SUBJECT: New KASES Screens and Data Fields

In preparation for the implementation of the Customer Service Website (CSWS) and the Information Search and Exchange Portal (ISEP) in February 2012, several new data fields and screens are being migrated to the KASES system tonight. Although the worker has the ability to populate data to most of these new data fields, the majority of fields will be populated based on information received through the CSWS and ISEP. A summary of the changes is provided below:

Create Participant Address Screen (ASEAAE)

A new field has been added to capture the country of the address for the participant. This is a two (2) character field.

The alternate phone number field has been replaced with a work phone number field. Any numbers previously in the alternate phone number field will now appear in the work phone number field.

Update Participant Data Screen (ASEC2A)

Several new fields have been added to this screen. Changes include:

 Middle name field has been increased from a one (1) character field to a fifteen (15) character field.  Citizenship field has been added and will accept either a Y or N.  Country of Birth has been added. This is a two (2) character field.  City of birth has been increased to allow thirty (30) characters.  Country of address has been added. This is a two (2) character alpha field.  City of address has been increased to allow thirty (30) characters.  Work phone number field has replaced the alternate phone number field.  A PF6 key UPD CITZ PIN has been added to the bottom of this screen. At this time, workers should not update this screen. More information about this screen and its purpose will be issued prior to February 10, 2012. CSM No. 175 Page Two

Update Participant Pin # Data (ASEPIN)

This is a new screen that is being created to track issuance of PIN numbers associated with the CSWS. At this time, workers should not update this screen. More information about this screen and its purpose will be issued prior to February 10, 2012.

AP Supplemental Information (ASEC8B)

 Prison data has been removed from this screen and added to a new screen (ASEC8K).  Fields have been added for additional union related information such as union number and address.  Plate number and Driver’s License number have been added.

AP’s Supplemental Parent Information (ASESPI)

A twelve (12) character country field has been added and the city field has been extended to thirty (30) characters.

AP’s Supplemental Information (ASEC8K)

Prison data previously on the ASEC8B screen has been moved to this screen. Additions to this screen are:  County name field.  Field for the probation officer’s name.  Field for the projected release date.  Field for the parole eligibility date.  DNA field has been added and will allow a Y or N to be entered. This field indicates whether the prison system has a DNA sample on file for the participant.

Create/Update License Revocation Record (ASELRR)

Four (4) new fields have been added to this screen:

 Suspension Reason  Suspension Date  Original State of Licensure  Current State of Licensure CSM No. 175 Page Three

Supplemental Marital Data (ASEC8F)

 Country field has been added. This is a two (2) character field.  A field for the custodial parent’s current spouse’s name has been added.  AP Attorney Number, CP Attorney Number, and AP remarried fields have been removed from this screen.

Update Child Participant Data (ASEPT1)

 County of Commitment has been added and is a three (3) character field.  Placement Date has been added and is an eight (8) character field.  Exit Date has been added and is an eight (8) character field.  Country of birth has been added and is a two (2) character field.

Create Client ACH/EFT Prenotification (ASEAC1)

Several new data fields have been added to this screen. Only staff in the Processing and Distribution Branch in Central Office should access/update information on this screen. Changes include:

 Receiving Bank ID # has been renamed Routing Number.  Transaction Type has been changed to MPI Account Type.  ACH Institution Name added.  Customer Provided Institution Name added.
