8/15/16 BWVC Committee Meeting Minutes: Commenced 7:30 pm

In Attendance: Denis O'Regan, Toby Ridings, Randy Hoopes, Beverley Fleming, Steven Threefoot, Terri Hansen, Dave Claney and ?

July Minutes accepted by Committee. ?

Manager Report- Beverley Fleming: Rentals - Inquiries: 6 from web-11 voicemail-2 other. All inquiries positive feedback. Of the 19--7 deciding, 5 contracts sent out, 4 looking at Buzz next 2 wks, 3 no response as of today. Fave ques those looking to rent Rm 1&2 ask if the twinkle lights can stay up. 2nd ques is what occupancy is for each room. Beverley spoke with an event planner who looks for venues for small businesses for workshops and social gatherings. Including staff for local schools.

Beverley informed all that a request made to the Buzz to host a community event retirement party for Jenny Montgomery, the mail carrier, in November. Bev will submit form under community events on website with details. Committee will discuss in Sept meeting.

Financial Report- Given by Steven Threefoot

Building Report: Denis will talk to Chris of First State Stucco about a finish date. Finish includes re-handing the gutters.

Programming Report-Toby Ridings: Friday Night Programming: Art on the Town-- None this month. Coffee House------No Coffee House.

On Going Monthly Programming for Summer: Mobility Class -- Cecilia Vore, organizer, Tuesdays and Thursday- 2-3 pm -BWVC Art studio -- Jeanne Orr, organizer. Monday night- Time change 7-9. Jeanne will print promo flyers & post on bulletin boards to renew interest. Yoga -- Barb McAnany , Saturday at 8:30 AM.

Group motion -- Megan King, organizer. 1x/mo Sept-Dec, on 2nd OR 4th Sunday from 3-5:30 pm. Plan to combine these motion workshops with Arden residents/groups: Art-Johanna Rucker confirmed, Drumming-Allan Kleban confirmed, possibly poetry gild and Bill Clarke-Fields. They would be donation only. Megan will be leading the group with the Phil. group possibly observing. 1st event-3rd Sunday in Sept.

Committee discussed Group Motion. Preferable that it is held on the same Sunday of the month. To keep scheduling simple and advertising for these programs must be at least one month in advance on billboards and the Page and include info about donations to the Buzz. The sound system is available for all community events.

New Events: None

PPP: Randy, Dave Jones, Johanna, Debbi and I continue to meet weekly. Sharon Simmons is assisting Beverley with pre-fair staging and others. 100% Vendor occupancy. Volunteer help is still needed on Fair Day. See Randy Hoopes for scheduling. Bill Theis, Walt Borders and Liz Resko will collect cash from the door through out the day. We are anticipating a very successful holistic marketplace.

Communications & Publicity-Walt Borders: Next month

Old Business: Village lawyer is drafting a simple letter to resident who caused disruption to Buzz rental, from the Buzz chair on village stationary.

Solar panels: The financial accountability of the panels went to the village officers. The Town Chair signed a 20 year agreement for the solar credits. It was suggested that the responsibility of maintenance and data tracking for the panels rest with the BWVC committee.
