THE EXPLORERS CLUB FLAG INSTRUCTIONS AND PROCEDURES

To carry the flag is a great honor and privilege that is shared with many famous members. A numbered Club Flag may be awarded ON LOAN to an individual member who is taking an active part in a non-commercial expedition and/or field research provided that: I. The purpose of the undertaking will benefit exploration and science. II. The objectives are clearly stated and are consistent with the spirit of original exploration: the expedition should operate in a location which is remote or little known, and/or gather relevant scientific data or observations under field conditions. III. The plan of the expedition is such that the objectives are realistic. IV. The flag application procedures are adhered to as follows: a) Application must include a $250 deposit which shall be immediately returned if the flag is not awarded. b) The flag must be given back to the Club within thirty days of return or member must file a "Lost Flag Report". The Flag & Honors Committee will examine this report and may wish to call a hearing prior to accepting it. Failure to do either of these two successfully will forfeit the deposit and cause the matter to be referred to the Board of Directors for further action including possible removal from the membership roles. c) A flag report must be filed within ninety days of return and shall cause the refund of the deposit. The flag report should describe the expedition's purpose, routes and accomplishments. The report should include a photograph showing the flag at the final destination, and possibly a sketch map of the area. These reports shall become the property of the Club. The applicant expressly acknowledges that The Explorers Club retains all rights, title and interest to the reports, including, among other things, the right to publish flag reports on the Internet; and the applicant expressly consents to such publication. At the written request of the awardee and for just cause the publication may be delayed. Reports should be in writing and on the computer disk if possible. d) Members wishing a replica of the flag to commemorate their expedition may order a flag pin from Members Services or purchase a commemorative flag plaque in lieu of the return of their deposit. The Flag will not be awarded if the expedition is: 1. Based on the itinerary of a commercially run trip. 2. Primarily a competitive event, such as a race. 3. Represents advertising, sales promotion, stunts or other exploits for publicity. 4. Acquires artifacts intended for sale. The Flag will not be awarded or considered if the member falls into any of these categories: 1. Dues payment is not current. 2. Flag was not returned to the Club from a previous expedition. 3. Flag report was not returned to the Club from a previous expedition. 4. Application is not signed and printed legibly. The Explorers Club Science Advisory Committee is comprised of scientists from various disciplines. Please indicate below, if you are interested in having a scientist advise your expedition. Please note: arrangements require a minimum of 90 days notice. Yes No The Explorers Club flag expedition report. Applicants are reminded that their expedition reports will become part of the century-old archive at the Club. Both scholars and contemporary explorers use the archive collection as a resource for related fieldwork. Therefore your report to the Club is not simply to meet an administrative requirement; it will become part of the world's most complete archive of exploration. Please consider this fact when you prepare your end of expedition report. Perfunctory or de minimus reporting may reflect poorly on your work and the productivity of your expedition. Would you like to purchase a commemorative flag plaque? ($175 from your deposit will be used to cover the cost of the plaque. You will be refunded $75.) I have completed the above application to the best of my knowledge. I agree to hold the Club harmless from any liability claims. I agree to conform to the "Code of Ethics" of The Explorers Club. I agree to return The Explorers Club Flag to the Explorers Club within 30 days of my return from expedition, and I agree to file a report within 90 days of my return. I agree that the Flag deposit of $250 will be refunded to me when I return both the Flag and report that is due. If Flag was lost due to uncontrollable circumstances while on expedition, member must file “Lost Flag Report” within 30 days, for stringent review by The Committee and The Board of Directors. I understand and agree that my failure to comply with the above will subject me to strong disciplinary action, including possible loss of membership.

------ Award valid only for 6 months. If departure beyond that point, the Flag is automatically revoked and must be returned.  Processing normally takes 8 weeks. The member is encouraged to show the flag for the media, provided there is no commercial connection. The Flag may be carried on an expedition where products or services are provided, but the member must insure the sponsors do not state or imply any endorsement by The Explorers Club.  Supplementary material (maps, a prospectus, photos, etc.) may be attached but should be summarized and limited to 3 pages. If application is submitted by email, a signed copy of the last page of the application must be 4 mailed to the Club simultaneously for the application to be accepted.
