Update on Requests from July meeting Users requested information on which tables are used by the Data Warehouse front-end reports. To accommodate this request a “View SQL” button has been added to the View Results page for the create reports and standard reports areas of the Data Warehouse front-end. Users can click on the View SQL button to see the actual SQL that was used to create the report. Users requested a report on share leave that would be available in MOBIUS. Agency pool balances are not available in SAM II since leave is only tracked at the employee level. A report has been created displaying share leave usage and donation amounts by employee. The report is by pay period and includes any share leave activity processed during the pay period. Users requested a data model viewer for the Financial Data Warehouse similar to that available for the HR Data Warehouse. A data model viewer has been created and is available for users to download from the SAM II web site at http://www.state.mo.us/mo/samii/dw/dmviewer.html. Users requested that the Financial A614 report, Summary Trial Balances by Fund, be indexed by fund in MOBIUS so that it would be easier to use. The report format will not accommodate this request because the fund does appear in the header of the report. Users inquired if separate MOBIUS bubbles could be used for SAM II HR and Financial reports. Creating separate bubbles would significantly increase the overhead cost associated with the SAM II reports resulting in higher rates for using the reports. Prior to the Financial Data Warehouse upgrade to Release 3.0 in December 2001 users were able to select by House Bill under the create reports section of the Expenditures area the front-end. Users inquired if this could be added back. The House Bill field was removed from the SUM_EXPENDITURES table because the field is not available on the LED_EXPENDITURES table and created reconciliation problems for the SUM table. A report of expenditures by House Bill was added to the expenditure front-end area. Research continues on other House Bill reporting needs. There were requests to make various changes to the current MBE/WBE reports including create a detailed report of all non-MBE/WBE expenditures, provide reports by the first level organization and provide reports for lower level orgs. These requests have been passed on to the Office of Equal Opportunity.
HR Update & Discussion To improve performance with the HR Data Warehouse General Ledger tables (EXT) each table has been partitioned and divided into two separate tables – a current table and a history table. The current tables will include data from the current fiscal year and the prior fiscal year. The history tables will contain all data from older fiscal years. Users will need to use the new history tables to report against older fiscal years (2001 and 2002). The new history tables have the same agency views and table layouts as the original tables. Below is a list of the tables affected and the new history table: EXT_DED_DETAIL ODWTS573 EXT_DED_HISTORY ODWTS875 EXT_PAY_DETAIL ODWTS577 EXT_PAY_HISTORY ODWTS876 EXT_GL_BEN_DETAIL ODWTS865 EXT_GL_BEN_HISTORY ODWTS879 EXT_GL_DED_DETAIL ODWTS821 EXT_GL_DED_HISTORY ODWTS878 EXT_GL_FRG_DETAIL ODWTS867 EXT_GL_FRG_HISTORY ODWTS877 EXT_GL_PAY_DETAIL ODWTS820 EXT_GL_PAY_HISTORY ODWTS872 The same approach will be taken to improve performance with the HR SUM tables. New history tables will be created for each of the tables listed below to store the records from prior fiscal years. The current tables will include data from the current fiscal year and the prior fiscal year. Additional information will be sent out through the SAM II HR distribution list as the changes are made. SUM_DEDUCTIONS SUM_PAYROLL SUM_BENEFITS SUM_LEAVE Changes will be made to the front-end reports that use the above referenced EXT and SUM tables to use the current or history table as appropriate based on the selected pay period or run number. Currently, the Agency Detail, Payroll Accounting front-end reports are not available for fiscal years 2001 and 2002. An example for how to identify the current LDPR codes for current employees is available on the SAM II web site under the HR Data Warehouse Ad Hoc Report Listings for Access Reports. The State Human Resource Management Council (SHRMC) recently established an HR Reporting Subcommittee to research and make recommendations for improving access to SAM II HR data. The subcommittee is currently focusing on identifying standard reports needed for all agencies and increasing the number of sample queries/reports available in the Adhoc Report Listings area. Data Model changes for the SNAP Employee and SNAP Position tables will be forthcoming due to a software fix received for position control. Additional information about these changes will be sent through the SAM II HR discussion list in the near future.
Financial Update & Discussion A Data Model Viewer has been created for the Financial Data Warehouse tables and is available for users to download from the SAM II web site at http://www.state.mo.us/mo/samii/dw/dmviewer.html. Completed Work orders: o Added index to the LED_JOBS table on JOB_NUMBER, AGENCY, and FISC_YEAR o Recreated REF_FAS_FBT, MFDJN146, to include the TOTAL_ASSET_VALUE and TOTAL_ACCUM_DEPR fields. Users should delete their link to the MFDJN146 table and link again in order to access these fields.
Upcoming changes: o Adding Sub Org Field back to LED_EXPENSES o Adding ACTIVITY & FUNCTION back to LED_ASSET_OFFSETS o Adding commodity line to LED_EXPENDITURES o Removing the REF_REVENUE_BUDGET table from the Data Warehouse o Adding fields to REF_FAS_FBT, MFDJN146: Ref Trans Code, Ref Trans Num Agy, Ref Trans Num Num fields and Last Depreciation Date. o Creating views for date stamped tables for the current (max dated) records. o Changing front-end Terminating Price Agreement report to exclude deleted records. o Correct quantity field on LED_EXPENDITURES. Currently the quantity is displaying with 3 extra decimals.
