ICSMSU 12th Meeting 2014-2015 27/2/2015 – 18:00 Reynolds Building CX

Minutes:

Previous action points: AP: Obi – damage control for RAG Dash i.e. publicise the event to the rest of Imperial by getting in touch with IC newsletter and IC RAG etc. Also, think about advertising a special ticket for fourth years e.g. half price tickets for hostel/club only etc? NOT DONE

AP: Dariush to ensure proper clean of SU cloakroom - PASSED TO KANCH CAN BE DONE TOMORROW

AP: Med to finish sports teams photos ASAP – IN PROCESS OF DISTRIBUTING STILL

AP: Everyone to try talk to at least two people to do their role next year. DONE

AP: Dariush to moderate the list of people who have access to twitter and facebook check

AP: Callum to arrange Ents Meeting to set up end of year exams and start booking Finals Fortnight and sort out bops issue. NOT DONE

AP: Dariush to sort out mailing list for C&S - NOT DONE? CHECK doesn’t work

AP: Dariush and Salma to liaise over this issue (Path) over the weekend. DONE

AP: Callum to liaise with Matt and Carl for next Reynolds open forum (Would like it termly from now on). In process

AP: Callum to set up Bar Steering Committee. In process

AP: Salma and Dariush to look over previous EC minutes with regards to 3rd year marking changes – NOT DONE

AP: Salma, Jen and Usama to organize a meeting with Martin Lupton. DONE

3. Matters arising:

3.1 Elections & Hustings:  Summer Ball Chair is now contested  Currently no one going for Alumni & Career but all other roles now contested AP: Dariush to talk to Steve about A&C role AP: Dariush to send email on Monday re. halfway dinner committee and chair  Everyone to make an effort to come to Hustings. Chris Vaz to be ‘RON’.

4 Officers’ reports

4.1 President: Dariush Hassanzadeh-Baboli

 Drove down to Harlington and picked up all the Teddington memorabilia. Sorted some of it out. Will sort out and try to digitise old photos with George Cross in the coming weeks.  Met up with Carl and building manager. Request put through to put signs up and some framed shirts upstairs, so should happen soon!  Looking forward to elections and hustings in the coming weeks  Banked money and cheques with chippy  App provisionally finished. Sent to go live in the next week or two. Hopefully will coincide launch party with results night or hustings  Getting upgraded computers in SK/SU common rooms. YAY!!!!  Off to RAG Dash this evening. Should be fun.

4.2 Deputy President: Anju George

 Mostly emails and meetings  Liaising with Jo Harris about introducing how to cope with death and dying teaching into early years  Met with Jen to mastermind a publicity campaign for Mental Health Awareness Week #whatsonyourmind  Helped to pack goody bags With Steve & Dariush for Careers Fair  Helped out at Careers Fair Evening but did not make the most of freebies :(

4.3 Treasurer: Alex Compton  Banked money with Dariush. Due to bank RAG money once VAT exemption has been sorted.  Attended CSPB and fought for our clubs to get money.  Nominated myself for Clubs and Socs.  Seen enough spreadsheets to last me a lifetime.  Looking forward to appeals and more budgeting!  Finally got back to medicine which I have somewhat missed.

4.4 Secretary: Dina Saleh

 Have met and am meeting a few people regarding the role for Secretary  Nearly forgot to do the newsletter but remembered just in time whilst in Istanbul.. good thing I brought a laptop!  Sent the additional information on Elections email out after the last meeting which was apparently helpful   Need to update the calendar for Feb events.. do people even use it ever in life.. no one sends me info  Admin as per usual

4.5 Communications: Dan Price

• Uploaded Stuart’s year 3 notes to Notebank • Added stuff to website • Waiting for App to launch Phoenix Bay • Now only 25% nocturnal

4.6 Welfare Officer: Jen Watson

 Looking into collaboration with GKT MSA on the finance front

 Article out in The Medical Student about it

 Continuing work on MHAW with the posse

 Chilled out in Barca and ready to work again

Ahhhhhhhhhhhhhhhhhhh here goes! https://www.youtube.com/watch?v=nxpj4B_-1Rs#t=14 So, after 2 long weeks in the wilderness of gastro (read: facebook poker and miniclip pool) I have started to become a savant of GI disease (Imagine: https://www.youtube.com/watch?v=jxTngPDNqk8#t=35 but instead of numbers it's livers and oesophageal cancer. 1 in 17 will get oesophageal cancer just reading this report). Just kidding, but seriously, all I can see when I'm out is disease and death. (https://www.youtube.com/watch?v=RlphfLO3MYA#t=38). Seriously, I can no longer enter Spoons as all I see is walking fatty livers, and don't get me started on the cirrhosis in Reynolds - cirrhotic, sweat infested den that it is.

As you can imagine I have done nothing with regards to SU (Sorry Presidente, exams have to come first at some point in my life, 6 years in seems a good start time). This will be rectified as of next week. In the meantime I hope this has mildly entertained you all.

I'd also like to offer apologies, as I would really really like the night to myself, my whiskey bottle and some other things to not discuss. However, I shall be chatting to Dariush to see if he'd chastise me for this...

4.14 Social Secretary: Gugs Lidder

 I've been working closely with Med to look into alternative venues for sports dinner, as our original choice is now slightly out of our budget.

 I have been contacting various venues and have (hopefully) found one which is suitable! The next steps are to confirm the set price with the venue and ultimately have the contract signed within the next few weeks so it will all be confirmed and we can begin to work on advertising the event and creating the all important hyyype!

 Very excited- have a feeling it's going to be a top event! p.s. I miss Bops wah

4.15 Social Secretary: Mala Mawkin

-Sat with Med informally for a few hours over 2 days to try and find a cost effective solution for sports dinner by juggling some numbers and looking at alternative venues. Med went to see them but looks like cheaper just gets rid of the class of the event. Can't wait for the sports dinner though! -Been chatting to lots of people re sponsorship/social sec role. -Val Ball went well!!

4.16 RAG chair: Obi Abani

 Over £10k for rag week  Rag dash losses being minimised where possible:  Coach company giving money off next year  Meininger refunded all unused rooms  Waiting on Escape and Wow Hostel  So many emails of passports and lost ones  Rag is almost over yay!

4.17 Summer Ball Chair: Anna Hurley

 Still waiting on contract from Gloucester Road. Will push it after exams.

4.18 Bar Managers

 Sports night cleaning was discussed with Carl. Carl agreed to talk and remind his staff that they should stay until the end to help clean up with SU stewards.  Welfare issues discussed regarding end of sports night – Mala to email Carl about her concerns walking late at home officially at night.  Carl kindly told us to always let him know when we have concerns.

4.19 ICSM Gazette

5 Any other business  Contingency idea related to budgeting suggested by Med but after feedback, this was vetoed.  It was also discussed whether events that are making a loss should be cancelled but decided against this.  App is now on Google Android store. Launch party coming soon…  27th March is the last day of term, which may be UH revue. Discussions on what may happen to the event. Foam party? BOP?  Café opening times – it was brought up that it should open slightly earlier e.g. at 8.45 so people are not late to lectures. Thoughts on vending machine? Kanch said an order has been put in but nothing has actually happened.
