Minutes for the March 15, 2016 Meeting
President David Fleshman called the monthly meeting to order at 7:00 PM at the Joint Safety Services Building. The following members were present: Cameron Krebs, Jim Krebs, Emily Gabriel, Kevin Wiley, Chuck Buck, Debbie Johnson, Shirley Russell, Jim Witteman, Jeff Karn, Rachel Bausch, Becky Applegett, Kelly Willis, Stan Willis, Abby Russell, Linda Earman, David Hickman, David Fleshman, and Denise Buergel.
Cameron Krebs led the Pledge of Allegiance.
The minutes from the February 16, 2016, meeting were reviewed and there was a correction to be made. The Cowtown 5K contract was added to the committee reports. Kelly Willis made the motion to accept the minutes with the correction, and Linda Earman seconded. Motion passed to accept with the correction.
There was no Treasurer’s report. The state auditor is to meet with the KAS Accounting and Becky Applegett, and they will have the information requested by Friday. The auditor is satisfied with the 2013 information, but has indicated that for 2014 the cash balances do not match. A bill for $726.45 to reimburse Jeff Karn was presented for the tractor repair. Chuck Buck made the motion to pay this bill, and David Hickman seconded. Motion passed.
David Fleshman presented the Fair Manager’s Report. Emily Gabriel made the motion to accept the report, and Shirley Russell seconded. Motion passed. It was mentioned that additional funds are needed to finish the Horse Arena bleachers. Stan Willis made a motion to provide up to $500 to finish this project. David Hickman seconded. Motion passed.
Committee Reports
Contracts – The following four contracts were presented for board approval: Woebkenberg Starting Gates, Racing Technologies, The Commissary, and Cooking Caravan. Stan Willis motioned to approve these contracts, and Abby Russell seconded. Motion passed to approve contracts.
Entertainment – The Cowtown 5K has information up on their website. The Cooking Caravan will be in the Kids Tent and will offer fun, educational, hands- on activities. Giant Eagle will give a donation and gift cards for the food allowance. More information about events will be shared next month. Junior Fair – Credit cards will not be accepted this year through Fair Entry for entry fees. New polo shirts are being ordered for the Junior Fair Board for $18. Any Senior Fair Board member can also order a shirt in any color by contacting Kathy McNutt by the end of the month.
Fair Manager Search – Dave Fleshman shared that there are four potential candidates, but the committee is waiting for resumes from three of them. At this point, the job will not be posted online.
Old Business
Group Reservations – Shirley, Emily, and Kevin Wiley presented rates, tent price, ride discount tickets, and catering to the OHL company that was interested in possibly having an employee appreciation day at the fair. They decided to go to the zoo instead.
Safety Day – Chuck Buck shared that there will be a grain bin safety display. It was decided that the hours for Safety Day will be 1-6 PM.
New Business
Dean Ringle, County Engineer, has given approval to pave more of the Burke building and 4 more handicap parking spaces. The county was also looking at the drains and drainage situation.
Franklin County Commissioner John O’Grady informed Chuck that the Schottenstein Company would like to swap land north of Scioto Darby Creek Rd and west of I-270 with the Ag Society here at our location. There is limited access at this site.
Shirley Russell motioned to adjourn and Denise Buergel seconded. The meeting was adjourned at 7:49 PM.
