Host Coaching is Key!!

Host Coaching is the most important thing that you can do to grow your business!! Your job as a successful party entrepreneur is to help your host have the best party she can. This of course, benefits both of you! Host coaching is the key!

So, what is host coaching? Host coaching is actually partnering with your host and coaching her through a few phone contacts and touch points to have high attendance and outside orders along with a couple of bookings at her party!!

When do you do your first host coaching session? You can do host coaching in person or over the phone! Sometimes at parties, you’ll have a break and you’ll have time to go over the host planner with your host. Many times, you’ll have a checkout line and it’s best to set up an appointment to chat soon after the party. If you can't go over the host planner with your host the night of the party or if you have to mail the party packet to someone who books a party over the phone, then make sure to make an appointment. Let your host know that you will need just 5 minutes and set a date and time!!

What does Host Coaching sound like? Here is some verbiage you can use. Print this and practice this with your family, the dog, the kids or a friend. Just get used to saying it out loud. If you need to, read it verbatim. These next few steps will make all the difference in your success, confidence, income and the growth of your business.

Here goes!! As you are writing the party date on the front of the host planner, say, "I'm so excited that you decided to have a party with me. It’ll be so much fun. The date and time we agreed on is ______. I will arrive about 30 mins ahead of time to set up, is that OK? Great!”

Then open the planner to the first page and while pointing to the host credit grid, where you’ve either circled or highlighted the $1,000 level, say, “Our goal for the party is a $1,000 ...that's where you can take the most advantage of the host program and earn $200 in free products and at least 4 items at ½ price! Sound good? Typically, with an average order it takes about 20 orders or so to achieve this. So to do that, our goal is to have at least 15 guests in attendance and a few outside orders from those who can’t make it. The more people in attendance, the more fun it will be too. If you only have about 5 people, it feels like a sales presentation, who wants that? But when you have 15 or so, it feels like a party! That’s what we want. To get that you will need to invite at least 40 people and tell everyone to bring a guest. Usually only about 1/3 of the people that you invite actually can attend, so by telling everyone to bring a guest it helps make up for those who can't come. There's a great form you can use on the back of this planner to help you pull together your guest list. We’ll talk about that in a minute. The most important thing you can do is to make sure to invite people in person or over the phone. This is vital. Invitations, e-mail, face book …all of that is great but best used for a reminder. Invitations may get lost in the mail, pushed aside, or just forgotten about. People get so many e-mails and facebook notices that they may pass right over yours. So when you invite the guests, tell them to be on the lookout for a reminder from you about a week or before the party. That way, when they get that invitation, or e-mail, they’ll be more likely to read it. You will also want to call them a day or two ahead of time to remind them. People get busy and may really want to come and just need that reminder. In fact, as a service to my host, I offer to make the reminder calls for you. We can talk about that later. Make sure to also invite those who may be interested in scheduling their own party. This helps you because you earn an item at 1/2 price for everyone who schedules a party! Even if they can't attend, they can still schedule a party and you will still get credit. I will be asking for your help to help me replace this party, because that's what helps me to stay in business and it gets you another ½ priced item.

Also, for those who can’t come, they can still participate in the party by placing an outside order. This will help you towards our goal! You can either share the catalog or send your friends to my website to place an online order. Note: They MUST choose your name at checkout in the drop down box to make sure the order is attached to your party. If they order on line it will ship right to their door. There is a $5 additional charge to do so though, so if they would rather ship their order to you, just collect the orders and call or e-mail them to me and I will figure totals for you and add to your party. Also, make sure to tell your friends about our Customer Special this month! This is a great deal for your customers and helps you to reach our goal. You can do this!!”

Then point to the wish list and say, “In the next day or so, please take a few minutes to sit down with the catalog and a coffee or tea and fill out this wish list. Pick out everything you would love to have. I will do my best to help you get it!

Finally, we want this to be fun and profitable so keep your refreshments simple. Just use the Food Party Pack that I have provided and whatever beverages you choose. You will find this so easy and delicious! Your guests will love the food and it is part of the party!

I also have included some information on our business opportunity. Have you ever thought about doing something like this?” If she says yes, discuss that. If she says no, ask her if she might be interested in learning more. If she says no, ask her to pass the information on to someone else who may be interested. I ask, “Who do you know who may be interested? Make sure and invite them too!”

Then say, “I will be in touch 2 weeks before your party to see how your wish list and the inviting is coming. What’s the best time to reach you?” Set up a time with her. “I’ll touch base a week before to see if you want me to do your reminder calls when it’s time. Then I will call you 2 days before the party to get directions, get an idea of about how many you are expecting, and to see if you have any last minute questions.”

Finally, turn the planner over and talk about FRANK.

Finish with, “Do you have any questions now? Great, I look forward to your party!"

This whole conversation only takes about 5 minutes to say and can make the difference between a successful party and a flop!

When should you plan to connect with your hostess again? 2 weeks before the party, 1 week before the party and 2 days before the party.

I’ll be able to send the call out to everyone on your list at the same time. All I need are the phone numbers. Do you want to give me numbers right now or would you rather email me?”

RECORDED CALL TO GUESTS: “Hello! This is Lisa Chelius with Biltmore Inspirations! I’m calling on behalf of Sally Hostess. I’m so excited about her party coming up this Thursday night, July 28th at 6:30 PM! Sally and I really hope you can make it! It’s going to be so much fun! We can’t wait for you to see all the new products that we have with Biltmore Inspirations and we know that you are going to love all of the Biltmore appetizers and desserts that we’ll be serving! Please make sure to bring a friend. The more the merrier. Sally & I really look forward to seeing you this Thursday night at 7:00 pm! Be sure to RSVP!
