Job Description Position : Support and Projects Manager Reports to : Executive Director

Main duties and responsibilities:  Manage Alive!’s office function, including management and support of Client Services Officer and Communications Assistant (both part time).  Oversee Alive!’s programme of workshops and training courses.

 Manage new and current Alive! projects within specific time scales, ensuring the charity meets its targets for funders, including liaising with partners on joint projects.  Manage Alive’s systems for monitoring and evaluation, including producing reports for funders and working to continually improve these systems.

 Provide full support to Alive!’s Director in connection with all issues arising, including managing a diary.

 Provide practical and organisational support to Alive!’s Regional Managers in Hampshire and West Sussex (eg. in making sure on target with delivery).

 Work closely with Client Services Officer to provide practical support to Alive!’s team of sessional presenters.

 Actively contribute to the day to day running of the office, including responding to enquiries, taking bookings for workshops and training, troubleshooting equipment and coordinating repairs.  Assist in recruitment of new staff and presenters.

 Manage procurement and tracking of equipment and materials for workshops and for the office.  Assist volunteers helping in the office.  Occasionally attend weekend or evening events to promote the work of the charity.

 Assist with other ongoing tasks as required. Person specification

Experience:

Essential

. Experience of managing and coordinating projects. . Experience of managing staff and/or volunteers.

Desirable

. Experience of working in the voluntary sector. . Some sales or customer service experience would be an advantage. . Some experience of communications (websites, e-newsletters, social media and PR) would be an advantage.

Skills and Knowledge:

Essential

. Inspirational staff management skills. . Ability to multi-task in a busy office and solve problems. . Meticulous organisation skills, with careful attention to detail. . Exceptional communication skills and phone manner. . Computer literate. We use Microsoft Office programmes (Word, Excel, Outlook Express, etc), gmail (including google spreadsheets & calendar) and iPad software. . Ability to develop and maintain strong customer relations. . Excellent writing skills, including the ability to present complex information in a clear and concise way.

Desirable

 Some knowledge of using iPads and Apple software (eg. iTunes, iPad apps).

Personal attributes:

Essential  Friendly and approachable.  Confident and assertive.  Ability to work independently, proactively and under own initiative.  An interest in the welfare of older people Terms and Conditions of employment

Salary:

£19,000 – £22,000 pro rata depending on experience. Salaries are paid monthly in arrears and reviewed annually.

Conditions of employment:

This post is for 4.5 or 5 days a week (to be agreed) which MUST include Monday mornings and Friday afternoons. We work a 37.5 hour week.

Location:

Alive! is based at the Create Centre, Smeaton Road, Bristol BS1 6XN.

Training:

You will be encouraged to attend some Alive! sessions and training days in order to be able to communicate what we do.

Management:

You will report to Alive’s Executive Director.
