companies and will match donations. A Thank You will be sent from Dr. Daye to let parents know how successful the Fall Fundraiser was.

Committee Reports Cool Cash-Glenn Gillen Most “Bang for Bucks” are Box Tops and Harris Teeter At Harris Teeter, only 42 people have cards linked to number) These cost nothing but earns cash for our school. Other ways to accrue cash or points: Target Kroger (#90291) Food Lion furtal.com How to communicate this information to parents? Highlight Box Tops, Harris Teeter and furtal.com on website and through administration. Box Tops are taken by teachers and turned into the office. Do teachers know this? Dr. Daye will get the word out to teachers and it will also be posted on the website.

Fundraising-position vacant Dottie Taylor informed committee about the Attractions Book, coupons to use in the Durham-Chapel Hill area. The cost is $25 for each book. These make great Christmas gifts. Kick-off date will be scheduled for early/mid November. We make 50% profit. Orders are taken and then books are received. There will be morning/after school pickup dates.

Hospitality Jenny Shafer shared about Corrie Finger in charge of bus/cafeteria staff goodie bags. These were made strictly by parent donation and were well-received. Membership-Nichelle Perry The current PTA membership is 119. A current membership list will be uploaded to the state and the executive board will receive a copy.

Parent-Teacher Involvement-Susan Robinson A follow up was completed with those parents who had ideas for future PTA events gathered from the general PTA meeting August 31. Dr. Daye’s updates have been helpful. Susan has been attending team leader/team meetings with at least one more to visit. One suggestion from these meetings is to update the Volunteer List (it is several years old).

Reflections-Kim Grantham This is an arts contest PreK-12. Students express themselves around a theme using mixed media. This year’s theme is “Together we can…”. Submissions are due November 13. Kim will send basic information to Dr. Daye and website. Kim will also give the information to the Language Arts and Arts teachers so they can encourage this in their classrooms. November 16 is the next General PTA meeting and there will be a Reflections Presentation displayed at that time.

Media/Technology Committee-Dov Rosenberg This committee will meet on Wednesday, September 15 at 2:40 pm. The focus is collaboration with teachers/donations from community. Dov still needs at least one parent representative. Purchasing Video editing equipment with the proposed PTA funds for technology is on the wish list.

New Business After committee discussions, it was decided that the Fall Book Fair, Ice Cream Social, and Reflections Presentations be held on November 16 with the General PTA meeting. Susan Robinson will follow up with Ms. Umburger, the media specialist about dates. Originally, the date was during the first week in December. Information will be given to teachers about the teacher grants available. All receipts are to be turned in by April 1, 2011.
