ADP Timesaver Attendance System Missed Punch and Time Card Approval Policy

All employees are required to electronically sign in/out every day. Employees who do not punch in or out for any reason must adhere to the following procedures:

 Any employee who misses a punch MUST put a note by logging on the ADP Timesaver system. The note MUST state why they missed that punch and what time they arrived or left work. Emails or phone calls will not be an acceptable method of communication for missed punches.

 Employees must log on to the system to review and approve their time card for that previous week. Each week is from Sunday to Saturday. Employees should log on every Monday to approve their time card and this can be done from anywhere you can access the internet.

 Failure to sign into the system is not an excuse to not approve time cards and if an employee cannot sign in they must do one of the following: 1. Contact their principal or supervisor for their badge number or 2. Email [email protected] for their sign-in information immediately.

 Employees who do not input a note for any missed punches will be docked a half a day for that missed punch. Notes MUST be inputted into the system in order for payroll to input the correct time and for you to approve your time card. The assumption is that if you did not punch out you took a half a day until you input the explanation into the ADP system. The key is to give us the information we need to correct the missed punch so your timecard is accurate without any missed punches.

o Notes can only be entered with a punch. So if you are missing a punch for the first day of the week….you need to punch first before attaching a note. Notes can be attached to a different day in question as long as you indicate in the note which day and the time that needs correction. If for some reason, you still can’t attach a note, then send an email to [email protected] as a final option.

 Employees who receive overtime or extra pay will not receive that overtime or extra pay for that period unless there is a note for any missed punches. Notes must include time in or out and explanation. Notes entered in late will result in payment in another pay period. Timesheets must also be submitted and will be compared to system entries.

 No overtime or extra pay will be paid to an employee who has not approved their time card.

 Employees who miss an excessive amount of punches in a school year will receive a letter of reprimand and the letter goes in the personnel/payroll file. This letter will include a warning that any subsequent missed punches may result in an employee being suspended without pay.

 Employees who continue to miss punches will receive another warning letter for each occurrence and will have to explain in writing why they continue to forget to punch in/out. A meeting with the Superintendent and/or Business Administrator may also be scheduled, and further disciplinary action will be taken.

 Employees cannot work through their lunch and leave early. Employees will not be paid overtime for working through lunch.

 Employees who do not approve their time cards will be subject to the same penalties above for missing punches.
