Private Rental Brokerage Program (PRB) Fact Sheet

 All PRB packages will be approved within the first week of each month only – please allow 5 business days for processing.

 All PRB packages are for $1650. Should your applicant require additional PRB funds beyond this limit – please contact the PRB Coordinator. If there are three or more applicants approved for the same property, please contact the PRB Coordinator as funding limits may taper based on property costs.

 PRB Approval will be active for a 90 (3 months) day period. If private rental is not achieved in this period, the PRB package will be closed automatically and without further notice. Case managers can reapply however – priority will be given to applicants who have not applied before.

 Once Private Rental has been secured and expenditure has commenced, approved PRB Packages will be active for a further 3 months (6 months from the original approval date – these dates will be listed on the PRB approval letter). All PRB funds will need to be fully spent in this period – any unused funds will be inaccessible to the applicant and returned to PRB.

 All PRB Applications will be required to provide the following o a phone contact or email contact for the applicant o VincentCare Victoria consent form for PRB to get real time feedback from PRB applicants. o VincentCare Victoria Consent Brochure will need to be given to applicant o Photo ID of applicant must be provided – licence, proof of age, key pass

 PRB payments can be made in two ways: o Quotes, sales orders & invoices sent to VincentCare for payment o Support agencies pay, VincentCare reimburses agencies for funds spent (agency provides Tax Invoice for payment). Preferred payment via cheque, as all EFT must be submitted before Monday to be paid on Friday.

 PRB expenditure can be paid by cheque or electronic funds transfer. Preferred payment via cheque, as all EFT must be submitted before Monday to be paid on Friday. Cheques can be mailed or collected from 175 Glenroy Road, Glenroy by workers only – cheques are not to be mailed to or collected by clients.

 Hand written PRB applications (including the budget sheet) will not be accepted and will be returned for resubmission.

 When signing a Lease Agreement with a Private Landlord, a copy of the rate notice must accompany the Lease Documentation to verify ownership of the property.

1. All PRB Applications received will be sent a confirmation email.

2. All PRB Applications are processed in the first week or each month – please factor this into your application planning.

3. The PRB Coordinator will contact you there are any issues in the application that requires clarification

4. There are a limited number of PRB packages. There is a possibility that your application may still not be approved. Please do not assume approval or commence spending until you receive an approval letter. PRB is not responsible for purchases or commitments you enter into prior to approval.

5. Successful PRB Application will receive a PRB Approval letter after the 1st week of the month

6. Once you receive this – you have 3 months to commence spending on your applicant. PRB be closed if no funds are used in the first 3 months.

7. All PRB Approved packages are live for 6 months only from the approval date. PRB will close the PRB Package after 6 months and any unused funds will remain in the PRB Pool.

8. Packages requiring organisation reimbursement must have all invoices and receipts submitted within 6 month time frame
